Not necessarily. Poland’s KSeF mandate does not mean every online store will stop accepting orders. The real risk is an invoicing or accounting workflow that cannot create the required FA(3) structured invoice or exchange it correctly through KSeF 2.0. Stores should check invoice creation, access permissions, submission and confirmation, invoice receipt, and what customers see while an invoice is being processed.
As of October 2026, receiving invoices through KSeF has been mandatory since 1 February 2026, while mandatory issuance started in stages. Which deadline applies depends on the taxpayer’s circumstances.
What KSeF changes for an online store
KSeF, Poland’s National System of e-Invoices, is the system for issuing, sending, receiving, and storing structured invoices. A structured invoice is an XML document that follows the government’s published logical format. From 1 February 2026, the applicable format is FA(3), replacing FA(2). FA(3) supports basic, corrective, advance, and settlement invoices. See the Ministry of Finance guidance on structured invoices and the FA structure and its FA(3) logical structure.

Whether a particular store is affected therefore depends on its invoicing setup—not simply on whether its storefront is online.

When does a business have to issue invoices through KSeF?
Mandatory receipt and mandatory issuance have different timelines. The Ministry of Finance’s scope guidance and the Ministry/KAS second-stage rollout announcement of 26 March 2026 set out the dates:

The PLN 200 million and PLN 10,000 figures are legal thresholds used to determine the rollout group, not estimates of disruption or store risk. The March 2026 Ministry/KAS notice also says penalties will not be imposed for KSeF errors committed during 2026. That is the stated enforcement treatment for 2026, not a permanent exemption from the requirements.
Where an integration problem can affect invoicing
The practical failure points follow from KSeF’s required format and documented API workflows. They are compatibility checks, not evidence that stores have experienced a particular failure rate.

FA(3) invoice generation
Confirm that the software creating invoices produces FA(3) XML, rather than relying on an older schema. Ask the provider how it handles the invoice types your business actually issues, including corrections, advance invoices, and settlements.
Authentication and delegated access
The integration needs an appropriate way to authenticate and manage access. Confirm who can authorize the connection, how permissions are granted or changed, and whether your accountant or accounting office has the access it needs. KSeF supports taxpayer-authorized people and entities, including accounting offices.
Submission, identifiers, and confirmation
Ask which submission modes the software supports and how it reports the result. The official KSeF 2.0 technical resources document authentication, interactive and batch invoice submission, and obtaining an official receipt confirmation (UPO). Confirm that your workflow retains the KSeF identifier and UPO, and makes submission failures visible to the person responsible for correcting them.

Invoice receipt
Since receipt through KSeF became mandatory on 1 February 2026, check how incoming invoices are retrieved, routed, and made available to the person who approves or records them. A system that sends outgoing invoices correctly may still need a separate process for incoming ones.

What the customer sees
Do not assume an order confirmation or payment receipt is the same thing as a structured VAT invoice. Official guidance describes transaction confirmations and QR-based two-step access in some cases. Ask the provider how its software handles customer-facing invoice information while a structured invoice is being processed or before it receives a KSeF number.
Does KSeF determine when an invoice is issued?
KSeF guidance says invoices are generally issued online. The system assigns a KSeF number, and the date that number is assigned is treated as the invoice’s receipt date. In an online-store workflow, keep the invoice’s KSeF status distinct from order acceptance, order confirmation, and payment confirmation. The official guidance does not say that checkout or order acceptance must wait for a KSeF response.

How to check whether your store is ready
- Identify your invoicing path. Map how an order becomes an invoice, which system creates it, and which system sends it to KSeF. Include any separate accounting software or accountant workflow.
- Verify the format and version. Get confirmation from your provider that the current setup supports KSeF 2.0 and FA(3), including the invoice types your business uses.
- Walk through permissions. Check how the connection authenticates, who controls access, and how an accountant or other authorized party is included.
- Test the full submission loop. Confirm the needed submission mode, how the system signals success or failure, and where the KSeF identifier and UPO are stored and reviewed.
- Test incoming invoices. Establish who retrieves them, how they reach bookkeeping, and how the business handles exceptions.
- Review the customer-facing process. Ask what customers receive while an invoice is being processed and how the applicable confirmation or QR-based access works in your software.
- Run the workflow with your provider and accountant. Use realistic store cases—such as a correction or advance invoice if relevant—and agree who handles an error or an invoice that needs follow-up.
The Ministry’s KSeF 2.0 API documentation and technical portal describe integration resources, scenarios, and client libraries. They are not a certification that any particular ecommerce plugin or vendor works with KSeF.

The Ministry identifies free tools as one route and software integrated with the KSeF API as another. The right choice depends on your invoicing volume, submission needs, accounting arrangements, and connection to the rest of your store’s systems; official sources do not establish that one route performs better for every business.

The Ministry’s API documentation covers integration workflows, but the existence of an API or client library does not establish that a specific provider or store plugin is compatible. Get confirmation for the exact software, version, and workflow you use.
What is—and is not—known about store disruption
The official material establishes rollout dates, legal thresholds, the FA(3) format, and KSeF workflows. It does not publish a measured statistic for ecommerce-store failures, delayed orders, checkout downtime, or economic impact. That means there is no basis here for saying that every store will break, assigning a failure probability, or claiming that KSeF necessarily stops a storefront from taking orders. The useful response is to verify the invoicing and receipt paths that your business depends on.
