Archive research images as a managed evidence system, not a folder of files. Keep an untouched preservation master, create purpose-built access copies, attach enough metadata to identify and retrieve every item, and monitor storage and formats over time. The workflow below works for scanned originals, born-digital images, screenshots, figures and field documentation; the exact format and metadata choices depend on the source, intended use and repository.
What a visual archive must preserve
A useful archive preserves more than visible pixels. It preserves provenance, context, technical characteristics and the ability to render the image later. Start by writing a short scope statement: what collection is included, who may use it, how long it must remain usable, and whether the primary outcome is scholarly analysis, public access, legal evidence, teaching or another purpose.
- Content: the image and, where relevant, the original object, page, slide, film frame or screen state.
- Context: creator, date, location, project, subject, rights and relationships to notes or specimens.
- Technical evidence: dimensions, color space, bit depth, compression, scanner or camera settings and software history.
- Integrity: stable identifiers, checksums and a record of every approved transformation.
Do not assume a single file format or storage device guarantees long-term preservation. Preservation is an operational commitment that includes documentation, redundancy, monitoring and planned action when technology changes.
Preservation masters and access copies
Separate the file kept for future preservation from the file optimized for current readers. The Library of Congress describes this master/access distinction: a master retains information needed for future use, while access copies can be regenerated for present screens, bandwidth and viewers.

For a scan, the master may need high bit depth and minimal or reversible compression; for a born-digital camera file, retaining the original raw file may matter; for a screenshot, the original capture and page metadata may be the critical evidence. Make the choice from source characteristics and use, not from a universal “best format” list.
Plan capture before collecting files
Inventory originals and intended use
Create an inventory before scanning or downloading. Assign a provisional identifier, note physical condition, record whether an item is unique, and state the required uses. A poster intended for color analysis has different capture requirements from a thumbnail used only for discovery.
Set quality controls
Define checks before production: focus and legibility, complete edges, orientation, color target or reference, absence of glare, correct page order and confirmation that no frames or layers were omitted. Keep a log of rejected captures and the reason for rejection.
Capture responsibly
For physical originals, use equipment and lighting appropriate to the material; fragile, oversized or reflective objects may require specialist handling. For web sources, record the URL, capture date and relevant page state. Respect copyright, privacy, access controls and research ethics. A screenshot is not proof that the underlying page will remain unchanged, so preserve contextual records alongside it.
Metadata is part of the archive
NARA states: “Metadata makes possible several key functions—the identification, management, access, use, and preservation of a digital resource—and is therefore directly associated with most of the steps in a digital imaging project workflow: file naming, capture, processing, quality control, production tracking, search and retrieval design, storage, and long-term management.” Images without sufficient metadata are easier to misidentify, lose or misuse.

Descriptive metadata
Record title or caption, creator, date or date range, place, subjects, keywords, language, collection and rights. Use controlled terms where a repository provides them, while retaining the researcher’s original wording when it carries evidence.
Technical and administrative metadata
Record dimensions, color profile, bit depth, format and version, compression, device or scanner, operator, capture settings, software, checksum, identifier, rights basis, restrictions and derivative relationships. For a web capture, add URL, access date, viewport or device emulation, page state and any actions taken before capture.
Event and provenance metadata
Log ingest, quality review, edits, format conversions, exports and fixity checks. Link each derivative to its parent rather than copying a master into multiple ambiguous folders.

Choose a stable identifier that does not encode facts likely to change. A pattern such as COLLECTION-ITEM-001234 is easier to maintain than a filename containing a mutable project title. Keep filenames machine-safe and predictable; put long descriptions, names and notes in metadata. Document capitalization, separators, version labels and treatment of missing or uncertain dates. If an institution requires a different convention, document that convention rather than silently translating it.
Choose formats by decision criteria
The Library of Congress Recommended Formats Statement 2025–2026 expresses preferences for published content; it is not an across-the-board rule for personal papers or every archival acquisition. NARA guidance discusses TIFF and JPEG variants in transfer contexts and calls for documentation when an agency-specific naming scheme is used. The UK National Archives ingest workflow includes metadata analysis, file-format identification and possible conversion to a preferred preservation format. Canada’s Heritage Information Network discusses format evaluation for digitized content, while explicitly excluding born-digital materials and general workflow advice.

