To switch Microsoft accounts in Word, Excel or PowerPoint without signing out, select your name or profile picture in the app’s top-right corner, choose Sign in with a different account, and sign in. Microsoft says you do not need to sign out to use a different account. Save open work first, then check the profile shown after the switch.
How to switch accounts in Word, Excel or PowerPoint
- Save any open documents, workbooks or presentations.
- In Word, Excel or PowerPoint, select the signed-in user’s name or picture at the top right of the app window.
- Select Sign in with a different account.
- Complete the sign-in prompt for the account you want to use, then check that the expected profile appears.
Microsoft documents this route for using multiple accounts in Office. Menu labels can vary by Office version, platform and organization settings, so if you do not see the option, check the account/profile menu in your installed app. Microsoft’s guidance covers Microsoft 365 and Office versions including 2024, 2021, 2019 and 2016. Switching the Office account is not the same as switching file storage
The account shown in an Office app, the account that activates Office, and the place where a file is stored are related but distinct. A document can be local, in a personal or work/school OneDrive, or in SharePoint. Selecting a different Office account does not automatically move a file or change where it is saved.
Add another OneDrive in Office for Windows
- Open an Office app and choose File > Account > Add a service > Storage > OneDrive.
- Complete the sign-in steps for the OneDrive account.
Add another OneDrive in Office for Mac
- In an Office app, choose Home > Connected Services > OneDrive.
- Sign in to the account you want to connect.

Add an account to the OneDrive sync app
If you mean the OneDrive desktop app rather than Office, open its settings or preferences, go to Account, and choose Add an account. Microsoft says Windows and Mac can have multiple work or school accounts in OneDrive, but only one personal account. This is separate from adding OneDrive inside Word, Excel or PowerPoint. When signing out is appropriate
Sign out when you need to remove your account from the Office app experience, such as before another person uses that installation. Microsoft says signing out removes the account’s Office license from the app experience, hides recent files and removes custom settings; creating or editing may require signing in again to restore access. Signing out of Office on Windows does not itself sign you out of the OneDrive sync app. If you intend to remove a synced OneDrive account, use OneDrive’s own account controls instead.
Account limits and common points of confusion
Two accounts from the same organization
Microsoft says Microsoft 365 apps do not support simultaneous sign-in with multiple user accounts from the same Microsoft 365 organization or tenant. To use another user account from that same tenant, sign out of the first one. This limitation is specifically about multiple accounts from the same organization; it does not mean that a personal account and a work or school account can never both be used.

Office identity, activation and Windows sessions
A Microsoft account may provide the license used to activate Office, account management, or access to cloud services such as OneDrive, Teams and SharePoint. Those roles do not make an Office account switch equivalent to changing the Windows user profile. Use the Office account menu for a different Office identity; use OneDrive’s controls for a sync account; change Windows sessions only when you need to switch the person using the computer. AutoSave eligibility depends on the file and its location, not just the profile selected in Office. Microsoft says AutoSave works for Microsoft 365 files saved to OneDrive or SharePoint and requires an active Microsoft 365 subscription. It recommends opening or saving the file from within Word, Excel or PowerPoint. Local files and CSV files are not supported by AutoSave; older formats and other cases can also make it unavailable. - Close to protect screen and conserve battery, or fold back completely for a tablet.
- Check whether the file is stored in OneDrive or SharePoint rather than only on the computer.
- Open the file from inside the Office app and confirm it is in a supported format.
- If you meant to save to another OneDrive, add that service in Office rather than changing Windows users.
