Clockify’s free online time card calculator totals a week of hours from start and end times you enter, subtracts break time, and can estimate pay and overtime. It works as a calculator for the records you type in. It does not decide what your employer or the law counts as paid time, overtime, or a valid break.

What the calculator does

Clockify’s calculator page presents a weekly time card with one row per day. Each row has fields for the day’s start time, break start, break end, end time, and a break deduction. The calculator adds the day’s worked hours, then adds the week. It is built for a single period you enter by hand, not for a running record kept by a team.

Beyond the basic hours, the page describes these options:

  • Pay calculation. Turned on optionally. You enter a base hourly rate and a currency.
  • Overtime rate. An optional second rate that applies once an overtime threshold is passed.
  • Overtime threshold. Configurable as more than eight hours in a day, more than forty hours in a week, or a custom figure.
  • Hidden weekend days. Weekend rows can be removed from the card if you do not work them.
  • Custom note. A line of text that appears on the printed card.
  • Output. Print the card, save it as a PDF through your browser’s print dialog, or export a CSV file for further review.

Clockify presents the eight-hour daily and forty-hour weekly thresholds as settings you can choose. They are not presented as the overtime rules that apply to every worker, in every jurisdiction or job.

How to fill in a week

  1. Enter a name and the date range for the workweek.
  2. For each day you worked, enter the start time and the end time. Leave days you did not work blank.
  3. Record breaks in one of two ways: enter a break deduction as a duration, or enter the break start and break end times. Use the method that matches your actual record, since the calculator subtracts break time from total hours either way.
  4. If you need pay figures, turn on pay calculation and enter the hourly rate and currency.
  5. If you need overtime figures, choose a threshold and an overtime rate that match your own employment terms or your employer’s payroll policy.
  6. Check the daily and weekly totals against your own notes, then print the card, save it as a PDF, or export the CSV.

Worked example: subtracting a lunch break

Suppose you start at 08:30 and finish at 17:00, with a 30-minute unpaid lunch. The gross span is 8.5 hours. Subtracting the 0.5-hour break leaves 8.0 hours for that day. If you enter the break as start and end times instead (12:00 to 12:30), the result is the same 8.0 hours.

Now suppose a later day runs 08:00 to 18:30 with a 45-minute break. The span is 10.5 hours, and subtracting 0.75 hours gives 9.75 hours.

Using a weekly threshold of forty hours, a week of five 8.0-hour days followed by a sixth day of 6.0 hours would show 6.0 hours above the threshold. Using a daily threshold of eight hours, the 9.75-hour day would show 1.75 hours above eight. The two settings produce different overtime totals from the same entries, which is why the threshold must match your own rules.

Calculator or ongoing time tracking?

Clockify also publishes a timesheet app, and the two products fit different situations. The calculator suits a one-off week you need to total, check, or print. The app is aimed at recurring entry, approvals, and reporting. Clockify’s own descriptions of the two are summarized below.

Factor Time card calculator (free web tool) Clockify timesheet app
Typical use Totaling one week of entries you type in Recurring weekly timesheets for individuals or teams
Entry method Manual start, break, and end times on a weekly card Weekly timesheet entry, as described on Clockify’s timesheet page
Pay and overtime Optional pay with one hourly rate and an optional overtime rate Payroll and billable-hour calculation, as described by Clockify
Approvals Not part of the calculator Timesheet approvals, as described by Clockify
Output Print, PDF through the browser, or CSV Reports, as described by Clockify
Pricing and plan limits Not stated in the calculator material reviewed Not stated in the timesheet material reviewed

If your employer already issues timesheets or runs a payroll system, use those records as the source. The calculator is useful for checking arithmetic against them.

Manual alternatives

Clockify’s basics guidance lists three common ways to keep a manual time record: a Word document, an Excel spreadsheet, or a printed time card template. A spreadsheet is the most flexible if you want to build your own formulas. A printed template suits workplaces that collect paper cards. The web calculator replaces the arithmetic in any of these, but it does not replace the source times you write down.

Where the results can go wrong

  • Mismatched break method. Entering a break as a duration and also as start and end times for the same break will double-count it. Use one method per day.
  • Unrecorded or unpaid breaks. The calculator subtracts whatever break you enter. Whether a break is paid, unpaid, or required is a matter for your employer’s policy and local rules.
  • Rounding. The material reviewed does not establish any rounding rule the calculator applies. If your employer rounds to the nearest quarter hour or similar, round your entries yourself before comparing totals.
  • Overnight shifts. A shift that ends after midnight needs the start and end times entered so that the span is correct. Check the day’s total after entry.
  • Threshold choice. An overtime figure is only as accurate as the threshold and rate selected. Confirm both against your contract, your employer’s payroll policy, or the labor guidance for your location.

For ongoing payroll, timesheet approvals, or a record that needs to stand up in a dispute, keep the source timesheets your employer uses and treat the calculator as a check on the arithmetic.

Clockify also documents configurable daily, weekly, or monthly overtime calculations in its attendance reporting product. That is a software setting rather than a statement of what the law requires.

Frequently asked: which result to trust

The calculator’s totals are only as accurate as the times and settings you enter. The tool is best used to confirm that your own records add up, not to replace an employer’s official timesheet or payroll statement.
