A PDF box can be ordinary page text, a fillable form field, an annotation, a scanned image, or a field whose visible appearance is missing. First identify which kind you have; then use the matching fix. Trying to type into a printed line, changing the wrong kind of object, or flattening a form too early can make the problem worse.
Identify what kind of “text box” you’re dealing with
PDFs can show similar-looking boxes that behave differently. Make a copy of the file before editing, then select the box or try the relevant tool in your PDF app. The object type determines whether you can edit text, enter a form value, or need to rebuild the content.

A printed underline, drawn rectangle, or blank space is not automatically a fillable field. If clicking it does not activate a field, the PDF may simply contain artwork or page text. Likewise, seeing a completed value does not prove that the original field still exists: a flattened PDF can display the value while having no live field to select.
Fix a scan or text that is not selectable
A scanned page is an image, not ordinary editable text. OCR (optical character recognition) analyzes the image and creates a text layer that can be searched or selected. Adobe says Acrobat automatically runs OCR when a PDF is generated from a scanned document, but a scan created another way may still need OCR.

- Keep an untouched copy of the PDF.
- Open the file in Acrobat and run OCR if the page is a scan without a usable text layer.
- Check that the recognized words are selectable and correct, especially names, numbers, and punctuation.
- Use the Edit tool to change recognized page text if the document and available fonts permit it. For extensive changes, the original source document may be a better place to edit and regenerate the PDF.
OCR does not recreate the original form structure. It can make scanned words searchable or selectable, but it does not turn a printed line into an AcroForm field or restore fields removed by flattening. If people must fill the document repeatedly, add actual form fields in a form editor rather than relying on OCR.
Fix page text that will not edit or changes appearance
Font availability is a frequent cause of failed edits and substitutions. Adobe’s guidance is that text can be edited only when its font is installed on the system. When a font is embedded but not installed, Acrobat limits editing; if it is neither installed nor embedded, Acrobat cannot edit that text. A substitute font can also change the appearance or fail to include the glyphs needed for the characters you enter.
- Check whether the font used by the text is installed on the editing computer.
- If the document relies on an embedded font that is not installed, expect editing limitations rather than assuming the PDF is corrupt.
- Check that the font supports the characters you need, including accented letters and non-Latin scripts.
- If the text is important and the original document is available, make the change there and export a new PDF with an appropriate font.
Changing a font may alter spacing and line breaks, so inspect the result at normal viewing size and after saving. If a text object cannot be selected at all, reconsider its type: it may be a scan, flattened content, or an annotation rather than editable page text.

Fix a form field that accepts text but looks blank, clipped, or wrong
An interactive field stores its value separately from the appearance used to paint that value on the page. The PDF specification includes an appearance entry (AP); changing a field value directly does not necessarily regenerate that appearance. As a result, one viewer may show a value while another shows a blank box, stale text, or unexpected styling.
Inspect the field’s appearance and size
In Acrobat’s form editor, open the field’s Properties and examine Appearance and Position. Check each item against what the field is meant to display:
- Font and font size: try an appropriate installed font and check whether the size is automatic or fixed.
- Text color: make sure it contrasts with the page and field fill.
- Fill color and border: a non-transparent fill can cover content behind the field; check the border, line thickness, and fill transparency.
- Width, height, and position: confirm the field is on the page, aligned with its label, and large enough for the value and chosen font.
- Multiline and comb settings: verify that the field’s input behavior suits the value being entered.
A field can be present and contain a value while appearing empty if its text color blends into the background, its text is clipped, or its fill covers what is behind it. If a field is off the page, hidden, locked, read-only, or covered by another object, fix that condition in the form editor rather than repeatedly entering the value.

Regenerate the visible appearance
If the value exists but its display is missing or outdated, open and resave the form in a compatible viewer or use the authoring library to regenerate field appearances. Editing the field in Acrobat’s form tools is another option. Changing raw field values alone may not update the AP appearance that viewers use to draw the text. Reopen the saved PDF in the viewer where it will be used and confirm the value is still visible.
Why text disappears after flattening—and when to flatten
Flattening converts editable field content into static page content and removes the original interactive field objects. It can help when a recipient, upload service, or processing system mishandles live form fields, but it ends the ability to fill those original fields. Adobe Acrobat Sign recommends printing to PDF and retrying when an upload fails; its documentation describes flattening as a way to normalize PDFs from third-party generators.

- Save an unflattened copy first, especially if anyone may need to edit or fill the form again.
- Verify that all field values are present and visible in the saved PDF.
- Flatten or print to PDF only when you need a static deliverable or are addressing a downstream upload or compatibility problem.
- Open the resulting file and check that the displayed content survived and that the expected pages are present.
If text disappears during or after flattening, do not assume flattening is an undoable display toggle: the original field objects may have been removed. Reopen the pre-flattened copy, check the field appearance and value, and create a new flattened copy only after confirming the form renders correctly. Flattening is not an appropriate fix when the recipient still needs to type into the fields.

Why a text box does not grow or continue on the next page
PDF text boxes are not word-processor paragraphs. Acrobat documents that each text box is independent: text reflows inside the selected box, but adding text does not push a neighboring box down or continue onto another page.
- Resize the selected box if there is room on the page.
- Reduce the font size if the full text must fit within the existing layout.
- Split the content deliberately across separate boxes or pages when that is acceptable for the document.
- Return to the source document when you need text to reflow through a multi-page layout, then export a fresh PDF.
Handle XFA and conversion failures
XFA forms and complex layouts can fail when sent through a conversion service or opened in a processor that does not support their behavior. Adobe AEM Forms documents limitations that include dynamic XFA behavior, lost bindings for composite text/date fields, undetected misaligned input fields, unsupported complex layouts, encrypted or password-protected files, and a 15-page limit for the cited conversion service. That page limit is specific to that service; it is not a general limit for all PDF tools.
- Use the form in its intended viewer or test it in the actual conversion or upload system before distributing it.
- Remove encryption or password protection only if you are authorized to do so and the target processor requires an unlocked file.
- Align form fields with their labels and simplify layouts that the target processor does not support.
- Avoid depending on unsupported XFA scripts or composite-field bindings in conversion workflows. If broad compatibility is essential, consider rebuilding the form as a simpler AcroForm and verify the rebuilt fields.
A practical troubleshooting sequence
- Protect the original. Save a working copy before changing fields, running OCR, or flattening.
- Classify the object. Decide whether it is page text, an AcroForm widget, XFA, an annotation, or scanned/flattened image content.
- Try the right editing path. Use Acrobat’s Edit tool for page text; run OCR first for a scan; use form-field tools for a live field; use annotation controls for markup.
- Check field settings. For an AcroForm field, inspect font, size, text and fill colors, border, multiline or comb behavior, position, visibility, locking, and read-only status.
- Check the font. Confirm it is installed or appropriately embedded and supports the characters being entered.
- Save and reopen. Verify the saved result in the intended viewer; if a field value is present but not painted, regenerate its appearance through a compatible viewer or authoring tool.
- Use flattening only as a last compatibility step. Do so only when editability is no longer needed, and keep the live-field copy.
- For conversion failures, simplify. Check encryption, layout, field alignment, XFA scripting, and the limits of the specific conversion service.
