Slack and Microsoft Teams both support retention and legal-review workflows, but they implement them differently. Slack ties key export and hold capabilities to workspace plans, with all-message exports on Business+ and Enterprise+ and legal holds plus the Discovery API on Enterprise+. Teams uses Microsoft Purview retention policies, Content Search, and eDiscovery, with availability determined by the licenses assigned to your tenant. Neither platform should be treated as having equivalent coverage or cost without checking the exact plan, policy scope, workloads, and contract.
The practical distinction is this: retention controls determine what remains available, while preservation, search, and export tools determine how investigators can retrieve and review it. A message that disappears from a user’s conversation may still exist in a protected compliance copy or exportable record, but only when the applicable policy, hold, and licensing conditions preserve it.
At a glance: the operational differences
| Decision point | Slack | Microsoft Teams |
|---|---|---|
| Retention administration | Workspace retention settings on paid plans; custom retention is listed from Pro upward. | Microsoft Purview retention policies for Teams chat and channel messages. |
| All-message export | Listed on Business+ and Enterprise+ plans. | Export is performed through Microsoft Purview Content Search or eDiscovery workflows; exact entitlement depends on tenant licensing. |
| Single-user export | Listed as an Enterprise+ capability. | Search and export can be scoped through Purview cases and searches; the reviewed material does not state a separate single-user export tier. |
| Legal holds | Enterprise+; holds can cover all conversations or direct messages involving selected custodians. | Purview eDiscovery can place holds on a user or team; licensing and workload coverage must be verified. |
| Edited or deleted messages | Exports may include some deleted content when the organization is approved for all-conversation export; the Discovery API can collect edited or deleted content preserved by retention or a hold. | A secured compliance copy can remain discoverable after a user edits or deletes the visible message. |
| Export format and route | Discovery API data is JSON by default and is sent to an approved third-party application. | Purview exports results from Content Search and eDiscovery; the reviewed documentation does not establish one universal export format. |
| Important limits | A legal hold supports up to 1,000 custodians and excludes several data types and deleted channels. | Retention deletion is not instantaneous; messages can remain visible in Teams for up to seven days after the configured period expires. |
This table is a screening tool, not a licensing guarantee. Slack plan names, Microsoft Purview packaging, and contract entitlements can change, so confirm the configuration assigned to the workspace or tenant before promising a regulator, court, auditor, or investigator that a feature is available.
How Slack message retention works
Default storage and administrator-controlled deletion
Slack says paid plans retain data for the lifetime of the workspace by default. Administrators can replace that default with automatic deletion rules. The policy model covers messages, files, canvases, and lists, and the selected rule controls what remains available for later export.

Retention is therefore not just a storage preference. It is an evidence-preservation decision. A short automatic-deletion period can remove material before an investigation starts, while a longer period increases the amount of information that must be governed and reviewed. Set the period separately for the data types and conversations your organization actually needs; do not assume that a message policy automatically describes every file, canvas, or list.
Plan availability
Slack’s current plan comparison lists custom retention policies on Pro, Business+, and Enterprise+. It lists exports of all messages on Business+ and Enterprise+. Enterprise+ additionally lists exports for all messages from a single user, legal holds, the Discovery API, audit logs, and native data-loss prevention. Those are tier-level indications rather than a substitute for checking the workspace’s current subscription and negotiated terms.
Why retention changes the export result
Slack explicitly says retention settings affect exports. Where an organization is approved to export all conversations, some deleted messages can remain accessible in JSON exports. That does not mean every deleted item is recoverable: availability depends on the retention rule, the approved export scope, and whether the content was preserved by another mechanism.
Keep two questions separate when documenting a case:
- What a member can see: the live workspace view after normal edits or deletions.
- What the organization can preserve or export: content retained under workspace rules, a legal hold, or an approved compliance workflow.
A blank or edited conversation in the client is therefore not proof that no discoverable copy exists, and an export that lacks a message is not proof that it was once preserved.

Slack legal holds and the Discovery API
What a Slack hold preserves
Slack documents legal holds as an Enterprise capability. A hold can include messages and files from all conversations, or the direct messages in which a selected member participates. Slack says held content is retained regardless of normal retention settings and regardless of member edits or deletions.
There is a material boundary: if a channel included in the hold is deleted, Slack says its content will not be saved by that hold. The documentation also identifies exclusions, including Slack Connect conversations, Slack sales-home notifications, emoji reactions, and snippet version history. Treat those exclusions as part of the hold design rather than assuming that “all conversations” means every object associated with a workspace.
A single legal hold can have up to 1,000 custodians. For larger matters, map custodians to multiple holds or another preservation process before issuing notices; do not assume the limit can be exceeded by adding more members to one hold.
Discovery API workflow
The Discovery API is Slack’s route for security and compliance uses such as eDiscovery, archiving, and data-loss prevention. An organization owner on an Enterprise plan can enable an approved third-party application. Data exported through the API comes in JSON format by default.
The API can collect organization history and edited or deleted content when that content was preserved under retention policies or legal holds. It does not turn every historical event into a recoverable record. Before selecting an archive or review system, confirm that its connector supports the exact Slack data types you need, including the conversation classes and file objects in scope. Slack cautions that partner coverage differs.

