An eProcurement integration at this budget is a delivery project, not just code that connects two APIs. It can cover workflow discovery, data mapping, security, error handling, testing, deployment and operational handover across purchasing and finance systems. The actual scope depends on the platforms, transaction flows and public-sector requirements involved.
What work is included in an eProcurement integration?
The word “integration” can hide several different jobs. A proposal should identify the systems, records and business events being connected, then explain how data moves between them and what happens when it does not. A single API endpoint is not a complete description of the work.
Discovery and interface design
The project starts by documenting the purchasing and finance processes that cross system boundaries. For each flow, the team needs to identify the source and destination systems, the data owner, when the transaction occurs, how often it runs, expected volumes, who resolves errors and what counts as successful completion. The UK Government Digital Marketplace’s G-Cloud 14 listing for ERP interfaces and integration support describes requirements gathering and specification followed by design and delivery.
Procurement and finance data flows
Depending on the buyer’s workflow, the integration may involve supplier or vendor records, purchase requests, purchase orders, invoices, payment status, chart-of-accounts or project references, and receipt or matching results. These are distinct objects with different rules; a vendor record, for example, may need approval and validation before it can be used in an order.

A South African Bureau of Standards (SABS) ERP implementation scope dated 17 March 2026 describes accounts-payable supplier invoices, payments and three-way matching, and connections between accounts payable, procurement, supply-chain management, projects and document systems. It is an example of the breadth a public-sector scope can include, not a required flow for every agency.
Connectivity and data transformation
The technical approach might use APIs, electronic data interchange (EDI), an enterprise service bus (ESB), middleware, custom integration or a combination. The UK listing describes API, EDI and ESB-related work, including complex data transformation. The right method depends on what the specific platforms support; procurement systems do not all expose the same APIs or use the same data schema.

Transformation work can include matching identifiers, converting formats, mapping fields and applying business rules. The statement of work should make clear whether the vendor will also clean legacy or duplicate records, or whether the buyer must supply corrected data.
Security and operational controls
Define how systems authenticate each other, which permissions are required, what data protections apply and how the integration will validate incoming and outgoing records. The design should also specify failure responses, retries, reconciliation procedures, monitoring, control reports and audit history. These are operational requirements: without them, a connection may transmit data without giving staff a dependable way to detect or resolve missing, rejected or duplicated transactions.

Where the integration includes supplier punchout—a flow in which a buyer starts in a procurement system, shops a supplier catalog and returns a cart—the design may also need to address user authentication, session handling, catalog and customer-specific pricing behavior, cart transfer and failure handling. Punchout is one adjacent supplier-to-procurement use case, not a synonym for every eProcurement API integration.
Testing, cutover and handover
A delivery plan should name the test environments, representative records, edge cases, reconciliation method and acceptance criteria. It should explain how the team will deploy the connection, manage cutover, recover if launch fails, and transfer documentation and support responsibilities. SABS’s public scope includes integration design, configuration and deployment; the UK service listing includes testing, deployment and an audit trail of integration decisions and reconciliation actions.

What does the $30,000–$80,000 estimate mean?
There is no established universal price for an eProcurement API integration, and the available estimates do not establish a market average. They are vendor-authored estimates for particular kinds of work. They are useful as examples of possible project scope, not as a quote for a specific agency or platform pair.

Intellivon also says that scoping the ERP/GPO integration layer late can add 8–16 weeks. That is the vendor’s schedule estimate, not a general delivery-duration benchmark. Neither that figure nor the project-price figures establish what a particular buyer will pay or how long its project will take. A project-specific estimate requires defined requirements and vendor quotations.

What makes one proposal cost more than another?
Price differences are meaningful only after proposals are aligned on scope. A quote for one straightforward interface is not comparable to one covering several systems, complex transformations, public-sector controls and post-launch support.
- Systems and interfaces: the named procurement and ERP/finance platforms, the number of endpoints, and whether each connection uses API, EDI, ESB or a mixed approach.
- Flows and business rules: which supplier, request, order, invoice, payment, matching, catalog or pricing events are included, including exception paths.
- Data condition: the fields and identifiers to map, the expected data quality, any duplicate or legacy-data work, reconciliation reports and responsibility for corrections.
- Security and governance: identity and permissions, data protection, architecture standards, audit requirements and applicable jurisdiction-specific obligations.
- Verification and launch: environments, test cases, acceptance thresholds, deployment, cutover and rollback planning.
- Ongoing responsibility: monitoring, incident handling, maintenance, documentation, training, support hours and the named owner after go-live.
Public-sector procurement can also add work around compliance, hosting, cybersecurity and data protection, accessibility, training, change management and ongoing maintenance. Botswana Oil Limited’s 2025 e-procurement tender notice requested several of these alongside ERP and financial-system integration. Those are examples from that tender, not universal legal requirements for every government buyer.
How to compare quotes and define the statement of work
Ask each bidder to respond to the same scope so the price comparison is not distorted by different assumptions. Put deliverables, dependencies and exclusions in writing.
- Name every connection: list each source and target system, endpoint, interface method and business owner.
- Enumerate records and events: specify each data object and transaction, its direction and trigger, and the business rules that apply.
- Request mapping examples: ask for source-to-target field mappings and sample payloads, and confirm who will resolve missing, invalid, duplicate or inconsistent data.
- Confirm platform assumptions: document API or EDI availability, access, authentication, rate limits and any required vendor cooperation.
- Specify exception handling: ask what happens to rejected, duplicate or out-of-order transactions, how retries work, and how staff reconcile system records.
- Set verification criteria: state who supplies test data and environments, which cases must pass, how results are reconciled and who approves acceptance.
- Plan deployment and operations: define cutover, rollback, documentation, training, monitoring, support window, incident ownership and maintenance responsibilities.
- Separate included and excluded costs: distinguish implementation from licenses, hosting and third-party charges, and list dependencies, exclusions and change-control rates.
These are practical procurement questions, not a quoted formal standard. They make it easier to see whether a proposal covers an operating integration or only the initial connection.

What the available evidence does not establish
The cited vendor estimates and public-sector scopes do not establish a typical price, a typical duration, or the price of a specific agency’s integration. They also do not show a directly comparable public tender award in the $30,000–$80,000 range. Costs for an actual project depend on the platform pair, jurisdiction, workflow, number of interfaces, data condition, hosting and security model, and support term. The figures should therefore be treated as attributed examples, not a budgeting guarantee.
