Can Copilot access my files if I share a Microsoft 365 account? Sometimes—but there is no single shared data pool. Copilot’s reach is determined by the identity that is signed in, that identity’s license, the permissions on the file or mailbox, the app and device, and any organization policy.
A Microsoft 365 Family subscription, several accounts signed into Word, a personal Copilot subscription used on a work document, an organization’s Microsoft 365 Copilot license, a connected Outlook mailbox, and a shared Copilot chat are different situations. The rules below separate them so you can tell exactly what Copilot can and cannot use.
First identify what “shared Microsoft 365 account” means
People use “shared account” to describe several unrelated arrangements:

- A personal Copilot subscription being used while a work or school document is open.
- An organization-issued Microsoft Copilot license in a Microsoft 365 tenant.
- Additional email accounts connected to Outlook.
- A Copilot conversation or answer shared with another person.
These arrangements do not combine identities or silently transfer permissions. Microsoft’s governing rule for work and school documents is: Microsoft Copilot data protection is always based on the identity used to access the file.

What Microsoft 365 Personal and Family plans expose
Personal account grounding
For an individual Microsoft account, Microsoft says Copilot grounding can use the account owner’s content, such as OneDrive files, Outlook.com email and calendar events, and Word documents. The exact feature set still depends on the product, app, platform and current entitlement. Microsoft describes the consumer behavior in How grounding works with individual or family accounts.
Family sharing is not Copilot-feature sharing
Microsoft 365 Family can be shared with up to six users, but Microsoft’s current description says full Copilot grounding and features belong to the primary subscription holder. A family member who receives the subscription benefit should not assume they inherit the owner’s Copilot access or that Copilot can read the owner’s OneDrive and mailbox.
If the owner shares a document with another family member, the recipient’s ability to open and use that file is controlled by the file’s sharing permission and the recipient’s signed-in identity. The subscription relationship alone does not authorize access. Microsoft explains this distinction in the same grounding guidance and in Copilot use when multiple accounts are added to Microsoft 365 apps.

Using Copilot when several accounts are signed in to Word, Excel or other apps
Microsoft 365 apps can hold several signed-in accounts, including personal and work or school identities. In supported environments, Copilot access supplied by one licensed account can be used on a file belonging to another signed-in account when the current user has permission to open that file.
What this looks like in practice
- Sign in to the Microsoft 365 app with the account that has the applicable Copilot entitlement.
- Add or sign in to the account that owns the document you need to use.
- Open the document normally. If the owner or organization has not granted access, Copilot cannot use it.
- Open Copilot in the supported app and ask about, summarize or edit the document that is currently open.
- Check which identity is active if the Copilot button, responses or available actions differ.
Microsoft documents this cross-account behavior for Word, Excel, PowerPoint, Outlook and OneNote, while noting that app, operating-system and policy support varies. A personal Microsoft 365 Personal, Family or Premium subscription can provide Copilot access on another account’s accessible file. A work or school account with a Copilot license can do the same where the file permissions allow it.
What a personal license does not unlock in a work tenant
When a personal subscription supplies Copilot while a work or school file is open, Microsoft documents a narrower scope than an organizational Copilot license. Copilot can work with the current open document, answer web-search questions when web search is enabled, and help draft text that references specific documents the signed-in user can access. It does not turn that personal subscription into organization-wide Microsoft Graph access or let the user ask unrestricted questions about other company documents.

An organization can disable multiple-account access. Microsoft also says the capability is always disabled in Microsoft 365 Government Community Cloud (GCC), GCC High, DoD and Microsoft 365 operated by 21Vianet. Therefore, an account combination that works in one desktop or web app may be unavailable on another device or in a regulated environment. Can Copilot access my work files?
Yes, but only within the permissions and identity boundaries that apply to those files. Opening a work document with a personal Copilot entitlement does not grant the personal account access to the employer’s other files, chats or mail. The work identity’s existing permissions remain the decisive control for the document that is open.
Microsoft’s support article describes the practical limit: personal Copilot can assist with the currently open work document in supported apps, but it does not provide the organization-level Graph grounding available to a licensed organizational Copilot. Web answers are also subject to the organization’s web-search setting.

