A useful website screenshot shows the smallest area that proves the point, makes every annotation understandable without relying on color or visual guesswork, and hides personal information before the image is shared. Capture the full page only when its length or structure matters. Then add consistent callouts, explain the image in nearby text, and provide an appropriate text alternative.
Choose the capture that proves your point
Start by deciding what the screenshot needs to demonstrate: a control’s location, a sequence across a long page, a visual defect, or the structure of an interface. That choice determines whether to capture a small region, a visible viewport, or the full page. Google’s developer guidance recommends using screenshots when a UI element is hard to find and cropping to the relevant information. It also cautions against embedding explanatory text in screenshot graphics because that text is less accessible and searchable and can increase localization costs.
Capture a region or viewport for a focused explanation
Use the smallest region that preserves the context a reader needs. Include enough surrounding interface to identify where the control or problem appears, but remove unrelated navigation, whitespace, and neighboring content. A tight crop is usually easier to scan in instructions and more likely to keep the reader’s attention on the relevant UI.
Use a full-page capture when the page itself matters
Choose full-page capture when the point depends on the relationship between sections, the location of content below the fold, or the complete page structure. It is usually unnecessary for a single button or field. Long captures can also make small text difficult to read when displayed at normal article width, so crop a separate detail if readers must inspect a specific control.

Capture in the browser or use a repeatable desktop workflow
Microsoft Edge’s Screenshot Tool can capture full webpages and provides drawing tools for notes. It is a practical browser-native option when you need a quick capture and a few marks. For documentation that needs the same arrows, circles, labels, and export approach across many images, dedicated capture and annotation software can support a more repeatable system. Unity’s documentation uses Snagit documentation as an example of this kind of workflow; the appropriate choice depends on the export, collaboration, and template needs of your team.
Annotate screenshots so readers do not have to guess
An annotation should tell the reader what to notice and why. A circle around an interface element can direct attention, but a circle alone does not explain whether the element is selected, broken, or the next step. Pair visual marks with short text labels when the meaning would otherwise be ambiguous.
Use a consistent visual system
- Use the same style for the same purpose throughout a guide: for example, one treatment for the control to select and another for a warning.
- Keep marker and circle sizes consistent with the surrounding text scale. Oversized shapes can obscure the interface; tiny marks may disappear when the image is resized.
- Use arrows only when direction matters, and make their starting and ending points unambiguous.
- Keep labels short and place them so they do not cover the control or text the reader needs to see.
- Explain any symbols, colors, or numbering in the surrounding instructions rather than assuming readers already know your visual conventions.
Unity’s guidance emphasizes clear, consistent labels and callouts. Consistency is especially helpful when a reader moves between screenshots in a longer procedure: the marks should retain their meaning instead of requiring a new interpretation in every image.
Do not make color or position carry meaning by itself
Color, size, location, and direction can reinforce a message, but should not be its only carrier. A red outline, for instance, may stand out visually while leaving the intended instruction unclear. Add a concise label or explain the marked item in the accompanying text. This also helps readers who cannot distinguish the colors or who view the image at a smaller size.

A screenshot is an image, not an interactive copy of the website. It cannot by itself show keyboard behavior, reproduce a live control, or provide the text relationships available in a properly structured page. Present it as supporting evidence or an illustration, and make the important information available in text as well.
Write surrounding text and alternative text for different jobs
Introduce the image with a complete sentence that tells readers what it demonstrates. Give it concise alt text that identifies its essential content or purpose; do not repeat every sentence in the surrounding instructions. If the screenshot is decorative and adds no information, use the appropriate empty alternative in the publishing system. For a complex image, a short alt description is not a substitute for a complete text equivalent: provide the steps, relationships, or details in the article itself or in a linked description.

Google’s developer guidance advises against putting explanatory prose directly into screenshot graphics. Keep instructional text in the article where it can be searched, translated, resized, and read by assistive technology. A small label may still help identify a callout, but it should not be the sole place where a necessary instruction appears.
Check the interface when the image documents accessibility
A screenshot can record what an interface looked like at a particular point, but it cannot establish that the interface is accessible. When documenting an accessibility issue, check the relevant behavior and interface properties, including contrast, identifiable controls, labels, feedback, headings, and responsive layouts. The W3C Web Accessibility Initiative specifically says to provide sufficient contrast between foreground and background.

Apple’s Accessibility Inspector can produce audit results containing screenshots, descriptions, and fix suggestions. That combination is more actionable than an image alone: it links visible evidence to the issue and a proposed repair. Keep the screenshot, defect description, and suggested fix together in the report or ticket.
Redact personal information before sharing
Inspect the entire capture before publishing it, including browser chrome, page content, account menus, notifications, and any full-page sections beyond the initial viewport. Remove personally identifying information before the image leaves the intended audience. Google recommends an opaque overlay for redaction rather than blur or mosaic effects, which may be reversible. Use a solid, fully opaque shape over the sensitive content, then export and inspect the resulting image to confirm that the information is not visible.
Redaction is different from drawing attention to an item. A translucent highlight, blur, or pixelation may still expose details; do not treat those effects as privacy protection. If the relevant point can be shown without the sensitive area, crop it out instead.
A practical capture-and-annotation workflow
- Define the point. Write down what a reader should understand after seeing the image. If the answer is one control or message, plan a focused capture rather than a full page.
- Capture the minimum useful area. Include enough context to identify the page and control. Choose full-page capture only when the scroll position or page structure is part of the evidence.
- Review for private information. Crop unnecessary personal details; cover information that must remain in frame with a solid opaque overlay before sharing.
- Add restrained callouts. Apply the same label, arrow, and marker conventions used elsewhere in the document. Keep the UI legible and avoid using color or shape alone to communicate the instruction.
- Write the text equivalent. Introduce the image with a complete sentence, add concise alt text, and put any essential sequence or complex explanation in ordinary text.
- Check the final export. View the image at the size readers will encounter it. Confirm that labels remain readable, redactions are opaque, and no annotation hides the evidence.
- For accessibility evidence, record the repair. Pair the screenshot with the observed defect and the proposed fix, and inspect behavior beyond what the static image can show.

Interpret capture outcomes, reliability, and billing

Troubleshoot common screenshot problems
The capture is blank or did not finish loading

A full-page capture omits content that appears after scrolling
Lazy-loaded images may require page preparation.
