The biggest risks when replacing a SIP-based phone system are at the boundaries: your phones may not be supported, calls may fail despite successful registration, number ports may be delayed or rejected, familiar call features may behave differently, and emergency locations may need to be set up again. None of these outcomes is inevitable; the risks depend on the old and new services, carrier, country, equipment, firmware, and network.
Also, moving “off” a SIP-based system does not necessarily mean the replacement uses no SIP. The practical question is whether the destination service supports your endpoints, call flows, numbers, and locations—not just whether both systems use SIP.
Why can a registered SIP phone still fail?
Registration only confirms that an endpoint has established a signaling relationship with a service. It does not prove that a complete call will work or that the phone’s features are supported. Signaling, audio media, and application behavior need separate checks.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteInteroperability can depend on supported SIP methods and headers, authentication, number and header formatting, codecs, transport, and NAT traversal. 8×8’s trunk-interface specification documents these requirements for its own service and includes example inbound and outbound call flows. Treat it as an example of what to investigate, not as a universal SIP checklist: ask the destination provider for its current requirements.
#1 Best Overall
- The phone only works with VoIP
- 2 dual-color line keys (with 2 SIP accounts and up to 2 call appearances), 3 XML programmable context-sensitive soft keys, 3-way conference
- HD wideband audio, superb full-duplex hands-free speakerphone with advanced acoustic echo cancellation and excellent double-talk performance.
- Large phonebook (up to 500 contacts) and call history - up to 200 records
- Automated provisioning using TR-069 or encrypted XML configuration file, SRTP and TLS for advanced security protection, 802.1x for media access control
Check the call, not just the status light
- Place inbound and outbound calls to external numbers.
- Confirm two-way audio, caller ID, and DTMF tones.
- Test transfers and forwarding, including the call paths people actually use.
- Check voicemail, queues, after-hours routing, and other essential call flows.
A successful registration alongside failed audio or features points to a different problem than a phone that cannot register at all. Record the failure and the call path so the provider can investigate the relevant signaling, media, or configuration.
Will existing phones and analog devices work on the new service?
Not automatically. A device can support SIP yet lack the destination platform’s support, required firmware, provisioning method, or feature compatibility. Verify the exact make and model, firmware, licensing requirements, and destination-provider support list before planning to reuse a handset.
Microsoft’s Teams SIP Gateway documentation, for example, lists compatible models and firmware requirements; it also says some enterprise firmware must be converted to multiplatform firmware. That guidance applies to Teams SIP Gateway, not to other platforms. Use the current compatibility information for the service you are moving to.

Inventory non-phone equipment separately
Fax machines, paging systems, door phones, alarm panels, elevator phones, modems, and point-of-sale lines may rely on analog signaling or line behavior that a replacement voice service does not preserve. Compatibility for these devices is not established across providers. Confirm each device with both the destination provider and equipment vendor, and check any applicable safety or regulatory obligations before cutover.
What changes with the network and firewall?
The new service may require different firewall rules, address-family support, or signaling and media flows. Microsoft documents IPv4-only support for Teams SIP Gateway, along with firewall requirements and network location attributes for emergency calling on compatible devices. This is a platform-specific example; it should not be assumed to describe another provider.
Get the destination’s published network requirements and test from each relevant office and remote-access path. Include any VPN or network segmentation that might affect signaling or media. A phone that works at one site is not proof that it will work from every location.

Which call routes and features need rebuilding?
Keeping a telephone number does not guarantee that the calls to it follow the same route. Inventory the way callers currently reach people and services, then recreate and verify the paths that matter on the destination system.
- Auto attendants, business-hours schedules, and after-hours destinations
- Queues, hunt groups, shared-line behavior, and voicemail
- Transfers, forwarding, caller ID, and conference services
- Any special routes used by departments, public-facing numbers, or critical operations
Provider interface specifications show that call flows and header behavior can be service-specific, but they cannot establish which features your organization currently relies on. Document actual behavior before migration rather than assuming the old configuration will be reproduced automatically.
Can a number port be delayed or rejected?
Yes. Number porting depends on the records and process for the specific carrier, service, number type, and country. A mismatch in account details, a missing authorization, or a port freeze can block an order. Confirm the billing telephone number, account name, service address, PIN, and authorization requirements against the losing carrier’s records. A recent invoice and customer service record can help verify the details.

- Swappable faceplate to allow for easy logo customization
- GRP2612W includes built-in dual-band Wi-Fi support. Ethernet cord must be disconnected to enable Wi-Fi capability
- HD audio supporting all major codecs, including wideband codecs G.722 and Opus Up to 16 digital BLF Keys
- Enterprise-level protection including secure boot, dual firmware images, and encrypted data storage
For Teams Calling Plans in the United States, Microsoft’s phone-number guidance estimates a port duration of 5 to 12 business days. That is an estimate for that service and market, not a general porting promise; timing and procedures differ elsewhere and may change.
Check whether the order is full or partial
A full port and a partial port have different consequences for numbers and service left with the former provider. Confirm the scope of the order before submitting it, especially if other numbers or services remain on the same account. If an order is rejected, use the provider’s stated rejection reason to correct the record or resolve the account condition before resubmitting.
Will emergency calls reach the right place?
Do not assume that emergency address, location, or callback behavior transfers with the phone number. IETF RFC 6881, a March 2013 Best Current Practice for emergency calling, states: “If a device or application expects to be able to place a call for help, the service provider that supports it MUST facilitate emergency calling.” The implementation still depends on the service and jurisdiction.
Best Value
- Mid-level phone, ideal for professionals and managers with moderate call load
- Ergonomic design with adjustable display
- Built-in Bluetooth, Wi-Fi
Microsoft’s SIP Gateway documentation describes dynamic emergency calling for compatible devices that share network location attributes, as well as fallback to registered addresses in some situations. Those are Teams-specific behaviors. Follow the destination provider’s documented setup and test procedure, checking each office, floor, remote worker, and mobile configuration that applies to your organization.

Before the cutover
- List every telephone number and its purpose, and confirm the account name, billing telephone number, service address, PIN, customer service record, and authorization requirements with the current carrier.
- Record each endpoint’s model and firmware, plus every critical analog device. Ask the new provider to confirm support for the exact equipment.
- Document the call routes and features people depend on, including schedules, queues, voicemail, forwarding, and special-purpose lines.
- Obtain the destination provider’s requirements for SIP signaling and media, codecs, authentication, network traffic, emergency calling, and number ports.
- Confirm port eligibility and timing for each number type and geography. Do not schedule around a general industry-wide duration.
During and after the cutover
- Keep authorized access to the old service until number porting and call routing are confirmed.
- Test inbound and outbound calls from external networks, then verify caller ID, two-way audio, DTMF, transfers, forwarding, voicemail, queues, and after-hours behavior.
- Check the emergency-calling configuration using the destination provider’s approved procedure.
- If a port fails, give the carrier or provider the order’s rejection reason and verify the account details against the current carrier record.
What to compare when choosing a replacement
Compare candidate services against your actual equipment and operating requirements, rather than treating “SIP compatible” as a complete compatibility guarantee.
- Support for each current phone model and firmware
- Signaling, authentication, codec, transport, header, and media requirements
- Port eligibility and process for each number type and region
- Emergency-calling and location capabilities for office, remote, and mobile use
- Firewall and network requirements
- Support for the call flows and analog devices your organization depends on
There is no source-backed general failure rate for SIP migrations or universal outage duration. The best estimate of risk comes from validating your specific endpoints, network, call paths, port records, and emergency setup with the destination provider.
