If you update the same status in two project boards, copy meeting decisions into several tools, or spend a meeting reconciling conflicting dashboards, pause before adding another app. Pick one recurring task, map every tool and handoff it touches, then remove or simplify one clearly duplicated step. Keep switches that serve a real purpose.
Map one task from start to finish
Choose a task your team does regularly, such as approving a feature, onboarding a customer, or preparing a weekly update. Follow one real instance from the first request to its completion. Write down what happens at each step rather than listing every app your startup owns.
- Record the trigger and outcome. What starts the task, and what counts as done?
- List each tool and handoff. Note who moves work or information from one person or system to the next.
- Mark repeated entry. Identify details entered again, statuses updated in multiple places, and decisions recopied after meetings.
- Note interruptions. Include notifications, requests for status, and time spent finding the latest information.
- Ask why each switch happens. Is a separate tool needed for a collaborator, a distinct task, or a particular kind of content?
This task-first approach matters because a single task can involve several applications. Autodesk Research’s 2023 study interviewed 15 knowledge workers and five product teams about why people switch tools and the challenges that follow, including data transfer, distraction, and the effort of refocusing. The study proposes multiple reasons for switching, so a switch is not automatically waste. Read the study abstract and paper details.
Separate necessary coordination from duplicate administration
For each step on your map, decide whether it moves the task forward or merely repeats information already available somewhere else. A handoff may be necessary when another person must review or approve work. Copying the same status into a second board solely to keep it current may be duplicate administration—unless that second location serves a real audience or purpose.

For repeated updates, choose a source of truth: the one place your team agrees to check for the current status or decision. Then clarify who updates it and how others should find it. Do not declare a tool redundant just because it overlaps with another one; first identify which collaborators, content, or coordination need it supports.
Evidence specific to software development in startups is limited. A 2023 systematic mapping study identified 16 studies entirely dedicated to the subject and assessed 10 as weak contributions. That count and assessment describe the published research base, not how often startups experience busywork or which software causes it. See the mapping study.

Make one small change and check its effect
Use the map to choose a change that removes a specific repeated step without concealing useful work. Examples include stopping a duplicate status update, making one tool the agreed source of truth, or clarifying whether a handoff requires an action or is only for visibility. These are practical workflow suggestions, not interventions tested by the application-switching study.
- State the problem precisely. For example: “After each planning meeting, the project lead copies the same decision into two boards.”
- Change one part of that workflow. Keep the scope small enough that the team can tell what changed.
- Tell affected collaborators. Explain where the current information now lives and who is responsible for maintaining it.
- Review after a short, agreed interval. Check whether the repeated step disappeared and whether anyone lost access to information or coordination they need.
If the duplicate work is gone but the task still stalls, the underlying issue may be an unclear owner, approval, or handoff rather than the software itself. Update the workflow map before making another change.

Decide whether the issue is the workflow or the tools
Consider evaluating another tool only after mapping the real workflow. A new platform is unlikely to resolve unclear responsibilities by itself, and switching can introduce migration, setup, and coordination work. Compare candidates against your task rather than a generic feature checklist:
- Workflow fit: Can the team complete the mapped task without awkward detours?
- Repeated updates and data transfer: Does the workflow still require copying the same information between places?
- Handoffs and collaborators: Can the people who need to act or review do so without unnecessary steps?
- Context and integrations: Can the team keep relevant decisions and information accessible?
- Ongoing administration: What setup and maintenance will someone have to keep doing?
The available evidence does not establish that one named startup-management platform reduces busywork better than another. Choose based on the work your team actually needs to coordinate, and verify current product capabilities before committing.

Keep the decision proportional to the evidence
Startup work can span many functions, but that does not make every new tool a workload fix. OpenAI reported in May 2026 that at least four million people in the United States used ChatGPT during March 2026 to help plan, start, run, or grow a business. That figure describes reported usage, not proof that AI or management software automatically saves time. Read OpenAI’s account.
Founder workload is also a broader concern than software administration. A 2021 Academy of Management Proceedings abstract draws on longitudinal data from 38 founders in 14 early-stage ventures to examine entrepreneurial fatigue; it does not establish that management software causes fatigue or measure how common it is among founders.
