Choose a tote when the conference kit is light and flat and attendees will need to reach into it often. Choose a backpack when the load is heavier or varied, people will carry it farther, or they need their hands free. The best choice depends on the contents and how attendees will use the bag—not on the format alone.
How do you choose between a conference tote and a backpack?
Start with what attendees will carry, how long they will carry it, and whether they need quick access or free hands. A promotional-products supplier describes the following format-level trade-offs; check them against the specifications of the actual bags you are considering rather than assuming every tote or backpack performs the same way. These are starting points, not guarantees of comfort or utility. Compare each model’s dimensions, construction, handles or straps, closure, capacity, artwork area, and packed weight. Consider the filled bag, too: a well-made tote can still be awkward with a heavy load, and a backpack is not automatically comfortable.

List the intended contents before choosing a format. Include the largest item, an estimate of the filled weight, and any materials sponsors may add during the event. A kit of paper materials and light samples points toward a tote; apparel, a bottle, documents, and personal items may make a backpack more practical. The total load and time spent carrying it matter more than the bag label.

Walk through the attendee journey as well. If people will be moving between sessions, standing in lines, or walking a long distance with their kit, hands-free carrying may be valuable. If they will repeatedly retrieve a program, notebook, or samples, easy access may matter more. Confirm that the chosen bag fits the actual items and that its straps or handles suit the expected load.
Will attendees use the bag after the event?
Usefulness and quality are sensible goals, but available broad promotional-product data does not show that totes or backpacks are more likely to be kept. PPAI’s 2025 consumer research reports that 54% of surveyed consumers still had the last promotional product they received, 57% said their most recently kept promotional product was useful in daily life, and 42% said it looked good and felt high-quality. Those figures concern promotional products generally—not conference attendees or bag formats—so they cannot establish which type of bag gets reused more often. PPAI, 2025

The most relevant feedback for your event may be what attendees actually did with the previous giveaway. MPI’s September 2026 event-planning guidance recommends asking evaluation-survey respondents which items from last year’s bag they used and using those answers to guide future orders. That is a planning recommendation, not a reported tote-versus-backpack preference result. MPI, September 2026

What should you check before ordering?
- Define the kit: List its contents, largest item, approximate filled weight, and whether attendees will add sponsor materials.
- Consider the route: Estimate how far and how long attendees will carry the bag, and whether they need their hands free.
- Check for duplication: Find out whether registration or another part of the event already provides a bag, and when this giveaway would reach attendees.
- Compare the actual models: Review dimensions, capacity, straps and handles, closure, construction, print area, and packed carton size. Check a customization proof before approving production.
- Use attendee feedback: Ask what people used from the previous event’s bag and use the answers to avoid duplicate or unwanted items.
- Compare like-for-like quotes: Request pricing for the same quantity, materials, imprint, delivery location, shipping, and deadline. Current comparable prices are not established here.
