I can’t truthfully describe how leaving Notion changed my own note habits: the available evidence does not establish which app I used, what I migrated, or what changed in my workflow. Rather than inventing a personal migration story, this article explains the decision that shapes such a move: whether your notes live on your devices or on a server you operate, and how that choice affects capture, retrieval, collaboration, and maintenance.
“Self-hosted” can mean two different workflows
A self-hosted open-source note app may be local-first, with data stored on your devices and synchronization configured separately, or server-based, with a server acting as the source of truth. Those designs place different demands on the person using the app. A comparison published by AppFlowy on September 27, 2026, describes its methodology as evaluating publicly documented capabilities and deployment options; its conclusions are vendor-authored, not an independent reliability assessment. - Local-first: Your workflow begins on a device. The practical question becomes whether sync reliably carries changes between devices and whether local data is backed up.
- Server-based: The server holds the canonical workspace. The owner takes responsibility for its availability, backups, and security updates.
Neither label guarantees a particular offline experience or collaboration capability. Check the chosen app’s current documentation and test the behavior that matters to you.
Choose around how you actually use notes

These models matter because changing apps can change the path from capture to retrieval. A quick thought might become a page, a block, an object, or a position on a canvas. That is a design implication, not evidence that any particular user’s habits changed.
Decide whether offline work or simultaneous collaboration matters more
The comparison’s decision framework starts with how many people need to edit together, then asks how important offline access is. If several people must edit the same workspace at once, test that collaboration in the exact deployment you plan to use. If you often work without a connection, test what opens, what can be edited, and how later synchronization handles conflicts. Do not infer those behaviors from the words “self-hosted” or “open source.” AppFlowy’s comparison lays out these evaluation questions.

Plan the migration around what must survive
Exporting notes may preserve readable text without preserving every relationship or canvas structure. Before moving a large workspace, identify what you rely on—such as links between pages, database relationships, or visual layouts—and inspect a small export and import. - Test representative pages, linked material, databases, and any canvas-based content.
- Open the result in the destination app and verify links and structure rather than assuming an export is complete.
Account for the work that moves with your data
With local-first use, pay attention to synchronization and backups of the local files. With a server-based setup, the operator also owns server uptime, backup routines, and security patching. A server or NAS is not a universal prerequisite for leaving Notion; whether you need one depends on the app’s architecture and the deployment you choose. Licensing also needs a precise check. AppFlowy’s September 27, 2026 comparison says its desktop/mobile client and web projects are open source, while its current production self-hosted server uses a commercial self-hosting license. “Open source app” therefore should not be treated as proof that every component or deployment is available under the same terms. Consult the project’s current license and official terms before deploying.

A firsthand essay about changed habits needs concrete before-and-after examples: how quick notes were captured, how projects were grouped, how old material was resurfaced, how databases or links were maintained, and how devices stayed synchronized. Those experiences cannot be inferred from product comparisons. Without the author’s own migration details, it would be misleading to claim that a particular app improved retrieval, changed organization, or made note-taking more reliable.
