The deciding factor is the payment’s actual processing state and your provider’s rules—not a universal status label or time of day. A successful void may also leave a temporary pending authorization hold on the customer’s bank account.
Void or refund: which should you choose?
Start with the payment’s state. Authorization reserves funds; capture initiates transfer of the authorized amount. Some payment methods support separate authorization and capture, but capture is automatic by default at Adyen. Adyen’s payment lifecycle documentation explains the distinction.

These are general decision points, not guarantees: payment methods, account settings, and provider workflows differ. PayPal summarizes its own distinction as: “Void cancels an authorization before capture.” and “Refund returns money after a payment has been captured.” PayPal Developer documentation
Why the batch cutoff matters—and why there is no universal cutoff
A batch cutoff is a provider- and account-specific boundary in the settlement workflow, not one industry-wide clock time. Before acting, inspect the transaction detail, your account’s batch schedule, the payment method, and whether capture is automatic or manual. A dashboard label alone may not tell you whether the provider will accept a void.

Authorize.net’s documented workflow
For Authorize.net, an authorize-and-capture transaction is queued for settlement. Its documentation says settlement occurs every 24 hours, within 24 hours of the account’s configured Transaction Cut-off Time. That is an Authorize.net rule, not a schedule to apply to other processors. Authorize.net allows voids for Authorized/Pending Capture and Captured/Pending Settlement transactions; settled transactions cannot be voided and require a Credit/Refund. Adyen’s lifecycle states
Adyen’s SentForSettle state means the request to transfer funds has been sent to the financial institution, so the payment can no longer be cancelled. A refund is a separate process; a SentForRefund request is awaiting confirmation from the financial institution. Adyen Payments lifecycle

How to handle a payment that may still be voidable
- Open the payment’s transaction detail. Identify whether it is authorized, captured, pending settlement, or settled. Confirm the payment method and whether capture is automatic or manual.
- Check your provider’s cancellation rules and account cutoff. For Authorize.net, review the configured Transaction Cut-off Time and its documented voidable states. Do not infer another provider’s schedule from Authorize.net’s 24-hour settlement timing.
- Submit the void if cancellation is available. Keep the payment or authorization reference, amount, and event timestamps so you can reconcile the request or contact support.
- Verify the outcome in the final transaction state or event. A click or API acknowledgment does not necessarily mean processing is complete. With Adyen manual capture, the request is processed asynchronously; check the relevant webhook and transaction state. - If cancellation is unavailable, issue a refund. Check that the transaction qualifies under your provider’s refund rules and retain its reference for reconciliation.
Why a voided payment may still look pending to the customer
A void can cancel the merchant-side authorization without immediately removing the bank’s pending hold. The issuing bank controls when its authorization hold expires; Authorize.net warns that the hold may remain until it expires naturally. PayPal says production fund release can take up to 24 hours, depending on the customer’s bank. Those details are provider-specific, and neither supports promising an exact release time for every bank. Authorize.net · PayPal Developer
A pending hold is not necessarily a completed charge or proof that the merchant failed to void the payment. Explain that distinction to the customer, then use the payment reference, amount, and timestamps to help the provider or bank locate the authorization if it persists.

Provider-specific timing and refund limits
Do not treat one provider’s authorization duration, settlement cadence, or refund window as a general card-processing rule. For example, PayPal documents a standard authorization period of 3 days and an honor period of 29 days; these are PayPal-specific periods, not universal authorization lifetimes. PayPal Developer
Authorize.net says an Authorization Only transaction can remain in Unsettled Transactions for up to 30 days before expiring if it is not captured. It also says linked credit/refund requests are generally available within 180 days of the original authorization date for transactions originally processed through Authorize.net. After that, card data is archived, and an alternative refund method or Expanded Credit Capabilities may be needed. What to check when choosing or configuring a payment provider
- Which states can be voided, including captured transactions that have not settled.
- Whether manual or delayed capture is available for your payment methods.
- How your account defines its batch cutoff and settlement schedule.
- How voids, refunds, and asynchronous processing appear in dashboard states, API responses, and webhooks.
- How authorization expiry and linked-refund eligibility vary by payment method and provider.
- What guidance the provider gives for pending bank holds and customer support cases.
