Data mapping defines how data in a source corresponds to data in a destination—and what rules, if any, are needed to make it fit. A mapping might copy a field unchanged, convert its format, split or combine values, or calculate a new value. It is a key task in data integration, analytics, and migration, but it is not the same as moving data from one system to another.

What data mapping means

Google Cloud describes data mapping as “the process of extracting and standardizing data from multiple sources in order to establish a relationship between them and the related target data fields in the destination.” Google Cloud’s Application Integration documentation presents mapping as defining relationships between source data and destination fields.

In practical terms, a map records which source fields or records supply which destination fields or records, and specifies any rules for changing the values along the way. The source and target structures can differ. Microsoft’s BizTalk documentation, for example, describes mapping shipping and billing address information from a purchase order into an invoice. Microsoft Learn explains source-to-destination schema mapping.

A mapping can be a simple correspondence, such as copying a source value into a target field. It can also include transformation: modifying or calculating values so they meet the destination’s format and business requirements. The terms overlap, but they are not identical—a value can be mapped without being changed, while a transformation may be one rule within a broader map.

What a mapping can do

Rules depend on the source data, the target schema, and the intended meaning of the result. Common examples include:

  • Assign fields: Map source address fields to corresponding destination address fields.
  • Convert formats or units: Standardize date formats, character sets, or measurements—for example, converting kilograms and pounds to a consistent unit. AWS describes these kinds of ETL transformations.
  • Clean and standardize values: Correct inconsistent data or convert category labels to agreed codes. An empty value might be mapped to zero in a particular workflow, but that is only appropriate if the business meaning supports it.
  • Split or combine fields: Split a source customer_name into destination first_name and last_name, or combine multiple source values into one destination field. Splitting a name requires a rule for cases such as a single name or a multi-part surname.
  • Derive values: Calculate a destination value from source fields using an explicit business rule, such as subtracting expenses from revenue.
  • Aggregate or deduplicate: Summarize multiple records or resolve duplicates when the target needs a consolidated result and the business rules define what should be retained.

These operations can affect meaning, not just appearance. Replacing missing data with zero, for example, is unsafe if zero means a real measurement rather than “unknown.” The rule should reflect the target’s requirements rather than being chosen merely because it is convenient to implement.

How data mapping fits into integration

Data integration is the broader goal of bringing data from different systems together for a coherent view or a shared use. Mapping helps make that possible when systems use different structures, field names, formats, or conventions. Microsoft Fabric describes integration workflows and ETL.

The choice of sequence does not eliminate the need to define correspondences and rules when source and target data differ. Integration can also use streaming ingestion or change data capture, which process incoming changes differently from a conventional batch workflow. AWS outlines these data-integration approaches.

The phrase schema mapping can also have a narrower, product-specific meaning. In AWS Entity Resolution, for example, schema mapping specifies input fields, attribute types, and match keys for identity-resolution workflows. That is one specialized use of mapping, not a definition of all data mapping. AWS documents schema mapping for Entity Resolution.

How to create and validate a mapping

A reliable mapping starts with the intended outcome, not just a list of similarly named columns. Use a process such as this:

  1. Identify the source, destination, and use. Establish which systems and data structures are involved and what the destination data must support.
  2. Inspect both schemas and meanings. Record field names, data types, formats, constraints, and business definitions. Two fields with similar names may still represent different concepts.
  3. Specify each correspondence and rule. Document which inputs populate each destination field and how to handle conversions, missing or inconsistent values, derived fields, and aggregation.
  4. Implement the rules. Depending on the platform and task, use a visual mapping editor, configuration, custom script, or an ETL/ELT pipeline. Google Cloud documents both visual mapping and script-based logic in its Application Integration mapping tools.
  5. Validate representative inputs and outputs. Check that output matches the destination schema and business expectations. Include ordinary records and edge cases such as nulls, empty strings, unexpected formats, duplicates, and boundary values.
  6. Document ownership and changes. Keep the map understandable and version it as source or destination schemas evolve. AWS recommends target schemas that are extendable and versionable while preserving data quality and accuracy. AWS discusses target schema design in its data-integration guidance.

A map can pass a technical check and still produce incorrect results. For example, a field may have the expected type but the wrong unit, or a date may be parsed in the wrong time zone. Many-to-one transformations can also discard distinctions the destination needs. Validation should therefore check meaning as well as whether a value fits the target’s technical format.

Choosing an implementation approach

There is no single mapping method that fits every integration. A visual editor can make relationships and supported transformations easier to inspect; custom scripts or configuration can express logic that a visual tool does not support. A mapping may also be one component of a larger batch, streaming, or change-data-capture pipeline.

Compare implementation options against the requirements that matter for the specific workflow:

  • Support for the actual source and destination systems
  • Ability to express and maintain the required transformations
  • Ways to test, validate, monitor, and document rules
  • Handling of schema changes and version control
  • Batch or near-real-time processing needs
  • Governance, access controls, and data-quality requirements
  • Hosting and operational responsibilities, along with total cost

These are evaluation criteria, not a ranking of particular products. The right choice depends on the data, required latency, complexity of the rules, and the team’s ability to operate and maintain the solution.

What data mapping standards cover

Standards have defined scopes. The W3C’s Data Catalog Vocabulary (DCAT) Version 3, published as a Recommendation on August 22, 2024, provides a standard model for describing datasets and data services in catalogs. It supports interoperability and discoverability of catalog metadata; it is not a general-purpose language for transforming arbitrary operational records between systems.
