A communication technology has improved communication when it helps the people involved understand one another, take part, coordinate their work, or keep a record worth returning to. Speed and convenience do not meet that test on their own. A tool can connect people across distance and still leave them misreading each other, buried in messages, or shut out entirely.
A practical test for any communication tool
Put a new app, channel, or device through four questions:
- Understanding: Does it help people grasp what is meant, including tone and intent?
- Participation: Can everyone affected take part, including people with disabilities and people who are not in the same room?
- Coordination: Does it help people agree on what happens next, and when?
- Record: Does it leave a trail that people can find, search, and rely on later?
A tool that scores poorly on all four has not improved communication, however quickly it delivers messages.
How technology improves communication
The benefits are concrete when a tool matches the job it is given. Four stand out:

- Reach across distance. Communication software lets teams in different locations stay in contact on shared work without waiting for a meeting window.
- Searchable history. A message thread or shared channel can be searched for a decision, a file, or a commitment made weeks earlier.
- Shared authorship. Co-authoring in a single shared document replaces the cycle of emailing versions back and forth, which often produces conflicting edits.
- Asynchronous updates. A written update lets people read and respond when they have attention to give, rather than being pulled into a live exchange.
Each benefit depends on the task. A searchable record helps a project team far more than it helps a conversation about a difficult performance review.
How technology makes communication worse
Most failures are not dramatic. They come from features that look like improvements until they are used at volume.
Loss of tone and nonverbal cues
Written messages are efficient and leave a record, but they remove facial expression and vocal inflection. A short reply can read as irritation when the sender meant nothing of the kind. The problem grows when the subject is complex or emotionally loaded, because the reader has less context to fill the gaps.

Message volume and “digital debt”
Each message asks for a response, and a backlog of unanswered messages becomes a standing obligation. The Business.com article describing workplace communication uses the term “digital debt” for this accumulation. The point is practical: a team that answers everything quickly may still be communicating poorly if the answers are shallow or late for the decisions that matter.
Too many channels and notifications
When one team uses email, a chat app, a project board, a video tool, and a shared document folder, people spend effort deciding where information lives and checking each one. Every notification interrupts attention. The more channels a team runs, the harder it becomes to concentrate on any single conversation.
Designs that exclude people
A tool can be fast for most users and unusable for some. Captions missing from a recorded meeting, controls that a screen reader cannot read, or a video call with no alternative for someone who cannot hear the audio all block participation. Accessibility is covered in its own section below because it is a condition of communication, not an add-on.

Matching the channel to the task
The Business.com article offers practical channel guidance, which is useful as a starting point rather than a universal rule. Its recommendations, with the trade-offs a team should check, are set out below.

When a written exchange on a complex or sensitive subject starts to cause confusion, the same article recommends moving to a phone or video conversation. That is the signal to stop typing and talk.
Six factors to weigh before choosing
- Urgency and the response time you actually need.
- Complexity and sensitivity of the subject.
- Whether tone, visual cues, or immediate back-and-forth matter.
- Whether a record must be kept and found later.
- Whether every participant can use the channel without barriers.
- The interruption load it adds and whether it respects people’s attention boundaries.
Accessibility is part of effective communication
The National Council on Disability’s 1996 report gives a useful historical account of technology’s two-sided role. It states: “Historically, technological progress has yielded both benefits and barriers for people with disabilities.” It describes augmentative communication devices, assistive listening devices, telecommunications relay services, captioning, and descriptive video as ways technology supports communication access. It also explains that technology becomes a barrier when it is unaffordable, difficult to use, or inaccessible.

The report also quotes Reed E. Hundt, identified as Chairman of the Federal Communications Commission, speaking on June 28, 1995: “If we rely solely on market forces to drive the communications revolution, then people with disabilities will be disenfranchised in the communications revolution.” That is a statement about the telecommunications market of the mid-1990s, not current policy.
Treat the report as historical context. It does not establish current legal requirements, present-day product availability, or what any particular person needs.
Device categories that enable access
The report describes two categories relevant to people who need communication access: assistive listening devices and augmentative and alternative communication (AAC) devices. The category is a real fit for those needs, but the report does not verify current models, prices, or whether a given device suits a given user. Choosing one should involve the person who will use it and, where relevant, a qualified specialist.

Keeping relationships intact
A 2023 multi-method co-design study with older adults reported that participants worried smart technology could disrupt their social ties. They also said they wanted tools that help them communicate with relatives, friends, and neighbors. This is qualitative input from study participants. It does not show a general effect across older adults or across technologies.
One participant, identified by the pseudonym Molly, said: “The biggest concern for me is the human factor which might get stopped because of this technology. I mean so you know the children, the grandchildren they might not keep in touch with the parents.”
The useful question her comment raises is whether a tool adds contact or quietly replaces it. A video call that brings a grandparent into a family routine adds contact. A notification that stands in for a phone call the family would otherwise have made does not.
Efficiency and human connection at work
The Business.com article quotes Harmeet Bhatia, a technical account manager at Amazon Web Services: “The key to success lies in balancing technological efficiency with authentic human connection, ensuring that digital tools enhance, rather than replace, meaningful workplace interactions.” This is the named individual’s view as reported by that article, not an official AWS policy statement.
The same article cites a workplace figure attributed to Microsoft’s 2025 Work Trend Index. It is omitted here because the original report could not be checked against the figure as quoted. No current, verified statistic on workplace interruptions is offered in this article.
Apply the test in this article to each channel decision. If a tool speeds up delivery but weakens understanding, participation, coordination, or the record, it has not enhanced communication.
