The purpose of taking a screenshot is to preserve and communicate what appeared on a screen at a specific moment. A screenshot is a still image of visible content. It can save information for later, show another person exactly what you saw, clarify a technical problem, or keep a record of an online interaction. Because it creates a durable copy, inspect the image for personal or confidential information before you share it.
What a screenshot is
A screenshot captures the visible contents of a phone, tablet, computer, or browser window as one image. Android.com describes it as “a digital image that captures exactly what is displayed on the screen at that moment in time.” That timing matters: a screenshot records a state, not everything that happened before or after it.
It normally includes text, images, menus, notifications, and other items visible in the selected area. It does not automatically show content that is off-screen, hidden behind a menu, or revealed later. You can usually crop, mark up, save, copy, or share the result with a built-in capture utility. Microsoft documents these capabilities in Snipping Tool guidance, while Apple documents capture and markup workflows in its Personal Safety User Guide.
Why people take screenshots
Save information for later
A screenshot is a quick visual reference when information may be difficult to find again. Examples include an order or reservation screen, a conversation, a webpage, an app screen, a photo, an error message, or instructions displayed inside software. Google’s Android explainer lists these same kinds of uses.

Use a screenshot when the appearance and layout help you remember the information. For plain text that you will need to search, copyable text or a saved document is usually easier to work with. A screenshot is valuable when formatting, visual labels, or the exact screen state are part of the record.
Share something visual
A screenshot lets you show a webpage, livestream, social post, message, chart, or app screen through email, messaging, a ticketing system, or a document. It is useful when describing the screen in words would be slow or ambiguous. The Australian eSafety Commissioner specifically discusses capturing livestreams, conversations, and social posts for sharing or reporting.
Capture only the area the recipient needs when unrelated material could distract or expose private details. Include the surrounding application or page when that context is necessary to identify what the viewer is looking at.

A support agent can diagnose many issues faster when they can see the same error, setting, or page you saw. Google AdSense Help says that a screenshot gives its support team a direct visual of an issue and can help resolve it quickly and accurately.
Send the image with a short explanation rather than as an unexplained attachment. Include:
- what you were trying to do;
- the steps immediately before the problem;
- the exact message or result;
- the device, browser, or app involved; and
- whether the problem happens every time or only once.
If the issue involves a sequence, provide several numbered screenshots or a recording instead of one crowded image.

Keep a record of an online interaction
Screen capture can preserve comments, posts, messages, or other content that you saw, participated in, or witnessed. The eSafety Commissioner describes this as useful when reporting abuse or harmful content to a platform safety team or to eSafety.

Keep surrounding details when they are relevant, note when and where you captured the image, and preserve the original file privately if you may need to report the matter.
Choose the right part of the screen
Windows Snipping Tool documents freeform, rectangular, window, and full-screen modes. Apple documents full-screen, window, and selected-portion captures. Choose the smallest scope that still lets another person understand the point.

For a small detail, a selected-area capture usually directs attention best. Add enough surrounding context to answer “which app, page, account, or step is this?” without including everything visible on the device.
When a screenshot is not enough
A screenshot is a still image. It cannot show movement, timing, audio, scrolling, hover states, or the order of actions. Use a screen recording when the important evidence is a sequence, such as a form that changes after submission, a disappearing notification, an animation, or a reproducible navigation problem. Microsoft and Apple distinguish still-image captures from video recordings in their documentation.

For a short support case, a practical combination is one annotated screenshot showing the error and a written list of steps. For a difficult interaction, record the sequence and add a still frame that highlights the key message.
Annotate, crop, and redact before sharing
Markup can make a screenshot useful at a glance. Circle the failing control, highlight the relevant line, add numbered steps, or crop empty space. Keep annotations outside text that someone may need to read, and save an unedited original before making changes if the image may be used for reporting.
Microsoft says Snipping Tool can draw, highlight, crop, extract text with OCR, and save or share. On some Windows installations, its quick-redact function can recognize and redact email addresses or phone numbers. That feature is limited to recognized items; it is not a guarantee that every name, account number, address, message, or face has been removed. Inspect the final image manually.
Privacy, consent, and context
A screenshot is a durable copy. The eSafety Commissioner warns that online content can be captured and shared without permission and that a recipient may retain a screenshot even when the original post or message was temporary.
Before sending a capture, check for:
- names, profile photos, usernames, and private messages;
- email addresses, phone numbers, physical addresses, and account identifiers;
- passwords, recovery codes, API keys, payment details, or QR codes;
- browser tabs, notifications, bookmarks, or other unrelated windows; and
- children’s information or material that could put someone at risk.
Crop or cover details that are not needed, and consider whether you have a legitimate reason and permission to share the remaining content. Keep a private original only when there is a clear reporting, support, or record-keeping need, and protect it like any other personal document.

Some services attempt to prevent screen capture. That protection is not absolute: eSafety notes that third-party applications or another device’s camera may still capture a display. Treat this as a privacy limitation, not as a reason to bypass a service’s rules.
A reliable screenshot workflow
- Define the purpose. Decide whether you are saving a reference, asking for support, sharing an explanation, or documenting an interaction.
- Choose the scope. Select an area, window, or full screen based on how much context the recipient needs.
- Capture the relevant state. Make sure the message, setting, URL, timestamp, or other decisive detail is actually visible.
- Review readability. Zoom or enlarge the image if text is too small, and avoid covering important content with annotations.
- Remove unnecessary private data. Crop or redact, then inspect the result at full size.
- Add explanation. For support or reporting, state what happened, what you expected, and what you did immediately before the capture.
- Share through an appropriate channel. Use the support portal, trusted recipient, or reporting route that needs the information.

Troubleshooting common screenshot problems
The image is blank or partly loaded
Wait until the page finishes loading, scroll through lazy-loaded content, or capture after the missing element appears. For an automated webpage capture, use a selector wait, delay, or network-idle wait; if the page fails or times out, check the URL and its access requirements.
The capture contains too much information
Repeat it with a selected area or single-window mode, then crop and redact unrelated details. Do not rely only on automatic redaction.
The recipient cannot understand the image
Include the application or page context, enlarge small text, and add a sentence describing the expected and actual result. A sequence that cannot be understood from one frame should be recorded instead.
Text is unreadable after sharing
Capture at the device’s normal resolution, avoid excessive resizing, and send the original or a high-quality export when the recipient needs to zoom in. Put essential facts in the accompanying text as well.

A support team says the screenshot is insufficient
Provide the steps that led to the issue, the time it occurred, device and app details, and any error text. Add another capture showing the relevant settings or surrounding page if context was missing.