What an organizational Microsoft Copilot license can use
In a work or school tenant, organizational Copilot can ground responses in content the signed-in user is already authorized to access. Microsoft identifies Exchange Online mailboxes and SharePoint or OneDrive documents as important sources. It can also use a document opened in an Office app as session context, even when that document is stored outside the tenant, provided applicable rights and controls permit the use.
Permissions still control discovery
Copilot does not bypass SharePoint or OneDrive membership, sharing links, or mailbox permissions. It returns information available to the requesting user, not everything stored in the tenant. Sensitivity labels, encryption, data-loss-prevention (DLP) rules and Microsoft Purview controls can prevent Copilot from extracting or interacting with content even when a user can see that content. For example, a user may have view permission without the extract permission required for Copilot to process text. Tenant administrators can also control auditing, retention and other service settings. Microsoft describes these controls in Considerations for Microsoft Purview to manage Microsoft 365 Copilot and Channel Agent in Teams for security and compliance and Microsoft Copilot data protection architecture.

Outlook connected accounts follow a separate rule
Outlook has a distinct connected-account feature. When an eligible Microsoft account with Microsoft 365 Personal, Family, Premium or Pro AI credits is signed in to Outlook, Copilot features may be available for connected accounts on that device. A work or school account with a Copilot license may also supply access to connected mailboxes. Microsoft lists supported examples including Outlook.com, Hotmail, Live, MSN, work or school accounts and certain third-party providers connected to Outlook.
This is feature availability across connected accounts, not a merger of the accounts or a transfer of mailbox permissions. Eligibility can fail when Connected Experiences are turned off, age restrictions apply or the app is classic Outlook for Windows, where this feature is not available. Microsoft separately states that personal Microsoft accounts and work or school Microsoft Entra accounts remain distinct. Data entered in the work experience does not flow into the personal experience, and vice versa. The account-separation explanation is in Copilot App Updates for Personal, Work, and School Accounts.
Sharing a Copilot conversation does not share the files
A shared Copilot session or response is a snapshot of the conversation at the time it was shared. The recipient does not receive permission to the referenced files, emails, chats, meetings or other Microsoft 365 content. If the recipient needs to inspect the underlying document, the owner must grant access through the normal Microsoft 365 sharing controls. Microsoft documents this boundary in Manage content sharing for Microsoft Copilot.

How to check why Copilot can or cannot use a file
- Identify the account. In the app’s account area, determine which personal, work or school identity is providing Copilot access.
- Confirm the file owner and location. Note whether the item is in personal OneDrive, a SharePoint site, a work OneDrive, a local folder or a connected mailbox.
- Test ordinary access first. If you cannot open or edit the file normally, Copilot cannot use permissions you do not have.
- Check the document state. Multiple-account assistance is often scoped to the document currently open in a supported app.
- Ask the administrator about policy. The organization may block multiple-account access, web search, connected experiences or extraction from labeled content.
- Verify the app and platform. Update the Microsoft 365 app and check whether your operating system and edition support the feature; do not assume every Copilot button appears everywhere.
- For Outlook, inspect Connected Experiences and account eligibility. Classic Outlook for Windows and restricted settings can explain why connected-account Copilot is missing.
Practical privacy checks before sharing an account or file
- Give each person their own Microsoft account instead of sharing one password. Share only the specific file or folder required.
- Review OneDrive, SharePoint and mailbox permissions before asking Copilot to summarize sensitive material.
- For work content, ask the administrator whether sensitivity labels, DLP or extraction restrictions apply.
- Remember that a copied Copilot answer can reveal information visible in the response even though the recipient cannot open the source. Share only the portion appropriate for that audience.
- When a feature behaves differently between devices, record the app name, operating system, account type and active identity before troubleshooting.
Bottom line
Copilot can work with another account’s file when a licensed identity is signed in, the user can open the file and the app and policy support multiple-account use. A Family subscription does not automatically give every member the primary holder’s Copilot grounding. Personal access on a work document does not become tenant-wide access, organizational Copilot remains permission-based, Outlook connected accounts are a separate feature, and sharing a Copilot chat never shares its source files.
