Dropbox is an online file-storage and syncing service: save files to your Dropbox account, then access them on the web, on a computer, or on a phone. When you edit a synced file, Dropbox updates it across connected devices after they’re online. You can also share files or folders with a link, and choose selected content to keep available offline.
How Dropbox cloud storage works
Cloud storage keeps files on internet-connected servers instead of only on one device. Dropbox connects that online copy to its website, desktop app, and mobile app. You sign in to your account to reach your files from those places.
Syncing means Dropbox updates a file across devices when it changes. It is not the same as automatically saving every cloud file onto every device: files may remain online-only unless you download or mark them for offline access.
How to get started with Dropbox
- Create or sign in to an account. Use Dropbox on the web or install its desktop or mobile app and sign in.
- Add a file. Upload it on the website, or save or move it into the Dropbox folder on your computer. On a phone, use the app’s upload option.
- Wait for syncing to finish. Confirm the upload or sync has completed before relying on the file from another device.
- Open the file elsewhere. Sign in to Dropbox on another device or in a browser to find the synced item.
- Share it if needed. Select the file or folder, choose the sharing option, set access appropriately, and copy or send the link.
How Dropbox sharing works
A shared link can let someone access a file or folder without having a Dropbox account. Dropbox describes controls such as passwords, expiration dates, and folder permissions; the options available can depend on the plan and interface. See Dropbox’s file-sharing overview.

Treat a link as a way of granting access, not merely as an address. For sensitive material, check who can open it and what they can do before sending it. Remove or change access when it is no longer needed, where the available settings permit.
Using files offline and syncing later
You can mark selected files or folders for offline access on desktop or mobile. This makes that content available without an internet connection; it does not make every item in your Dropbox available locally. Changes made while offline sync after the device reconnects, according to Dropbox’s beginner course.

Dropbox plans: storage, users, and transfer limits
Dropbox’s published plan figures below were visible on its official pages on October 7, 2026. They can change, and displayed prices may depend on billing selection and region; check the current plan page before purchasing. The cited pages did not establish a geography for these price figures, so treat the dollar amounts as the page’s displayed prices rather than a universal quote.

Choose by the job you need done
- Trying Dropbox with a small set of files: Basic’s listed 2 GB may be enough to test the workflow.
- One person with a larger library: Compare Plus’s 2 TB storage and transfer allowance with your actual file sizes and sharing needs.
- Several household members: Family lists up to six users sharing 2 TB; consider whether that capacity suits everyone’s files.
- A team: Standard starts at 3 TB and has a per-user price and larger listed transfer capacity. Also consider whether the team needs business administration and sharing controls.
Storage is only one distinction. Compare the number of users, transfer capacity, recovery window, and any administration or sharing controls you need.
File recovery and version history limits
Dropbox’s Help article, updated August 14, 2026, lists these recovery-history windows by plan. Plan names and terms can change, so confirm the current terms for your account on Dropbox’s version-history overview.

Version history can help restore an earlier version after an unwanted edit, and deleted items may be recoverable within the applicable window. It is not unlimited recovery: permanently deleted files cannot be restored through version history. Dropbox also notes limitations for some web-based files, including Google Docs, Sheets, and Slides, and Microsoft Office Online files. Extending a version-history window does not apply retroactively to older changes. For those reasons, treat Dropbox recovery as a safety net rather than your only backup.

Dropbox says it uses 256-bit AES encryption for stored data and SSL/TLS for data in transit, and offers features including file permissions, recovery, and version history. These are the provider’s stated controls, not a guarantee against every risk; settings and entitlements may vary by plan. Details are on Dropbox’s security page.
