The most useful work-from-home setup is usually one main productivity suite, plus only the tools that fill a real gap. Google Workspace and Microsoft 365 both combine communication, shared files, and collaboration; Slack can streamline team conversations, Trello can make task status visible, and a focused calendar-and-task routine can keep work from fragmenting across apps. These are five useful tool roles, not a tested ranking or a claim that every remote worker needs all five.

How to choose tools for working from home

Start with the systems your employer already uses. A suite that matches your organization’s accounts, file storage, and security rules is often a more practical foundation than adding a competing suite. Then identify the specific problem you need to solve: quick coordination, shared documents, visible task ownership, or reliable handoffs when teammates are not online at the same time.

  • Communication: Decide whether the work calls for live chat and meetings, asynchronous updates, or both.
  • Task visibility: If owners, deadlines, and progress need to be obvious to everyone, a dedicated visual board may help.
  • Files and integrations: Keep project conversations connected to the documents and task updates people need.
  • Administration: For workplace accounts, available features can depend on the plan, licensing, administrator configuration, and security policies.

1. Google Workspace for shared documents and connected communication

Google Workspace brings together Gmail and Chat for communication, Calendar-integrated Meet for meetings, and Drive for shared storage. Docs, Sheets, and Slides support co-editing, which can help remote teams collaborate on shared work without passing files back and forth. Some Meet functions are premium features available only on selected Business and Enterprise plans, so confirm what your organization’s edition includes rather than assuming every capability is available. Google also describes task assignment in collaborative files; that can support a lightweight workflow, though it is not the same as deciding that every team needs a dedicated project board.

2. Microsoft 365 for teams already using Microsoft tools

Microsoft’s hybrid-work guidance maps Teams to chat and online meetings, SharePoint and OneDrive to shared cloud files and collaboration, and shared task workflows to coordinating work. Microsoft Support explains how Teams, SharePoint, and OneDrive can work together for project conversations, calls, meetings, document storage, and sharing. This is a natural option when an employer already relies on Microsoft tools and file workflows. What is available in a particular workplace depends on licensing and administrator configuration; security setup and organizational policy also affect how services can be used. Check with your IT administrator before assuming a feature or sharing method is enabled.

3. Slack for team messaging and coordination

Slack organizes conversations and related files in channels, giving project teams a shared place to coordinate. Its task-management guide describes reminders and integrations that can bring task updates into communication workflows.

Slack can help a team stay connected, but messaging is not automatically a substitute for a project tracker. If people need a durable view of who owns each task, its due date, and its current status, decide whether a dedicated board or another task system should hold that information. Slack’s description of its own role is vendor guidance, not an independent comparison.

4. Trello for visual task and project tracking

Trello is suited to teams that benefit from seeing work move through stages on a shared board. Its product information describes assigning tasks, setting due dates, adding checklists and attaching files. Its remote-work guide emphasizes at-a-glance status and shared context that colleagues can pick up asynchronously—useful when teammates work different hours or need to hand work off without a meeting.

Trello’s board-centered approach complements, rather than duplicates, chat: a conversation can resolve a question, while a board can keep ownership and progress visible. Trello’s product page describes its capabilities and plan tiers; check the current offering and your organization’s requirements before choosing a plan.

5. A focused calendar-and-task workflow in your existing suite

The fifth useful “tool” is a routine, not a universal fifth app. Use the calendar and task features already available in your organization’s suite to turn commitments into scheduled work, reminders, and clear handoffs. Microsoft’s remote-work guidance includes shared tasks and workflows; Google describes Calendar integration with Meet and task assignment in collaborative files. The point is to create one dependable place to see what is due and when—not to add another service without a clear need.

  1. Capture work: Put each actionable commitment in the task system your team has agreed to use.
  2. Make ownership clear: Assign a person and, when useful, a due date to each task.
  3. Schedule time-sensitive work: Use calendar events for meetings and blocks of work that need a specific time.
  4. Keep updates with the work: Put decisions, files, or status where teammates can find them later, rather than relying on an unrecorded conversation.
  5. Review and hand off: Check upcoming work and update progress so others can continue without waiting for a live meeting.

How Slack and Trello differ—and when both may fit

Slack’s June 5, 2026 comparison characterizes Slack as focused on communication and workflows, and Trello as focused on visual task tracking and project organization. That is vendor positioning, not an independent test, but it offers a useful distinction: use messaging to coordinate discussion and a board when task status needs to remain visible. Teams may use both if each has a defined job; adding both without deciding where tasks and updates belong can create more places to check. Build a smaller, clearer remote-work setup

Choose Google Workspace or Microsoft 365 as the main suite based on your employer’s systems and file workflows; most readers do not need to buy both to cover the same basic functions. Add Slack if project communication needs a dedicated channel-based home, and Trello if work ownership and progress need a visual board. In either case, decide where the authoritative task status lives. A tool’s documented capabilities do not establish that adding more apps will improve productivity, so keep the setup limited to what your team will actually maintain.
