How to choose the right ITAM platform

Start with the problem, not the feature list

Use this decision framework before scheduling demos:

  • Unknown, unmanaged, off-network, cloud, or hybrid assets: start with Lansweeper, Freshservice, ManageEngine AssetExplorer, or InvGate. Compare actual discovery coverage rather than the word “discovery” on a product page.
  • Assets connected to incidents, changes, requests, and services: prioritize ServiceNow, Freshservice, or Jira Service Management Assets.
  • Assigned laptops, monitors, accessories, and consumables: start with Snipe-IT if self-hosting is acceptable; consider Asset Panda if the workflow needs extensive configuration.
  • Software-license governance: investigate ManageEngine, Lansweeper, ServiceNow, and Freshservice, then validate normalization, entitlement matching, reclamation, compliance evidence, and optimization depth.
  • Self-hosting or deployment control: Snipe-IT is the clearest self-hosted option in this shortlist. Evaluate every other candidate against current cloud, on-premises, data-residency, identity, integration, and security requirements.

Test these capabilities in a proof of concept

  1. Discovery coverage: provide a real sample of network segments, remote endpoints, cloud accounts, mobile devices, virtual machines, and management systems. Record what is discovered, how often it refreshes, and which credentials or agents are required.
  2. Data quality: check duplicate handling, device identity, serial-number accuracy, application normalization, ownership mapping, and the process for correcting bad records.
  3. Lifecycle workflow: model a request, approval, purchase, receipt, deployment, assignment, repair, transfer, return, secure wipe, disposal, and audit. A product that only stores status fields may not provide the workflow control you need.
  4. Software governance: load several real applications with different editions and license models. Test whether the platform distinguishes installations, purchased entitlements, subscriptions, renewals, unused seats, and compliance exceptions.
  5. Relationships: attach a device to a user, location, service, application, incident, and change. Verify that the relationship is useful to both help-desk staff and infrastructure teams.
  6. Integrations and identity: test single sign-on, directory synchronization, endpoint-management connectors, procurement or finance exports, ticketing, APIs, webhooks, and role-based access.
  7. Reporting: create reports for assets by owner, location, warranty status, age, lifecycle stage, cost, risk, and missing data. Confirm whether reports can be scheduled and exported in the formats stakeholders require.
  8. Operational burden: document implementation effort, agent deployment, network access, upgrades, backups, support, data retention, and administration. Include these costs even when the software has a free edition or open-source core.

A practical ITAM rollout plan

  1. Define the scope. Decide whether the first phase covers end-user devices only or also servers, networking, cloud resources, software, contracts, accessories, consumables, and non-IT equipment.
  2. Assign ownership. Name the people responsible for procurement data, discovery, physical audits, software licensing, CMDB quality, security, and disposal. ITAM fails when every team assumes another team maintains the records.
  3. Design the minimum data model. Establish required fields such as asset ID, serial number, model, owner, location, status, purchase date, warranty end date, cost center, and disposal state. Add only fields that someone will maintain and use.
  4. Choose authoritative sources. Decide which system is authoritative for users, locations, purchase orders, cloud accounts, endpoint status, financial values, and service relationships. Avoid silently merging conflicting records.
  5. Baseline the inventory. Import existing spreadsheets and procurement records, then run discovery where appropriate. Mark uncertain records for reconciliation instead of presenting incomplete data as accurate.
  6. Standardize lifecycle states. Use an agreed vocabulary such as ordered, received, in stock, assigned, in repair, returned, lost, retired, wiped, disposed, or archived. Define who can move an asset between states.
  7. Pilot one workflow. A laptop onboarding and offboarding process is usually a useful first test because it crosses procurement, assignment, identity, support, security, and disposal.
  8. Audit and improve. Compare system records with a physical sample, investigate exceptions, measure stale records, and schedule recurring audits. ITAM is a continuing control, not a one-time data import.

Common buying mistakes

  • Choosing a discovery tool for a lifecycle problem: knowing that a device exists does not automatically manage purchasing, ownership, return, or disposal.
  • Choosing a physical tracker for a network problem: a check-in/check-out database will not reliably discover cloud resources or unmanaged endpoints.
  • Assuming “CMDB” means mature service mapping: verify the depth of relationships, dependency views, change impact, and data synchronization.
  • Assuming a license module guarantees compliance: test actual entitlement matching, normalization, reclamation, and audit reporting.
  • Ignoring off-network devices: remote workers and traveling devices can make agentless-only discovery incomplete.
  • Buying on review score alone: reviews are useful for identifying candidates, but official product documentation and a proof of concept are better for confirming feature existence, plan restrictions, deployment requirements, and scope.