Questions to answer before relying on a Slack export
- Is the workspace on the plan that exposes the required export, hold, or API feature?
- Is the organization approved for all-conversation export, or only a narrower scope?
- Which retention rules were active when the relevant messages were created, edited, or deleted?
- Were any channels in scope deleted, or were they Slack Connect conversations excluded by the hold documentation?
- Does the receiving application parse the JSON fields and data types needed by counsel, investigators, or records managers?
- Is the export being preserved as evidence with an audit trail, rather than treated as an informal download?
How Microsoft Teams retention works
Purview retention policy actions
Microsoft documents Teams retention policies for chat and channel messages in Microsoft Purview. An administrator can configure a policy to retain data, delete it, or retain it for a defined period and then delete it. Scope can cover the organization or selected users and teams.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteRetention labels are not supported for Teams messages according to the reviewed Microsoft documentation. Teams message governance therefore relies on the retention-policy model and its assigned scope, not on applying a label to an individual chat message.
Compliance copies outlive the visible conversation
Users can still edit or delete messages in Teams while a retained compliance copy is stored in a secured location for eDiscovery. This creates two views of the same event: the conversation a participant sees and the copy available to authorized compliance searches. Editing the visible message does not necessarily remove the earlier version from discovery.
When policies conflict, Microsoft says retained content remains available for eDiscovery and the longest applicable retention period governs. Deletion processing also takes time. The documentation notes that messages can remain visible in Teams for up to seven days after the configured retention period expires. Do not schedule a legal review or regulatory deletion attestation based solely on the moment a policy’s nominal period ends.
Licensing and scope checks
Purview features are packaged by Microsoft licensing and tenant configuration. The reviewed documentation does not establish one universal license or price for every Teams retention and eDiscovery function. Confirm that the tenant’s licenses cover the required workloads, users, teams, search features, preservation, and export before writing a compliance procedure.

Teams Content Search, eDiscovery, and export
Content Search without a case
Microsoft’s Teams security and compliance overview describes Content Search across Teams data and allows search results to be exported with or without an eDiscovery case. This is useful for an initial investigation or a narrowly scoped request, but an export outside a managed case may provide less formal matter organization than a full eDiscovery workflow.
Purview eDiscovery Premium
Microsoft describes eDiscovery Premium as supporting case management, preservation, search, analysis, and export. The listed Teams material includes chats, messaging and files, and meeting and call summaries. Those workload categories should be matched to the facts of the matter: a chat-only search may not capture a meeting summary or an attached file unless the relevant data source is included.
Legal holds in Teams
Microsoft documents legal holds for a user or a team. Held channel-message copies remain available through eDiscovery search even if end users edit or delete the messages shown in Teams. Before relying on a hold, identify the custodians and teams, record the effective date, and verify through a test search that the expected workload is covered by the tenant’s license and policy.
Retention, preservation, and export are different controls
Administrators often use “retention” and “backup” interchangeably, but these systems answer different questions:
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →- Retention: how long the service keeps content under an automatic rule and what happens when the period ends.
- Preservation: whether a legal hold or equivalent control overrides ordinary deletion for a matter.
- Search: how authorized reviewers locate messages, files, or summaries across the preserved data set.
- Export: how results leave the platform for counsel, a regulator, an archive, or a review tool.
Slack exposes these stages through workspace policies, Enterprise legal holds, and the Discovery API. Teams exposes them through Purview retention policies, holds, Content Search, and eDiscovery. A service can retain content without offering the export route your review team expects, and an export tool cannot recover data that was deleted before any applicable policy or hold preserved it.

