Microsoft’s digital workplace is the connected work experience an organization builds with Microsoft 365, Teams, SharePoint, Viva apps, and its own content and processes. It is not one product or a universal technical standard. Microsoft describes Viva as an employee experience platform built on Microsoft 365 and Teams; the tools an organization can use depend on its plan, configuration, and integrations.
What does “Microsoft digital workplace” mean?
The phrase describes how employees use connected digital tools to communicate, find information, collaborate, learn, and complete work across locations. In Microsoft’s product framing, Microsoft 365 and Teams provide the foundation, while SharePoint and Viva can help organize content and employee experiences. The exact design is organization-specific: a digital workplace is more than a collection of apps, because the content, access rules, ownership, and work processes matter too.
Microsoft’s current service description presents Viva as an integrated employee experience platform based on Microsoft 365 and Teams. That is Microsoft’s framing, not a definition that every organization must adopt. Microsoft’s 2021 launch announcement organized Viva around engagement, wellbeing, learning, and knowledge; that is useful historical context, but it is not a complete list of today’s products.
What does each Microsoft Viva app do?
Viva is a set of applications rather than a single workplace portal. Microsoft’s service description includes these capabilities; availability and entitlements depend on the plan and can change.

These names describe different functions, not a checklist every company needs. A workplace focused on announcements and policies may prioritize a gateway and well-structured SharePoint content; an organization with other goals may emphasize learning, communities, or feedback.
Is Viva Connections the same as a SharePoint intranet?
No. Viva Connections is a gateway experience that can bring selected communications and resources into Teams. SharePoint is a content and collaboration platform that organizations can use to build sites and manage information. A SharePoint intranet may supply much of the content surfaced through Connections, but Connections is not simply another name for the intranet, and neither replaces the need to decide where information belongs and who can access it.

Teams, SharePoint, and Microsoft 365 content work together in many Microsoft-based environments, but the architecture varies. Microsoft’s SharePoint hub-site guidance recommends separate site collections for units of work and describes how communication sites and Microsoft 365 group-connected team sites can have separate permissions. How to plan a Microsoft digital workplace
Start with employee needs and existing information, then select tools and configure access. A useful planning sequence is:

- Identify employee groups and their work contexts. Account for frontline, office-based, and remote roles, including how each group accesses devices and information.
- Choose the tasks to improve. Examples include finding policies, reading announcements, collaborating, learning, and locating expertise.
- Map current content and processes. Find where information already lives across SharePoint, Teams, and other systems before creating another destination.
- Set site ownership and permissions. Decide who maintains each area and who should be able to view or edit it. Use a structure that keeps distinct units of work and their access needs clear.
- Verify plan and integration requirements. Check the current Microsoft 365 and Office 365 comparison for the organization’s tenant and region, and confirm any required connectors, add-ons, or third-party integrations.
- Assign content owners and review dates. Set a cadence for checking links, policies, announcements, and other gateway content so employees are not directed to stale information.
Which Microsoft 365 license includes Viva?
There is no safe one-size-fits-all answer: features and entitlements vary across Microsoft 365 and Office 365 plans, and some capabilities may have separate requirements. Microsoft’s Viva service description was updated May 11, 2026, and warns that its feature table may change without notice. Before choosing a configuration, compare the functions employees need, existing Microsoft 365 use and entitlements, connections to HR or learning systems, information ownership and permissions, administration effort, and accessibility and language needs. The right choice depends on the organization’s actual requirements, not the size of the Viva app list.
What to take from Microsoft’s product framing
Microsoft announced Viva on February 4, 2021, as an employee experience platform. In that launch context, CEO Satya Nadella said, “Every organization will require a unified employee experience from onboarding and collaboration to continuous learning and growth.” The statement captures the launch ambition; it should not be mistaken for a technical definition or a guarantee that a particular subscription provides every capability.
