Your form should confirm that it recorded a submission, not wait for Amazon Simple Email Service (SES) to send a notification. Save the submission, durably schedule the email work, and let a background worker send it. That keeps the browser response focused on what the application knows: the form was received. It does not imply that an email reached the recipient’s inbox.

What an SES success response actually means

When SES accepts a SendEmail request, it returns a message ID and queues the message for sending. That confirms SES accepted the request; it does not prove that the recipient’s mail server accepted the message, that the message reached an inbox, or that anyone saw it. See AWS’s SendEmail API reference and explanation of how email sending works in SES.

SES reports these stages and outcomes separately. A SEND event means the request succeeded and SES will attempt delivery. A DELIVERY event means SES handed the message to the recipient’s mail server. Bounces, complaints, rejections, and delivery delays are separate outcomes. Even a delivery event is not a guarantee of inbox placement: filtering and mailbox rules can affect where a message ends up. AWS describes the event types in its EventDestination reference and covers email deliverability in SES.

There is also an uncommon but important retry edge case: SES may accept an email even if the sending call returns an error. Retrying every error as if no message had been accepted can send a duplicate with a different message ID. Track the application’s notification request and its attempts so the worker can handle ambiguous results deliberately.

How to structure a form notification workflow

For most forms, the visitor needs prompt confirmation that the application recorded the submission. The notification email is downstream work. AWS’s general guidance on loosely coupled dependencies supports acknowledging a registered request without making the user-facing interaction wait on a downstream service. Applying that guidance to a form does not imply there is one AWS architecture every site must use.

  1. Validate the request. Check required fields and reject invalid or abusive submissions before saving them.
  2. Save the submission. Persist the form data so it is available even if email sending is delayed or fails.
  3. Durably register notification work. Add a job to a durable queue or task mechanism. The work should survive a process restart and be visible to operators if it cannot be completed.
  4. Acknowledge the visitor. Return a receipt or confirmation page that says the submission was received. Do not say the email was delivered unless you have evidence for that claim.
  5. Send and track in the background. A worker sends through SES and records the outcome for retries, troubleshooting, and reporting.

If email is itself essential to completing a business transaction, define that requirement explicitly—for example, whether the application must wait for a particular delivery-related signal or offer another way to complete the transaction. A form acknowledgement and a notification email are different promises.

How to keep the saved form and email job in sync

A common reliability bug occurs when an application saves the form in one operation and publishes a queue message in another. The database commit can succeed while queue publication fails, leaving a submission with no notification job. The reverse ordering can publish a job for a database transaction that later rolls back.

Use a transactional outbox when the gap matters

With a transactional outbox, the application writes the submission and a corresponding notification event in the same database transaction. A separate relay reads committed outbox entries and publishes them to a queue such as Amazon SQS. This avoids the inconsistent save-versus-publish gap when both writes really are part of the same transaction. AWS explains the pattern in its Transactional outbox guidance.

Make retries and duplicates safe

An outbox does not make email sending exactly once. Standard SQS queues provide at-least-once delivery, which means a consumer may receive the same work more than once. Give each notification a stable application-level identifier and record which events have been processed; make the worker safe to retry without creating an unintended second notification. AWS discusses duplicate messages and idempotent consumers in its outbox guidance.

Use bounded retries with backoff, keep failed work visible, and provide a way to inspect and replay or resolve it. Do not retry permanent failures indefinitely. A queue can make work durable according to its own delivery semantics, but it cannot guarantee SES acceptance, recipient-server delivery, or inbox placement.

Choose complexity to match the failure you need to prevent

A small site may be well served by a platform-managed task system or durable job queue. An outbox and relay add operational complexity, but are useful when losing a notification between a database save and queue publication is unacceptable. Compare the designs by how quickly the form can acknowledge, whether work survives outages, how save-and-queue consistency is maintained, how duplicates are handled, and whether failures can be found and recovered.

What to configure before sending with SES

  • Choose an interface: SES supports sending through its API or SMTP interface.
  • Verify a sending identity: The account needs a verified identity for sending. Sandbox accounts also have recipient restrictions. AWS’s sending-limits guidance describes account status and limits.
  • Authenticate your domain: Configure appropriate email authentication, including SPF and DKIM. AWS covers these and other sending considerations in its deliverability guidance.
  • Check the account’s current regional quota: SES quotas apply per AWS Region and vary by account. AWS’s quota documentation lists sandbox allowances of 200 messages per rolling 24-hour period and one message per second. These figures are sandbox limits, not universal production limits; out-of-sandbox quotas vary by account and use case and may be requested or adjusted. Check the current quota for the Region you will use in SES service quotas.
  • Keep form messages appropriately sized: AWS documents maximum message sizes of 10 MB after base64 encoding for the SES v1 API and 40 MB for SES v2 API or SMTP; larger messages can be bandwidth-throttled. A form notification usually need not carry large uploads. Consider storing uploaded files through a separate storage workflow and including a suitable reference in the notification. See SES quotas.

Monitor outcomes instead of relying on the send response

Configure SES event publishing or notifications so the team can observe sends, deliveries, bounces, complaints, rejections, and delivery delays. The synchronous API response is useful for knowing whether SES accepted a request, but it does not report every later outcome. Use bounce and complaint signals to maintain suppression and recipient-list hygiene, and avoid retry loops for permanent failures. AWS documents the relevant event destinations and sending outcomes.
