They are complementary: a practical workflow can prepare data with Power Query, analyze it with Python, and return values to Excel for charts or further formulas.
Choose by where the data starts and what you need to do
Start with four questions: Is the data already in the workbook, or must it be imported? Is the task a calculation on rows, or a repeatable transformation of tables? Who will need to read and maintain the logic? Which Excel platforms, connectivity, and Microsoft 365 access does the workflow require?

The distinction between formulas and the other options is a workflow rule of thumb, not a Microsoft performance benchmark. There is no documented speed ranking here that would justify choosing one method based on an assumed performance advantage.
When Excel formulas are the right tool
Use formulas when the work is fundamentally a calculation or rule applied to data already in the workbook. Formulas keep the logic in the worksheet alongside the data, where users can inspect how a value was derived. They are a natural fit for row-level checks, lookups, conditional labels, and summaries.

If the task is instead to repeat the same sequence of imports and table-cleaning steps whenever source data changes, consider Power Query. If the analysis itself is more clearly expressed as code or relies on analysis libraries, consider Python.
When to use Power Query
Power Query is designed for connecting to external or other data sources, shaping data, loading results to a worksheet or Data Model, and refreshing them. Microsoft describes it as “a technology embedded in Excel and other Microsoft products designed to help you shape your data.” See About Power Query in Excel.

Its tabular preparation operations include removing, renaming, splitting, and expanding columns; changing data types; grouping or aggregating; and merging or appending queries. For more complex transformations, Query Editor also supports M formulas. See Power Query for Excel Help.
Power Query is available in Excel for Windows, Mac, and the web, but precise capabilities vary by platform. Microsoft’s overview notes that Excel for the web gained refresh of queries from authenticated data sources in 2025; check the current support for the source and Excel application you plan to use rather than assuming all refresh scenarios work identically.

When to use Python in Excel—and its limits
Python in Excel lets you enter Python in a worksheet cell and refer to Excel ranges, tables, queries, and names with xl(). It supports pandas DataFrames and other libraries. Results can remain Python objects or be converted to Excel values that work with charts, formulas, and conditional formatting. See Microsoft’s Introduction to Python in Excel and Python in Excel DataFrames.
- Python calculations in Excel run in Microsoft’s cloud and require internet access and a qualifying Microsoft 365 subscription.
- The documented supported platforms are Windows, the web, and Mac. Python cells cannot recalculate in the iPad, iPhone, and Android apps.
- In this cloud environment, Python libraries cannot make network requests or access local machine files and data. Common functions such as
pandas.read_csvandpandas.read_excelare not compatible with Python in Excel.
For external data in Python in Excel, import it through Power Query first, then reference the imported data in Python. These constraints describe Microsoft’s Python-in-Excel feature, not a locally installed Python environment. Combine the tools when the workflow has distinct stages
- Import and prepare: Use Power Query to connect to external data, clean and reshape it, and load the result.
- Analyze: In Python in Excel, reference the prepared workbook data with
xl()and use Python where code or analysis libraries suit the task. - Present and continue working: Return Python results as Excel values when you need to use them with normal workbook charts, formulas, or conditional formatting.
This division gives each tool a defined job: Power Query handles repeatable data preparation, Python handles analysis, and Excel’s worksheet features support workbook-facing calculations and presentation.
