Password-protected sharing means a recipient must enter a password after opening a shared file or folder link before the content is shown. The password is a gate on that link—not necessarily a restriction on everyone who can access the file, or a substitute for choosing the right audience and permissions.
How password-protected sharing works
The file owner creates a sharing link and enables a password. A recipient who opens that link is prompted to enter the password before viewing the shared content. The password is typically a separate link setting; the recipient may still need to sign in if the service or sharing configuration requires it.
For example, Dropbox documents password protection for shared links on listed Professional, Essentials, Standard, Advanced, Business, Business Plus, and Enterprise plans. The person opening the link must enter the password to view its contents. Availability and controls can differ by service, plan, link type, and organization settings, so check the sharing panel and current documentation for the account you use. Dropbox explains its shared-link permissions.
What a link password does—and does not do
A link password controls access through that particular link. It does not automatically change every other route to the file. Dropbox says people with direct access or existing permissions retain those permissions, even when a password is set on a shared link.

It is also not, by itself, identity verification, encryption, or proof that only one named recipient can open the file. A person who knows the password may be able to use the link, and a recipient may forward both. Password protection should therefore be considered one access control, not a complete security guarantee.
How the password relates to other sharing settings
Decide who should have access, then review the link’s other controls separately. Depending on the service, these may include whether anyone with the link can open it or only specified people, whether sign-in is required, whether recipients can view or edit, whether downloads are allowed, and whether access expires. Existing collaborators may have permissions independent of the link.

Microsoft’s OneDrive and SharePoint guidance describes password settings that prompt users after they click a link, and says the password must be provided separately to recipients. Availability can depend on account and link configuration; SharePoint options may also depend on whether the link is anonymous and on administrator restrictions. Google Docs, Sheets, Slides, and Vids are Restricted by default. Choosing “Anyone with the link” allows people who possess the URL to access the content, subject to the selected permissions; that general link-sharing choice should not be mistaken for password protection. Google describes these privacy settings in its basics of privacy in Docs, Sheets, Slides, and Vids.

Safer ways to share a sensitive file
- Set the intended audience first. Use access limited to specific people when the file should not be open to anyone who obtains a link.
- Choose the least-permissive role that works, such as view rather than edit, and review download controls, if available.
- If you enable a link password, send it separately from the link when practical, rather than placing both in the same message.
- Remember that link-specific controls may not affect direct collaborators or people who already have access.
- Review the sharing list and revoke access when it is no longer needed. Microsoft describes managing these permissions in its OneDrive and SharePoint guidance.
