Professional services automation (PSA) is software that connects the work of delivering client services—projects, staffing, time and expenses, billing, and financial performance—in one operating system. Unlike a task-focused project management tool, PSA also links delivery work to staff capacity, billable time, invoices, and project economics.
What PSA software does
A PSA platform helps a services organization manage project-based work from planning through billing and review. Depending on the product, it may connect early estimates and pricing to project execution, then bring together staffing, time capture, expenses, invoices, and performance reporting. The exact feature set varies by vendor and implementation.
Projects and delivery
Teams can plan projects, schedules, milestones, and budgets, then monitor progress and costs as work proceeds. Project management is part of the picture, but PSA relates delivery activity to the people and financial workflows supporting it.

People and capacity
Resource-planning features can help managers assign staff according to skills and availability, and compare capacity with demand. This gives the firm a view of who is available for client work rather than only what tasks remain on a project plan.

Time, expenses, and billing
Employees can record time and expenses for review and approval. Depending on the platform and billing arrangement, approved records may feed invoices. PSA products may support fixed-fee, subscription, milestone, or other billing approaches, but support should be verified for the specific product.
Financial and operational reporting
PSA reporting may bring together budgets, revenue, costs, utilization, project health, and profitability. The aim is to help managers see how delivery work affects the business, rather than relying on disconnected project and finance records.
How PSA differs from project management and ERP

These categories have different centers of gravity; one does not automatically replace the others. A firm may use project management within a PSA platform, or connect PSA to a separate ERP or CRM system. Integration needs depend on the organization’s existing systems and workflows. PSA is intended for organizations that deliver projects or retainers through professional staff. Examples include consulting and IT services, engineering and architecture, legal and accounting, and marketing agencies. It becomes more relevant when managers need to coordinate several roles or billing rates and maintain a joined view of staffing, delivery, time capture, invoicing, and project economics.

A small or straightforward service business may not need a dedicated PSA platform if its existing tools handle those workflows reliably. The category is not a requirement for every firm; the question is whether disconnected systems make capacity, billing, or project performance difficult to manage.
What to assess when evaluating PSA
- Connected workflows: Check whether project delivery and financial data are linked, or whether staff must reconcile information across separate tools.
- Resource planning: Confirm whether planning reflects skills, availability, capacity, and incoming demand.
- Time and expenses: Review how entries are captured, approved, corrected, and passed into invoicing.
- Billing models: Verify the product handles the organization’s actual arrangements, such as fixed-fee, subscription, or milestone billing.
- Reporting: Check whether managers can see utilization, revenue, costs, margins, and project health in useful detail.
- Integrations: Identify what must connect with existing ERP and CRM systems, and what data passes between them.
- Organizational fit: Consider scale, service lines, regions, and engagement types now and as the firm grows.
Interpreting reported PSA performance figures
Accelo’s glossary, updated September 23, 2026, relays findings from Service Performance Insight’s 2022 benchmark report: an 11% relative increase in billable utilization, from 68.1% to 75.3%, among organizations using PSA software, and PSA integration with core financial management systems at 83% of high-performing professional services firms. These are figures attributed to the 2022 SPI benchmark as reported by Accelo, not a guarantee that adopting PSA will produce the same results for another organization. Microsoft Dynamics 365 Project Service Automation is a legacy product
Microsoft Learn states that Dynamics 365 Project Service Automation is “a legacy application that is no longer supported in commercial cloud as of March 31, 2025.” Microsoft says it stopped selling new PSA licenses on October 31, 2020, and that the product evolved into Dynamics 365 Project Operations. The commercial-cloud dates do not apply to the sovereign cloud environments identified in Microsoft’s documentation, including GCC, GCC High, and DoD.
