A printer showing Offline in Windows 11 does not necessarily mean it is broken. The status can come from a lost Wi-Fi or USB connection, the wrong printer being selected, a stuck print job, or a problem with Windows’ Print Spooler. Check those in order, starting with Microsoft’s printer troubleshooter in Get Help.

Why does Windows 11 keep showing the printer as offline?

Windows can lose communication with a printer or report its status incorrectly. The label alone does not identify the cause. Microsoft’s troubleshooting guidance addresses network and cable connections, printer selection, queued jobs, the Print Spooler service, and reinstalling the printer.

Use the connection type and symptoms to narrow it down: a Wi-Fi printer may be on a different network or have weak signal; a USB printer may have a loose or faulty cable; a queue that will not clear may be blocking new jobs. If another device can print, that is useful evidence to focus on the Windows PC’s selection, queue, or connection rather than assuming the printer itself has failed. Microsoft and HP do not provide a statistical ranking of these causes, so there is no supported percentage or single “most common” cause.

How to bring an offline printer back online

1. Run the Windows printer troubleshooter

  1. Open the Get Help app in Windows 11.
  2. Run the automated printer troubleshooter and follow its prompts.
  3. If it does not resolve the issue, continue with the checks below.

2. Check power and the printer’s connection

Turn the printer off, unplug it, wait 30 seconds, reconnect it, and turn it back on. Then check the connection that applies:

  • Wi-Fi: Use the printer’s screen or manual to confirm it is connected to Wi-Fi. Make sure the PC and printer are on the same network. If you have multiple network names, access points, or extenders, check that the devices have not joined different networks.
  • USB: Make sure the cable is firmly connected at both ends. If Windows does not recognize the printer, check the cable for visible damage and try another cable or USB port.
  • Ethernet: Check that the network cable is firmly seated at the printer and network equipment, and verify that the printer is powered on.

Microsoft’s connection and printing troubleshooting guide describes general Windows checks. HP’s offline-printer advice is specific to HP printers, including checking Wi-Fi signal strength.

3. Confirm the printer Windows should use and clear its queue

  1. Open Settings > Bluetooth & devices > Printers & scanners.
  2. Select the printer you intend to use and set it as the default printer if needed.
  3. Open its print queue and cancel jobs that are stuck or no longer needed.

Clearing a blocked job can allow later jobs to proceed. Check the queue before making more disruptive changes.

4. Restart the Print Spooler

  1. Search Windows for Services and open the app.
  2. Find Print Spooler, right-click it, and choose Restart.

If restarting the service does not help, Microsoft describes a deeper reset that stops the service, clears its spool files, and starts it again with Automatic startup. Clearing those files removes queued print jobs, so do it only after the simpler checks and when you are prepared to resend the jobs.

5. Remove and add the printer again

  1. In Settings > Bluetooth & devices > Printers & scanners, select the printer and choose the option to remove it.
  2. Make sure the printer is powered on and connected to the PC or network.
  3. Choose Add device and follow Windows’ prompts to add it again.
  4. Restart the PC if the printer still does not reconnect.

For an ARM-based PC, Microsoft notes that a manufacturer’s installer may not be able to add or install some printers. Use Windows’ built-in add-printer process unless the manufacturer gives different guidance.

When should you suspect weak Wi-Fi coverage?

Look at signal strength and whether the offline state coincides with a weak or unreliable wireless connection. HP recommends checking the signal and moving the printer closer to the router if reception is poor. A Wi-Fi range extender may help when the evidence points to recurring coverage trouble, but it will not fix a stuck queue, the wrong default printer, or a Print Spooler problem.

How to tell which part of the setup needs attention

  • Only this PC cannot print: Check its default-printer selection, queue, and communication with the printer.
  • No device can print: Check that the printer is powered on and connected to the network or cable.
  • Jobs remain pending or paused: Inspect the printer queue and cancel jobs that are no longer needed.
  • The status changes when Wi-Fi reception is poor: Check the printer’s network status and signal before considering coverage changes.
