A sensible starting point is automatic confirmation and routing for ordinary paid orders. Hold orders that meet a risk condition, have an address problem, lack reliable stock data, or cannot be handled by the selected fulfillment route. Do not dispatch every order automatically without checking the conditions that matter to your store.
Inventory
Inventory workflows can watch stock changes and send an alert or start a replenishment process when an item reaches a configured threshold. They can also synchronize availability between a storefront, sales channels, order systems, and fulfillment operations. Before relying on an automated stock count to promise availability, verify that the connected systems update promptly and agree about what is sellable. A delayed or inconsistent inventory feed can cause the automation to make a wrong promise faster.
Customer service and routine messages
Order confirmations and shipping updates are common candidates for automatic delivery. Incoming questions can be categorized and routed to the appropriate queue. Keep a clear escalation route for exceptions, complaints, or questions the system cannot answer confidently; an automated response is not a substitute for resolving an unusual order issue.

Build and test a workflow safely
- Map the current process. Write down who does each step, which systems are involved, what information moves between them, and how exceptions are handled.
- Choose one frequent, predictable task. Keep the first workflow narrow enough that you can check its results.
- Define the trigger, conditions, and actions. Specify what starts the workflow, which cases qualify, and exactly what the system should do.
- Define exception routes. Decide which cases stop, notify someone, or require approval instead of continuing automatically.
- Test controlled cases before production use. Include ordinary cases and likely exceptions, then check the result in every connected system. This is recommended practice, not a claim that the sources tested a particular workflow.
