A factory time clock should make it easy to record accurate work time across shifts, jobs, breaks and locations—and make approved hours usable by payroll. It does not have to be a particular kind of machine: for U.S. federal purposes, employers must keep accurate hours-worked records, but the Department of Labor says they are not required to use a time clock. Choose the capture method that fits the worksite, then verify that the system handles exceptions and pay rules correctly.

What a factory time clock needs to record

Timekeeping is more than punching in at the start of a shift and out at the end. A factory system may need to record meal periods and other breaks, show when an employee moves between jobs or departments, and support overnight shifts that cross calendar days. The resulting timecard should distinguish recorded time from corrections and approvals, then pass approved hours and any labor allocation to payroll.

Before comparing devices, list the rules and workflows the system must handle: missed punches, interrupted meals, unscheduled overtime, differentials or premiums, multiple pay rates, job transfers, late approvals and payroll cutoffs. A clock that captures a punch but cannot represent how the work is paid or allocated may leave supervisors with manual corrections.

Which clock method fits a factory floor?

A single employer may use more than one capture method for different worker groups. Match each method to where employees start work, how they move through the site and what devices they can access.

Fixed terminals

A dedicated employee time clock machine can be practical when employees pass a controlled entrance or a known clock point. Ask where the device will be installed and whether that point records the work time the employer intends to capture. Test the line at actual shift-change traffic levels, not just during a quiet demonstration, and check what happens during network outages.

Kiosks and browser clocks

A shared kiosk or web clock can suit a site with secure workstations or tablets already in employee workflows. The key risks are congestion and shared-device usability: employees need a quick, clear way to authenticate and clock without exposing another worker’s information. Vendor-documented examples include tablet, barcode and RFID capture, as well as browser clocking; these descriptions establish available approaches, not independent performance rankings.

Mobile clocks

Mobile punches can be useful for employees who work away from the main plant or move among sites. Review whether company or personal devices will be used, how the system behaves without connectivity, and whether geolocation is collected. Confirm reimbursement, privacy and local-rule implications before enabling location features.

Biometrics

Fingerprint or face recognition is an authentication option, not a universal compliance solution. Before adopting it, determine what consent is required, how biometric data is stored and retained, what security controls apply, and whether workers have a non-biometric alternative. Claims that biometrics prevent buddy punching are vendor claims, not independently established results here.

How to evaluate a factory timekeeping system

Compare systems against the same operating scenarios and payroll requirements rather than selecting by device appearance alone.

  • Work location and movement: Identify where employees start shifts, whether they move between buildings or sites, and which groups need fixed, kiosk, mobile or supervisor-assisted entry.
  • Shift-change throughput: Estimate how many workers will clock at once and test queue length at the busiest transitions.
  • Identity and usability: Check badge, PIN, browser, mobile or biometric options, device access, accessibility and the process for a lost badge.
  • Connectivity: Confirm network and power needs, offline capture behavior and how delayed punches are synchronized.
  • Pay and labor rules: Verify overnight shifts, workweek boundaries, overtime, premiums, multiple rates, meal events and job or department allocation.
  • Corrections and auditability: Make exceptions visible; retain who changed an entry, who approved it and when; give employees a way to review and challenge errors.
  • Payroll compatibility: Confirm that approved hours and labor allocation reach the existing payroll process in the required format and on schedule.
  • Privacy and legal fit: Review data collection, retention and access controls, particularly for biometric or location-based capture.

Use these scenarios in a product demonstration

Ask the vendor to show complete timecards and the resulting payroll handoff for realistic cases. Compare the output with a timecard your payroll team has already verified as correct.

  1. An overnight shift that crosses a calendar-day boundary and the applicable workweek boundary.
  2. A missed punch followed by an employee-visible, supervisor-approved correction with an edit history.
  3. A transfer between jobs or departments during a shift, with labor allocation preserved.
  4. A meal period interrupted by work, including the resulting recorded time and exception.
  5. Unscheduled overtime and the relevant approval path.
  6. A shift involving multiple pay rates, differentials or premiums.
  7. A payroll cutoff followed by a retroactive correction, showing how the approved change reaches payroll.

Also test the device in the intended location and operating conditions. Confirm power, network, mounting, service support, badge or biometric requirements, and whether the system works with the current timekeeping and payroll stack. TCP and Dayforce describe manufacturing and clocking capabilities on their product pages, but vendor descriptions are not independent comparative evaluations; verify each feature and integration in your own demonstration.

Does a U.S. employer have to use a time clock?

No specific time-clock device is required by the U.S. federal guidance cited here. In a June 27, 1983 opinion letter, the Department of Labor’s Wage and Hour Division stated: “In this regard, an employer, while required to keep accurate records of employees’ hours of work, is not required to use a time clock to do so.” Read the FLSA-1122 opinion letter.

The letter addresses a particular fact pattern, not every current legal question. It discusses rounding start and stop times to the nearest five minutes, tenth of an hour or quarter hour only where the arrangement averages out over time so employees are fully compensated for actual time worked. It also says work an employer permits before or after scheduled shifts must be recorded as compensable time. Do not treat that dated, fact-specific letter as blanket approval of a rounding practice. State, local, union and non-U.S. requirements are not covered by the federal source cited here; check the rules that apply to the workplace.

What to know before buying a physical clock

“Employee time clock machine” and “factory time clock terminal” describe the physical-device category, but neither phrase identifies a universally suitable model. TCP describes durable manufacturing clocks, while Dayforce documents Touch and ruggedized Tuff devices. Those vendor pages establish product categories and stated capabilities—not a verified retail listing, independent test or specific model recommendation.

Before purchasing, confirm compatibility with the timekeeping and payroll system, operating conditions, mounting, power and network requirements, service support, authentication options and the ability to record job or department changes. A physical terminal that cannot support the site’s correction, approval or payroll workflow may add hardware without solving the timekeeping problem.