Step-by-step implementation playbooks
Slack workspace
- Inventory the subscription. Record whether the workspace is Pro, Business+, or Enterprise+ and verify the contract’s actual entitlements rather than relying on a generic plan chart.
- Define retention by data type. Decide periods for messages, files, canvases, and lists, then document the business, legal, and regulatory reason for each period.
- Check export scope. Determine whether the organization is approved for all-conversation exports, a single-user export, or another narrower scope.
- Open holds before deletion risk. For a dispute or investigation, identify custodians and conversations, staying within the 1,000-custodian limit and accounting for excluded data types.
- Protect channels in scope. Do not delete a channel covered by a hold; Slack states that content is not saved if an included channel is deleted.
- Configure the approved connector. If using the Discovery API, authorize an approved application and confirm that it accepts the required JSON objects and conversation types.
- Validate with a sample matter. Search for a known edited or deleted message and document whether it appears because of retention, a hold, or neither.
- Record chain-of-custody details. Preserve the export, its date, scope, administrator, and receiving system so reviewers can distinguish an official collection from a user-generated copy.
Microsoft Teams tenant
- Map licenses and workloads. Verify which Purview retention, Content Search, eDiscovery, and hold functions are licensed for the tenant, users, and teams involved.
- Set retention policy scope. Choose organization-wide or selected-user and team scope, then select retain, delete, or retain-then-delete behavior.
- Document policy conflicts. Keep a record of overlapping policies because Microsoft says the longest applicable retention period governs retained content.
- Plan for processing delay. Communicate that expiry does not immediately remove the visible message; Microsoft notes that messages can remain visible for up to seven days after the configured period.
- Create a case or search. Use Content Search for an authorized collection with or without a case, or use eDiscovery Premium when formal case management, preservation, analysis, and export are required.
- Issue holds. Place the required user or team on hold and confirm that the channel-message workload is included.
- Test edited and deleted scenarios. Search for a controlled message that was changed or removed from the user’s view and verify that the compliance copy is discoverable.
- Export and preserve results. Capture the search definition, custodians, date range, workload selection, export date, and destination so the result can be reproduced.
What happens when someone edits or deletes a message?
Slack example
Suppose a member edits a message after a retention policy has preserved it. The live channel may show only the edited text, while an Enterprise Discovery API collection can include edited or deleted content if the relevant record was preserved by retention or a legal hold. If no policy or hold preserved the earlier version, the export may not contain it. A deleted channel covered by a hold is a separate failure case because Slack says that hold does not save the channel’s content after deletion.
Teams example
Suppose a user deletes a chat message during an investigation. Teams can continue storing a compliance copy in a secured location, and an authorized eDiscovery search can return that copy even though the participant no longer sees the message. If no retention policy or hold applied, there may be no discoverable compliance copy. Policy processing time also means that visible deletion and backend deletion are not simultaneous.
Which platform fits a particular compliance requirement?
| Requirement | Better fit based on documented workflow | Verification needed |
|---|---|---|
| All-conversation export from Slack | Slack Business+ or Enterprise+ is the documented tier range. | Confirm workspace approval, retention effects, and export scope. |
| Single-custodian Slack collection | Slack Enterprise+ lists all-message export from a single user. | Confirm the contract and whether files or excluded conversation types are required. |
| Preservation overriding Slack deletion rules | Slack Enterprise legal holds. | Check the 1,000-custodian limit and exclusions, especially deleted channels and Slack Connect. |
| JSON feed to an archive or review system | Slack Discovery API, with JSON as the default format. | Confirm the approved app’s supported data types and fields. |
| Organization-wide Teams retention | Microsoft Purview retention policy scoped to the organization. | Verify tenant licensing and workload coverage. |
| Formal Teams investigation with preservation and analysis | Purview eDiscovery Premium. | Confirm that chats, files, meeting summaries, and calls required by the matter are included. |
| Recovery of edited or deleted Teams messages | Purview compliance copies and eDiscovery search, when policy or hold coverage applies. | Test the actual tenant and account for processing delays. |
The documented material does not establish equivalent licensing or cost between the two services. Select on evidence coverage and operational fit, then obtain a current quote and entitlement statement separately.

Common mistakes and how to avoid them
- Assuming a paid plan includes every compliance feature. Slack places all-message export, legal holds, and the Discovery API in different plan tiers.
- Treating retention as a complete legal hold. Ordinary deletion rules and matter-specific preservation serve different purposes.
- Promising recovery of every deleted Slack object. Exclusions and deleted-channel behavior limit what a hold can save.
- Ignoring the receiving system. Slack’s JSON output is only useful if the approved partner parses the required data types.
- Searching only the user-visible Teams conversation. The discoverable compliance copy is stored separately and must be accessed through authorized Purview tools.
- Declaring deletion complete at policy expiry. Teams processing can leave messages visible for up to seven days.
- Using an unscoped export for a formal matter. Record custodians, date ranges, workloads, policy versions, and export metadata.
- Assuming product documentation overrides the contract. Check the tenant or workspace’s actual region, edition, license assignment, and negotiated terms.
Bottom line
Slack is strongest when an Enterprise workspace needs legal holds and a controlled JSON feed into an approved review or archive system; its plan tiers and hold exclusions require careful scoping. Teams is strongest when an organization already governs Microsoft 365 through Purview and needs integrated retention, compliance copies, case management, search, analysis, and export. In either service, the defensible answer to “Can we recover this message?” is conditional: identify the active retention policy, preservation hold, data type, license, and processing state before promising that the record exists.
