Use a documented process: inventory each asset, confirm you can transfer or reuse it, assess its condition and supportability, then choose a disposition route. Before equipment or media leaves your control—or is reused—sanitize or destroy its storage media and retain records showing what happened to each asset.
How should you assess outdated equipment?
Age alone does not determine whether a server, storage array, switch, or rack is worth keeping. The practical question is whether it can meet a workload’s performance, security, compatibility, and power requirements—and whether its likely recovery value justifies testing, repair, labor, and logistics.
- Build an asset inventory. Record each item’s asset ID, serial number, configuration, condition, and any associated storage media. Confirm ownership and check lease, warranty, contract, and software-license restrictions before transferring or repurposing it.
- Assess operational fit. Check firmware, support status, performance, compatibility, and security requirements for the intended workload. Estimate repair, handling, and shipping effort alongside any expected resale or parts value.
- Assign a disposition class. Mark each item as reusable, repairable, resaleable, parts-only, or waste. Base the decision on the assessment, not on age alone.
Which disposition route fits the equipment?

Compare candidate routes by their data-security assurance, likely recovery value, total labor and logistics cost, environmental controls, and the quality of the audit evidence they provide. A trade-in or resale offer is not automatically the best outcome if the effort or data-handling uncertainty outweighs the value recovered.
How do you prepare hardware for transfer, reuse, or recycling?
Follow a controlled decommissioning process rather than removing equipment informally. NIST SP 800-160 Volume 2 Revision 1 advises securely disassembling a system or system element into manageable components for reuse, recycling, reconditioning, archiving, or destruction, and sanitizing system elements and lifecycle artifacts according to the chosen disposition. Keep the asset inventory tied to the components as they are separated so that storage media and other parts remain traceable.

Before release, resolve ownership and contractual restrictions, identify all storage media, and decide whether each component is being reused, transferred, harvested for parts, or discarded. Preserve the equipment’s security characteristics during removal and handling; do not let a routine hardware transfer bypass the organization’s media-sanitization decision.
How should you sanitize or destroy storage media?
NIST SP 800-88 Revision 2 defines media sanitization as a process that “renders access to target data on the media infeasible for a given level of effort.” NIST cautions that residual data on media that are transferred, obsolete, or no longer needed must not be easily recoverable. Select a method based on the media type and the confidentiality of the information, rather than treating all drives as interchangeable.

- Choose and document a suitable method. Depending on the media and risk, options include clearing, purging, cryptographic erase, degaussing, or physical destruction. The appropriate choice depends on the specific media and organizational policy.
- Do not treat ordinary deletion as sanitization. Deleting files or performing a quick format is not, by itself, a documented sanitization decision.
- Keep a record for each item. Link the asset ID and media ID to the method, tool or service used, operator or vendor, date, verification result, and final destination.
If equipment held electronic protected health information, HHS says covered entities must have procedures for final disposition and for removing ePHI before media are made available for reuse or disposal. HHS identifies clearing, purging, and destruction methods; where destruction is required by the circumstances, examples include disintegrating, pulverizing, melting, incinerating, or shredding. Other regulated data regimes may add requirements, so check the applicable contract, sector rule, and jurisdiction.

For equipment that cannot reasonably be reused or recovered, use an electronics recycler with independently audited certification and clear downstream controls. The U.S. Environmental Protection Agency identifies R2 and e-Stewards as recycling standards. Their requirements address environmental controls, worker and downstream protections, reuse and recycling, and data destruction on used electronics. EPA encourages recyclers to demonstrate that they meet applicable standards through an accredited, independent third-party auditor.

- Verify the provider’s current R2 or e-Stewards status and whether it covers the location and service you need.
- Ask how equipment and media will be transported, tracked, sanitized or destroyed, and handled by downstream vendors.
- Confirm what documentation the provider will deliver, including a serialized inventory, chain-of-custody record, sanitization or destruction certificate, and final disposition report.
- Check that the provider’s insurance, geographic coverage, and contract terms fit your organization’s requirements.
EPA also recognizes reuse, exchange or sale, vendor take-back, and certified third-party recycling as electronics disposition routes. A qualified IT asset disposition provider may combine inventory, secure media handling, remarketing of usable equipment, and documented recycling, but verify its certification and controls rather than relying on a service label alone.
