It can reach people who do not regularly use desk computers or company email, but it is a broadcast channel: a screen cannot confirm that a specific employee saw, understood, or acknowledged a message.
How do I reach frontline workers who don’t use company email?
Put shared, timely information where workers are likely to see it during their shift, then pair signage with a direct channel when a message needs individual delivery, a reply, acknowledgment, or off-site access. A screen does not require a worker to log in or use a personal device, which can make it a useful additional channel in factories, warehouses, distribution centers, transport depots, and retail stores.
Use signage for ambient, one-to-many communication: safety reminders, shift or production information, local updates, HR campaigns, training reminders, overtime notices, and recognition. Do not treat a message appearing on a screen as proof that every intended worker received it.
Where should workplace digital signage screens go?
Choose locations based on who passes through, how long they can look, and whether the information applies to that area. Map shift patterns, languages, sightlines, safety constraints, and urgency before selecting placements. What should we put on employee screens?
Start with messages that are useful to the people who can see a given screen, and make the content fit the time they have to view it. Examples documented in deployments include safety information, union news, overtime updates, performance targets, production status, training reminders, HR campaigns, and employee recognition.
- Make each message relevant: Target by site, department, work area, language, or audience instead of sending every item everywhere.
- Keep it readable in context: Use brief notices in high-traffic areas; put material needing more attention in places with longer dwell time.
- Set ownership and expiry: Name who writes and approves each type of content, who may publish to each screen group, and when dated messages must come down.
- Define urgent overrides: Decide which roles can interrupt routine playlists and how normal scheduling resumes afterward.
- Use data feeds selectively: If linking business applications or operational information, validate access permissions, data accuracy, and how updates behave.
Central scheduling and remote updates can help manage screens across locations. Valotalive describes customers using Microsoft applications and operational information, while Pickcel describes centralized scheduling and remote updates. Those examples illustrate possible workflows; the right setup depends on the organization’s systems and content controls.

Can digital signage confirm employees saw a message?
No. Signage can display a shared message, but it does not identify which individual saw it or provide an individual reply or read receipt. Blink’s comparison of signage and employee apps makes this distinction and points to complementary channels when individual acknowledgment, questions, or off-site access are needed.
Use signage to raise awareness or reinforce information. For communications that require evidence of receipt or acknowledgment, use a channel designed to deliver to individuals and capture their response. The channel choice does not replace checking the organization’s own legal or regulatory obligations.

How do I plan for reliable screens and publishing?
Treat the system as communication infrastructure, not just a set of displays. Before rollout, decide how staff will publish and support it, and what workers will see if connectivity or a device fails. BrightSign’s guidance raises practical questions about continuous operation, restart behavior, offline playback, remote status checks, centralized updates, and whether the network can deliver content to every screen.

A separate digital signage media player is relevant only if the display and CMS setup need an external playback endpoint. Check compatibility, operating conditions, remote administration, and outage behavior before buying; some systems include playback capability in the display or another part of the setup.

What do workplace signage deployments show?
Published examples illustrate implementation choices and possible content, but vendor case studies are not independent evidence that signage causes a particular engagement, productivity, or safety result.
- Stagecoach, UK: Kinly reports designing, configuring, and installing 305 LG screens, each 32–49 inches, managed with Appspace cloud content management. The project included depots and outstations, site surveys, remote training for more than 350 staff, and a tiered support and escalation model.
- Hindustan Unilever, India: Pickcel reports that a three-screen cafeteria pilot expanded to displays across the company’s Bangalore and Mumbai offices within one month. The vendor attributes changes in referral participation, training attendance, food-waste communications, elevator use, and security messaging to the rollout, but its account provides no independently validated effect sizes.
- CHEP, multiple countries: L Squared describes cloud signage supporting communications across departments and warehouses, including health and safety, union news, overtime updates, performance targets, and recognition. Its case study was published on 26 October 2023 and updated on 1 June 2026.
- Valotalive customer examples: The vendor presents customer perspectives on using screens for global and local information, reaching employees who may not check email or intranet daily, and sharing operational information. For example, Valotalive attributes to Development Expert Timo Kyttä the observation that shop-floor communication improved when production workers could see a visual, real-time summary of production status and customer information.
Use those examples to consider scale, content, training, and support—not to assume a general return on investment or a guaranteed outcome. The published material does not establish an independent cross-industry effect size for workplace signage.

How should I measure whether the channel is working?
Separate system performance from communication effectiveness. Remote status and content delivery can show whether screens are operating and receiving material; neither demonstrates that workers noticed or understood it. To assess a message, choose an outcome appropriate to its purpose—such as recall, comprehension, or a resulting action—and use a method capable of measuring that outcome. Where named-person acknowledgment is required, use a direct channel that can capture it rather than inferring it from screen playback.
