Email-to-fax is a service that lets you send a fax from an email client. You send a message or supported attachment using the service’s required format; the provider processes it and transmits it to a fax number. The service—not an ordinary email sent directly to a fax machine—handles the conversion and delivery.
How email-to-fax works
The basic workflow is to configure an email-to-fax service, address a message in the format it requires, include the fax content, and send it from an account or address the service accepts. The service then sends the content to the destination fax number. Check the provider’s sent status, dashboard, or delivery report; an email appearing in your Sent folder does not by itself confirm that the fax arrived.
- Set up a service. Confirm that your account, plan, fax number, and sender address are eligible for its email-to-fax feature.
- Use the service’s address format. Providers may use the recipient’s number in the email address or give you a private sending address and ask you to identify the destination another way.
- Add the content. Put the message in the email body or attach a file type the provider supports.
- Send and check status. Follow the service’s instructions, then look for its delivery confirmation or failure notice.
Provider instructions are not universal
The required email format, account eligibility, sender authorization, file types, size limits, destinations, and fees depend on the provider. For example, Zoom’s instructions use the recipient’s country code and number at the sendfax.zoom.us domain, with optional attachments. SendFax.me’s instructions instead use a private account email address and put the destination number in the subject; they specify a PDF or image attachment. Those are examples, not formats to try with another service.
WestFax’s instructions describe a fax-number-at-provider-domain format and require the sender’s email address to be approved on the account. Check your own provider’s current setup instructions before sending.

How email-to-fax differs from fax-to-email

In short, email-to-fax sends a fax from your inbox; fax-to-email delivers an incoming fax to your inbox. The receiving method and security controls depend on the service. See the SendFax.me service overview and WestFax service page for provider-specific descriptions.
Do you need a fax machine, Gmail, or Outlook?
The cited email-to-fax workflows use an email client and provider infrastructure; they do not inherently require a fax machine at the sender’s end. Whether Gmail, Outlook, or another client works depends on the service’s current requirements, including which sender addresses and message formats it accepts. Do not assume that every client or attachment type is supported.

Requirements can differ substantially, so figures and rules from one provider should not be treated as industry-wide standards.

What to check before sending
- Whether your account or plan includes email-to-fax and whether a fax number must be assigned to a particular user or account.
- The exact destination-address and subject-line format.
- Whether your sending email address needs approval.
- Supported attachment formats and size limits.
- Whether the destination country and fax number are supported, and what fees apply.
- Where to find delivery status and what to do if the fax fails.
For a concise provider definition, Zoom Support says: “Email-to-fax allows authorized users to send faxes directly from their email client.” The key detail is “authorized”: access and setup are determined by the service, not by email alone. Zoom Support
