It is reasonable to be cautious—but “AI access to Gmail” can mean three different things: Gemini features built into Gmail, Gemini Apps connected to Google services, or a separate AI app you authorized through Google. Each can have different permissions, data-use terms, retention rules, and administrator controls. Identify the exact connection before deciding whether to keep it.
First identify which AI connection you mean
- Gemini in Gmail: Features built into Gmail that can use email information to respond to a specific request, such as summarizing or helping draft a message.
- Gemini Apps Connected Apps: A connection that lets Gemini Apps interact with Google services. Its controls and data handling are described separately from Gemini features built into Gmail.
- A third-party AI app: A service you connected to your Google Account. Its access depends on the authorization you granted, applicable Workspace settings, and the provider’s own policies.
Those distinctions matter: a statement about one Gemini feature is not a blanket promise about every AI app that can connect to Gmail.
What Google says about Gemini in Gmail
In a corporate post dated April 7, 2026, Google said: “Google does not train its foundational AI models, including Gemini, on your personal emails.” Google also describes Gemini in Gmail as handling information for specific requests. What to check before connecting another AI app
- Open the Google Account connection controls. Review the third-party apps and services with access to your account, and select the AI app in question.
- Check what it is authorized to do. Read the requested Gmail permissions and actions, not just the app name. If you use a managed Workspace account, the administrator may also control whether the connection is allowed.
- Read the provider’s privacy terms. Check what data the service receives, how it uses it, whether it retains prompts or results, and how to request deletion. Do not assume another provider follows Google’s Gemini terms.
- Disconnect access you no longer want. Removing the connection can prevent future authorized access, but it may not erase information the provider already received.
As one provider-specific example, OpenAI says its connected-Google access is subject to the connected account’s permissions and Workspace settings, and recommends that administrators review app actions and OAuth scopes. How Workspace administrators can limit access
For a managed work or school account, ask the Workspace administrator which AI apps are approved, which OAuth scopes they receive, whether Gmail actions are enabled, and what approval or audit controls apply. Google’s Workspace Studio documentation gives a specific least-privilege example: a Gmail flow used for sending email has a limited OAuth client and does not receive Drive or Chat rights in that example. What disconnecting an app does—and does not do
Disconnecting revokes the Google-side connection; it does not guarantee that data already delivered to the AI provider has been erased. Google’s Gemini Apps Privacy Hub says connected services may retain data under their own policies. It also notes that deleting or updating information in a connected Google app may take days to affect Gemini’s experience. If you use Gemini Apps, check saved activity or conversations separately from the Connected Apps setting. A disconnected service and previously received or saved information are different things to manage.
