Consider replacing a custom server monitor when the time and risk of operating it—patching, upgrades, storage, capacity, repairs, and recovery—have become significant, and a managed service meets your requirements for telemetry, security, retention, reliability, and total cost. There is no universal team-size or server-count threshold. The decision depends on what your team actually operates today and what the service would still leave you responsible for.
Signs your custom monitor is becoming a liability
Start by measuring the work required to keep monitoring available, not just the infrastructure bill. Track staff time spent patching and upgrading the monitoring server, maintaining storage, managing capacity, repairing collectors, restoring data, and troubleshooting the monitoring system itself. Include the operational cost of incidents caused by gaps or failures in monitoring.
These tasks are part of the trade-off in self-hosted monitoring. Grafana’s comparison describes storage, scaling, upgrades, and reliability as customer responsibilities for a self-hosted deployment. Grafana Cloud is described as a managed service that removes the need to deploy, scale, upgrade, or operate the observability stack. That does not establish that every local agent, integration, or response task disappears.
Replacement is worth evaluating when the maintenance burden is persistent, the current system struggles with growth or recovery, or monitoring upkeep competes materially with higher-priority engineering work. A custom setup may still be the better fit if it is stable, inexpensive to operate, and meets requirements that candidate services cannot satisfy.

What a managed service will—and will not—operate
A managed backend can take over operation of storage and query infrastructure, but your team may still own instrumentation, agents or collectors, network access, data selection, alert quality, and incident response. For example, Grafana documents Alloy and OTLP ingestion methods, private network paths, and connections to external data sources. Confirm which components run in your environment and who maintains them.
Integration choices matter. New Relic documents Prometheus Agent options for Kubernetes and Docker OpenMetrics that do not require customers to manage Prometheus servers. Its remote-write option is for teams with existing Prometheus servers and leaves those servers customer-operated. The Docker OpenMetrics option also has limitations, including lack of HA replica support. Check the specific path against your current architecture rather than assuming that a vendor’s Prometheus support means every Prometheus deployment transfers its operational burden.

- Which storage, scaling, upgrades, backups, and query components does the provider operate?
- Which collectors, exporters, agents, and network paths remain yours to deploy and maintain?
- Who owns dashboards, alert rules, routing, and incident-response procedures?
- Can you use your existing Prometheus or OpenTelemetry instrumentation and dashboards, and what changes are required?
Compare coverage, cost, and constraints before choosing
Coverage and correlation
List the signals and integrations you use, including host and application telemetry, and check whether a candidate can ingest and correlate them in the way your team needs. Grafana documents managed backends for metrics, logs, traces, and profiles, as well as connections to external data sources. That product description is not a guarantee that every integration or workflow in your environment is supported; validate the particular sources and queries you rely on.
Estimate total cost at your actual data volume
Compare a candidate’s expected service charges with the full cost of your current setup. Estimate low, typical, and peak ingest by signal and source, along with cardinality, scrape cadence, and retention. Add the staff time and infrastructure, storage, networking, backups, support, and attributable incident costs for the existing stack. For the managed option, include the work that remains on your side, such as integration and response.
Scrape cadence and filtering can change the volume estimate. New Relic’s Prometheus integration documentation gives a vendor-specific example in which changing the scrape interval from 30 seconds to 1 minute can reduce data volume by 50%. This is an example for that integration, not a general savings guarantee or an estimate of what your team will save by switching. New Relic recommends choosing intervals based on observability needs and filtering or targeting data to manage volume.

- Compatible to: This Mounting Bracket is designed for the TAA compliant Universal VESA LCD Monitor in 19-inch network cabinet or server rack.
- Sturdy Structure: The LCD mounting bracket is made of cold rolled steel and supports 100mm & 75mm VESA mounted LCD panels.
- Adjustable Depth: This adjustable depth design enables an LCD panel to be mounted into the AV rack cabinet at various depths; allowing the rack or cabinet door to be closed.
- Multi-use: Besides using in 19" network cabinet or server rack, the LCD monitor can be mounted onto wall by adding this bracket onto a wall mount bracket or rack.
Recalculate after identifying unused metrics or changing scrape intervals. Do not assume lower ingest is acceptable until you have checked whether it preserves the freshness and detail your alerts and investigations require.

Retention, security, and governance
Verify retention separately for each signal and confirm data residency, network connectivity, access controls, export and deletion options, and any required compliance attestations. New Relic notes that retention can affect cost, performance, and compliance, and recommends checking effective account settings because defaults may not match an organization’s configuration. Confirm the settings and terms that would apply to your own account rather than relying on a vendor’s default description.
Reliability and support scope
Read the service-level terms and confirm which service components they cover. Grafana’s comparison page states a 99.5% uptime SLA for its managed service; verify the current contractual scope before using that figure in a purchasing decision. A platform SLA alone does not establish end-to-end availability for collection from every host, alert routing, or your incident response. Also compare support availability and the relationship between support and the alerting workflow your team needs.

Plan limits and exit options
Check ingest and storage limits, retention, query limits, and support terms for the specific plan under consideration. Grafana says its free plan has lower ingestion and storage limits, shorter retention, and community support without SLA-backed support, so a free evaluation tier should not be treated as evidence of paid production terms.
Before committing, establish how you can export data, preserve useful dashboards and rules, and move telemetry elsewhere if the service no longer fits. Include the practical migration effort and any dependencies on vendor-specific features in the comparison.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Use a staged evaluation and migration
A parallel, limited migration lets you compare a candidate against your existing monitor and retain a rollback path. The exact steps depend on your architecture; this sequence is a risk-reduction approach, not a vendor-prescribed universal method.
- Inventory what you rely on. Record telemetry sources, alert rules, dashboards, retention needs, integrations, and known failure modes in the current stack.
- Check the candidate against requirements. Verify security, networking, plan limits, retention, service terms, support, and expected cost using your actual requirements and volume estimates.
- Forward a representative subset. Compare signal coverage, freshness, labels, query results, alert behavior, and estimated cost with the existing monitor.
- Move critical workflows in stages. Migrate dashboards and alerts incrementally, and document the components that remain customer-operated.
- Keep rollback available through acceptance. Retain the old monitor for an agreed acceptance period. Retire it only after the team has validated its incident workflows and defined rollback requirements.
Make the decision from your evidence
Put the measured operating workload, infrastructure costs, realistic telemetry estimates, remaining customer-side work, and required controls side by side. A managed service is a strong candidate when it meets your technical and governance needs while reducing an operational burden that matters to your team. Keep the custom monitor when its workload is manageable or a candidate fails a requirement; do not switch on the assumption that managed monitoring automatically costs less or removes all operations.