Keep the original when it is evidentially important, even if your repository creates a normalized preservation copy. Record both files and the conversion event. Never delete a source merely because an access derivative looks identical on screen.
Ingest: turn a folder into managed objects
- Inventory: list every incoming file, source, identifier, expected count and rights status.
- Identify formats: verify the actual file type and version rather than trusting the extension.
- Review metadata: detect missing dates, incorrect orientation, embedded profiles, personal data and inconsistent fields.
- Apply naming rules: assign identifiers and preserve the original name in a source-name field if it has evidential value.
- Run quality control: inspect samples and exceptions, compare page or frame counts, and confirm the image is readable.
- Create derivatives: generate access files from the approved master and record the tool and settings.
- Package: place files, metadata, manifests and documentation in the repository’s required package structure.
- Accept or quarantine: move only approved objects into preservation storage; isolate failures for correction.
Institutional workflows may convert files to a preferred preservation format. Treat that as a documented repository decision, not an automatic instruction for every collection.

Store, protect and monitor the archive
Use more than one copy and more than one failure domain, according to institutional policy and risk. Separate preservation storage from everyday editing space, restrict accidental deletion, and maintain a manifest with checksums. Schedule fixity checks, investigate mismatches, and record whether a file was restored, replaced from a verified replica or intentionally changed.
Monitor storage capacity, access failures, media health, software support and format obsolescence. A preservation plan should state who reviews these signals, how often, where reports live and what triggers migration or emulation. Keep the original checksum and the new checksum after any approved transformation.
Capturing web-based research images
Web pages change, load content lazily and often display consent banners, newsletters or chat controls that obscure the research subject. A repeatable capture record should include the exact URL, UTC timestamp, viewport or device profile, full-page versus element scope, waits or clicks performed, custom headers or cookies where authorized, and the resulting file checksum. Capture the page’s relevant text or metadata separately when interpretation depends on it.

Troubleshooting and recovery
Images open but colors differ
Check embedded profiles, conversion settings and viewer color management. Preserve the source and document any profile conversion; do not “correct” color without recording the change.

Search by stable identifier and metadata, not filename alone. Repair the index, then add the missing descriptive or collection relationship rather than renaming files ad hoc.
Checksums do not match
Stop edits, compare replicas and logs, and restore from a verified copy. If the difference is intentional, create a new version with a new checksum and event record.

A web capture is incomplete
Use a selector or network-idle wait, load lazy content, verify the page count, and record any click or script. If access is blocked, preserve the failure and timestamp rather than repeatedly hammering the site.
Storage is filling rapidly
Measure master, derivative and replica growth separately. Refresh access copies from masters, remove only documented temporary files, and revise capture scope before lowering preservation quality.
Practical audit checklist
- Every object has a stable identifier and documented provenance.
- Masters and derivatives are clearly separated and linked.
- Descriptive, technical, rights and event metadata are searchable.
- Format identification, naming rules and conversions are documented.
- Manifests and checksum results are stored with preservation records.
- Replicas, access controls and recovery responsibilities are defined.
- Fixity, capacity and format-support reviews have owners and dates.
- Web captures include URL, timestamp, page state and capture settings.
Frequently Asked Questions
Should I embed all metadata inside the image file?
No. Embed portable technical or rights fields when useful, but keep authoritative collection, event and relationship metadata in a managed system that can be backed up, searched and versioned.
Is a PDF suitable as the only preservation master?
Only when its fidelity, embedded content and repository support meet the project’s requirements. Keep source images when they carry information or provenance that the PDF could lose.
How often should fixity be checked?
Set the interval from storage risk, access frequency and institutional policy; the important requirement is a documented schedule, exception process and recovery path rather than one universal number.
