When an agent handles a series of meetings, feeding it every earlier transcript can bury the decisions that matter to the next discussion. A better pattern is to retain each meeting, use the upcoming invite or agenda to retrieve relevant history, and analyze that history alongside the current meeting. Aneesh Tummmala’s Hindsight implementation illustrates this approach: “The real problem is not context size. It is context selection.”
Use a retain, recall, and reason loop
For a multi-meeting agent, context selection is the central design problem: what past information should accompany the current discussion? The workflow described by Aneesh Tummmala is to keep each meeting’s record, query that history using the subject or agenda of the next meeting, then give the retrieved material to the model with the current meeting for analysis. Afterward, retain the new meeting so it can inform a later one. The author describes using Hindsight for memory and Gemini for the analysis step. Read the practitioner article.
- Retain: after a meeting, send its minutes or transcript to the memory system.
- Recall: before analyzing the next meeting, query with its subject and agenda so the retrieved history is relevant to the coming discussion.
- Reason: provide the retrieved history together with the current meeting to the analysis model.
- Retain again: store the latest meeting for future queries.
The distinction between the current meeting and recalled history matters. An agenda is a useful retrieval query, not a substitute for the meeting itself: the agent should reason over both the live discussion and the relevant past records.
What the meeting-ten example demonstrates—and what it does not
Tummmala reports that transcripts in the described system average around 1,200 characters. In the author’s meeting-ten illustration, concatenating the earlier history produces 10,800 characters of prior context, while targeted retrieval returns approximately 2,400 characters. The example is an author-reported result from that implementation and dataset, not an independently reproduced benchmark or a general guarantee of a particular reduction.

The author says a vendor-risk discussion retrieved procurement and MDM policy history rather than an unrelated database-schema conversation. That illustrates the intended benefit: choose history by relevance to the next agenda instead of by recency alone or by including everything. It does not establish how well retrieval will perform for other meeting topics, data, or systems.
Backfill historical meetings separately from live processing
Preparing a demo with months of existing records is a different task from processing a new meeting in real time. Tummmala describes a POST /api/demo/advance-stage endpoint that injects prepared transcript text into the memory bank in parallel. Those calls send raw text through the memory API and bypass Gemini’s reasoning call. The article describes the demo as representing six months of governance decisions; this is an implementation pattern, not a universal throughput claim.

This separation can make a seeded demo simpler: historical records can be loaded without paying for or waiting on a reasoning step that is not needed to store them. For a live workflow, the application still needs to decide what to retain, when to recall, and what current-meeting evidence to pass to its analysis model.

Hindsight’s official materials describe three operations: retain for ingestion, recall for retrieval, and reflect for reasoning over memory. They also describe dedicated memory banks, which provide separate spaces for stored context. See the Hindsight project and its official documentation.

The Hindsight paper by Latimer and coauthors describes four logical memory networks—world, experience, observation, and opinion—and a retrieval pipeline that combines vector search, keyword matching, graph traversal, and temporal filtering. The paper says the system is backed by PostgreSQL with pgvector. These are system design details; they do not mean every application automatically gets correct or properly scoped context. Keep benchmark results separate from the meeting demo
The ACL Anthology record reports 83.6% on LongMemEval and 83.2% on LoCoMo with a 20B open-source model, and 91.4% on LongMemEval with Gemini-3 Pro. These figures are tied to the paper’s stated benchmarks and model configurations. They are not measurements of Tummmala’s meeting workflow and should not be read as a prediction of accuracy on a particular organization’s meeting history.

Choose managed or self-hosted deployment by your constraints
Hindsight documents both a managed Hindsight Cloud service and self-hosted options, including package and Docker deployment; its project materials describe PostgreSQL-backed storage. The sources identify these paths but do not establish a complete comparison of price, latency, or service-level commitments. Confirm current features and terms in the official documentation before choosing.

Review the context pipeline before relying on it
- Agenda relevance: check whether recall queries retrieve the decisions and evidence needed for the upcoming subject, rather than merely similar wording.
- Time and changing facts: evaluate whether the system distinguishes an old policy from a newer decision, and whether it can surface when a fact applied.
- Evidence traceability: keep enough connection to the source meeting or passage that a person can verify an important recalled claim.
- Prompt volume: measure how much history is included and whether irrelevant material is being displaced by targeted context.
- Access isolation: ensure each memory bank and retrieval request is scoped to the correct team, project, and permissions.
- Deployment fit: compare the operational responsibility of self-hosting with the control, integration, and current service terms of a managed option.
These are engineering checks, not guarantees made by the architecture. The practitioner example shows why selective recall can be useful; your own meeting data and access requirements determine whether the resulting context is reliable enough for use.
