When SharePoint search fails, the index is not always the problem. A search can return nothing because the site is using the wrong result source, a library is excluded from search, a metadata change has not been crawled yet, or the user does not actually have access to the item.

These fixes apply primarily to SharePoint in Microsoft 365. SharePoint Server uses different crawl controls and Central Administration settings.

1. Set the correct search result source

Start here if Everything finds a document but This Site does not. That pattern usually means SharePoint is indexing the content correctly, while the site or site collection is using an incorrect result source.

The expected default is Local SharePoint Results. A custom source based on an unrelated source, such as Bing Result Source, can produce empty results or return content from the wrong location.

Check the site-collection result source

  1. Open the affected SharePoint site.
  2. Select Settings (the gear icon).
  3. Select Site settings. If that option is missing, select Site information > View all site settings.
  4. Under Site Collection Administration, select Search Result Sources.
  5. Check whether Local SharePoint Results is marked Default.
  6. If it is not, open the drop-down beside it and select Set as Default.

Check a subsite’s result source

  1. Open the affected subsite.
  2. Go to Settings > Site settings.
  3. Under Search, select Result Sources.
  4. Set Local SharePoint Results as the default if another source is selected.

This is a particularly likely fix when a library’s Find a file box fails but a tenant-wide search still finds the same file. In that case, avoid changing crawl or indexing settings until the result source has been checked.

2. Allow the site and library to appear in search

SharePoint search can return only content that is both present in the index and visible to the current user. Site owners can explicitly exclude an entire site, list, or library from search.

Allow the site to be indexed

  1. Select Settings > Site settings. If necessary, use Site information > View all site settings.
  2. Under Search, select Search and offline availability.
  3. Under Indexing Site Content, set Allow this site to appear in Search results to Yes.

If this is set to No, changing a library’s setting will not make its files searchable. The site-level exclusion takes precedence.

Allow a document library or list to be searched

  1. Open the affected library or list.
  2. Select Settings > Library settings or List settings.
  3. Under General Settings, select Advanced settings.
  4. In the Search section, set Allow items from this document library to appear in search results to Yes.

On some classic pages, use this alternative route:

  1. Go to Settings > Site settings.
  2. Under Site Administration, select Site Libraries and lists.
  3. Select the library, then select Customize “…”.
  4. Open Advanced settings and enable Allow items from this document library to appear in search results.

Check whether a column is excluded

If users can find a document but cannot search for a value in one of its custom columns, inspect the excluded-column list:

  1. Open Settings > Site settings.
  2. Under Search, select Searchable columns.
  3. Look under Excluded Columns from Search Indexing.
  4. Remove the column from the exclusion list if it should be searchable.

The Searchable columns link may not be visible on every site. The direct settings page is:

Replace the example URL with the affected site’s address. These settings do not bypass permissions: SharePoint security trimming means users see only results they are allowed to open.

3. Reindex after changing content or metadata

SharePoint search is index-based, not real-time. A newly uploaded file or changed metadata may take time to appear. Reindexing does not instantly refresh the search page; it marks content for processing during the next scheduled crawl.

Use reindexing after changing an indexing setting, adding a searchable column, changing the search schema, or updating metadata used by a custom query or refiner.

Reindex a library or list

  1. Open the affected library or list.
  2. Select Settings > Library settings or List settings.
  3. Select Advanced settings under General Settings.
  4. Scroll to Reindex Document Library or Reindex List.
  5. Select the reindex button and confirm if prompted.

This is normally the better choice when only one library has changed.

Reindex an entire site

  1. Go to Settings > Site settings.
  2. Open Search and offline availability under Search.
  3. In the Reindex site section, select Reindex site.
  4. Select the acknowledgment checkbox, then select Reindex site again.

Do not use a full-site reindex as a routine “refresh” button. Microsoft warns that it can create substantial load on the search system. Use it when the change actually affects the whole site.

Check the search schema for custom properties

A custom property used by a search query must be represented correctly in the search schema. For example, adding a site column does not automatically make it available as a managed property for custom search.

For the tenant-wide schema:

  1. Open the SharePoint admin center.
  2. Select More features.
  3. Under Search, select Open.
  4. Select Manage Search Schema.

For a site collection, go to Settings > Site settings > Search Schema under Site Collection Administration, then select Managed Properties.

A custom managed property must be mapped to the relevant crawled property before its value can enter the index. After changing the mapping, reindex the affected library or list. Schema changes do not automatically trigger a crawl.

4. Check permissions, group membership, and service health

Search failures affecting only certain users are often permission failures disguised as indexing problems. SharePoint security trimming removes content from results when the user cannot access it.

Verify direct access and group membership

Ask the affected user to test the item’s direct URL. Check whether they can open:

  • The library and folder; and
  • The specific file.

Also verify that the user is actually a member of the group granting access. Being an owner of a Microsoft 365 group does not necessarily make someone a member for the purposes of SharePoint search. Ownership alone therefore does not guarantee that the group’s SharePoint content will appear in results.

Inspect large SharePoint groups

Microsoft documents a specific failure involving resources secured by a SharePoint group containing more than 2,000 users. Search results can be unavailable for those resources even when access was intended.

The documented remedies are to keep the SharePoint group below 2,000 users or place the users in a Microsoft 365 security group and add that security group to the SharePoint group. This avoids maintaining a very large direct-membership list.

Check Microsoft 365 service health

If search stops working across several sites or for many users at the same time, check for a Microsoft service incident before changing indexing settings:

  1. Open the Microsoft 365 admin center.
  2. Select Health > Service health.
  3. Review active SharePoint incidents and advisories.

A broad outage is not fixed by reindexing individual libraries. Record the incident number and test again after Microsoft reports that service has recovered.

Fixes that usually waste time

  • Repeatedly pressing Reindex: it queues crawl processing; it does not make a file appear immediately.
  • Assuming SharePoint search is real-time: new and changed content must be crawled and added to the index.
  • Changing query rules first: modern search does not support query-rewrite rules in the same way as classic search. In modern experiences, query rules that return promoted results are the relevant supported behavior.
  • Using Restricted SharePoint Search as a repair: Microsoft describes this as a temporary control for Microsoft 365 Copilot chat and agentic experiences, not a general SharePoint Search troubleshooting setting.

FAQ

Why does SharePoint search work under Everything but not This Site?

The content is probably indexed, but the site or site collection may be using the wrong result source. Set Local SharePoint Results as the default at both levels.

How long does SharePoint reindexing take?

Reindexing places the site, list, or library in line for processing during the next scheduled crawl. It is not an immediate or synchronous refresh, so the timing varies.

Can SharePoint search show files a user cannot open?

Normally no. SharePoint security trimming removes results that the searching user does not have permission to view.

Why can a Microsoft 365 group owner be unable to find its SharePoint files?

Group ownership does not necessarily mean the person is a member of the group that grants SharePoint content access. Verify membership and test direct access to the site and files.

What should I do if SharePoint search fails for everyone?

Check the Microsoft 365 admin center at Health > Service health for an active SharePoint incident. If no incident exists, inspect the site’s result source and indexing settings.

The Bottom Line

Diagnose the scope before changing the index. If Everything works, check result sources; if a site or library is absent, check its search permissions; if metadata recently changed, verify the search schema and request a reindex; and if only certain users are affected, investigate permissions and group membership. Reindexing is useful, but it is not an instant fix for every SharePoint search problem.
