A table export that contains only the rows on screen may be limited by the current view, export scope, selected rows, or pagination. The cause depends on the application: some exports follow a filtered view, while others can include records that are not currently visible. Check the app’s filters and export options before assuming the data is missing.
First, identify what the export is exporting
“Export a table” can mean exporting the current view, a report region, selected rows, or all available data. Those scopes do not behave the same way across applications. Confirm whether you started the export from a table, view, report, or shared link, then look for wording such as “All” or “Point of View.”
Check filters and search criteria
A filter or search can narrow the data available to an export. In Airtable, a grid-view CSV includes the field values visible in that view. To download all records in a table, Airtable advises removing the grid view’s filters first. A full base is not exported as one file; download each table separately. Airtable’s export instructions explain the view-based behavior.
Oracle also identifies search criteria and filters as factors that can affect exported results. Check both the table’s filters and any search field before exporting. Oracle’s version 25D documentation describes these considerations.

Choose the right export scope
Some products explicitly distinguish the visible table region from all data. SAP Analytics Cloud offers a “Point of View” scope for the visible rows and columns in the table region, and an “All” scope for all data. Filters still apply, so an “All” export does not necessarily ignore the report’s filtering. SAP’s documentation version 2023.20 sets an All-scope CSV limit of 3 million cells or 60 measure columns. SAP’s export documentation details the scopes and limit.
Check selected rows and later pages
In some applications, selection changes what gets exported. Oracle says an export includes selected rows; if row selection is disabled or no rows are selected, it includes all rows, including rows not visible on the current page. The same documentation notes that paged views may require you to go to subsequent pages or views. If your export is unexpectedly short, verify the selection state and whether the table has more pages.

Look for hidden columns and download permissions
Rows are not the only possible omission. Oracle flags hidden columns as a factor to check when exported data does not match expectations.

For Airtable shared views, a viewer-applied filter does not change the CSV download: it reflects the original shared view. The view creator can disable CSV downloads. If you cannot download the file, or it does not reflect your temporary filter, check the shared-view settings and permissions. Airtable’s view documentation covers shared-view behavior.

A quick troubleshooting sequence
- Identify the export source. Note the application and whether you are exporting a table, view, report, or shared link.
- Review filters and search. Clear criteria that should not restrict the export. For an Airtable grid view, remove its filters to download all records in that table.
- Set the scope. If offered, choose “All” rather than a scope limited to the visible table region.
- Check selection and pagination. Confirm which rows are selected and whether later pages or views need separate exports.
- Inspect the output fields. Check whether hidden columns explain missing information.
- Verify shared-view access. The creator may have disabled CSV downloads, and a viewer’s temporary filter may not change the shared-view CSV.
- Consult the app’s current documentation. Export rules differ by product; without the application name, exact menu steps cannot be confirmed.
