Scalable automated data collection starts with the least burdensome source that can provide the data: a documented API or bulk export when available, and a carefully controlled crawler when it is not. As volume grows, success depends less on adding workers than on distributing work without duplication, respecting each site’s limits, saving results durably, and making failures recoverable.

Choose the right way to access the data

Before building a crawler, check whether the site offers a documented API, bulk download, or search endpoint. These interfaces can be faster for the collector and cheaper for the site than fetching HTML pages one at a time. Read the access terms and rate limits before scheduling requests. Scrapy’s optimization guidance discusses this preference: Scrapy: Common Practices.

If page crawling is necessary, look for a sitemap or another published URL list. A known URL set reduces serial discovery and gives a scheduler work sooner. Decide whether the content is available in static HTML or depends on JavaScript rendering; browser rendering may be required for dynamic content, but it adds operational complexity. The right approach also depends on the URL count, freshness cadence, acceptable delay, permission, and downstream storage needs.

  • API or export: Prefer this when it covers the required fields and use case. Confirm authentication, pagination, quotas, and terms.
  • Search endpoint: Useful when it exposes the records or URLs needed, but inspect its limits and scope rather than assuming it is a bulk interface.
  • Sitemap or known URL list: A practical starting queue for a crawl, especially when you need broad coverage rather than discovery from a few pages.
  • Page crawler: Use when permitted and when no suitable supported interface supplies the required data.
  • Managed connector: Consider one only after checking its page-rendering capabilities, scope controls, and authorization requirements against your workload.

Design the work queue before adding machines

A scalable crawler needs a defined source of work, deduplication, bounded concurrency, retries, and durable output. Those functions may live in a single application or in separate services, but they must have clear responsibilities. A larger worker count alone does not guarantee more useful throughput: workers can fetch duplicate URLs, overload a host, or lose work when a process fails.

Partition URLs deliberately

For a large known URL set, split the URLs into partitions and assign each partition to a separate spider run or worker group. Scrapy documents URL partitioning as one way to spread work across spider runs, while explicitly noting that Scrapy itself does not provide a built-in distributed, multi-server crawling facility. You must supply the coordination layer that assigns partitions, tracks progress, and handles retries or reassignment. See Scrapy 2.19.0: Common Practices.

Make partitioning repeatable. A worker should be able to identify the partition it owns, record completed work, and resume or retry unfinished work without creating duplicate downstream records. Use a stable URL normalization and deduplication policy appropriate to the target: query parameters, fragments, redirects, and trailing slashes may or may not represent distinct records. Do not discard URL components until you know how the site uses them.

Account for combined request pressure

Running multiple spiders in one process applies each crawler’s concurrency and politeness settings separately. Scrapy advises dividing those settings by the number of simultaneous crawlers if the aim is to keep combined load unchanged. Running the same spider repeatedly does not create capacity for free; aggregate requests to a host still matter. Measure total pressure per host across all workers, not only the settings inside one process.

Set request rates from site feedback

There is no universally safe request rate. AWS Prescriptive Guidance gives context-dependent examples—not measured universal thresholds—of one request every 10–15 seconds for small or medium websites and 1–2 requests per second for larger websites or crawls with explicit permission. These suggestions are starting context, not a license to send that rate to every host. Check the site’s requirements and tune conservatively. Increase concurrency gradually and watch the response. Track requests by host, response codes, latency, retry counts, and the volume of pages that appear to be blocks rather than requested content. Scrapy recommends monitoring signals such as 429 and 503 responses, retry growth, ban pages, and rising download latency. Its crawler does not automatically apply robots.txt Crawl-delay and Request-rate directives; translate applicable directives into downloader delay and concurrency settings.   • 429 Too Many Requests: Pause the affected work and reduce pressure before resuming. AWS recommends pausing after a 429.
  • 503 Service Unavailable: Treat a rise in responses as a signal to back off and investigate, rather than repeatedly increasing retries.
  • 403 Forbidden: If these responses continue, consider stopping; repeated attempts may disregard a clear access restriction.
  • Higher latency or retry growth: Reduce concurrency or delay work. Compare by host so that a troubled site does not dictate the rate for unrelated hosts.
  • Ban or challenge pages: Do not treat them as successful content. Pause and review access permission and site requirements.

Make responsible collection part of the design

Check and respect the applicable robots.txt rules, including rules for your crawler’s user agent; review the site’s terms of service and privacy policy; identify your crawler in its User-Agent; and consider the legal requirements that apply in the relevant jurisdiction. AWS guidance states, “Always check and respect the rules in the robots.txt file.” Robots.txt is an operational signal, not by itself a complete legal determination. See AWS Prescriptive Guidance.

Use batches so a job can be paused without losing track of the entire collection. Respect a site owner’s request to stop. Review what personal or sensitive information may be collected and restrict access to stored data accordingly. These measures are operational guidance, not legal advice.

Connect crawling to storage and processing

Keep collection separate from downstream ingestion where practical. Persist both the records needed by applications and, where appropriate, raw documents or source artifacts so processing can be repeated without fetching everything again. Add enough metadata to make output usable: source URL, collection time, job or partition identifier, and an outcome or error state. Establish retention and access controls for the data you collect.

AWS describes one implementation example: EventBridge Scheduler starts scheduled jobs, AWS Batch orchestrates them, crawler jobs run in ECS containers on Fargate, retrieved records and raw documents are stored in S3, and downstream applications ingest or process those files. This is one architecture, not a universal prescription; choose services based on workload size, latency, budget, and the infrastructure you already operate. Consider managed crawling only when its limits fit

The AWS Bedrock web-crawler connector documents controls including seed URL scope, per-host crawl-rate limits, page-count limits, include and exclude URL patterns, and incremental synchronization. AWS says to use it only for websites you own or are authorized to crawl. Its documentation describes support for static web pages, so verify that limitation against any JavaScript-dependent content before relying on it. Capture pages as part of a collection pipeline

Some workflows need a visual record of a page alongside extracted data—for example, a page snapshot for review or a rendered artifact for a downstream process. This is a distinct task from crawling and should not be used to evade access controls or site rules. For a collection pipeline that needs screenshots or PDFs, choose a method that fits the target’s rendering needs and the volume you operate.

Do it yourself with a browser automation worker

A browser worker can navigate to an authorized URL, wait for the relevant content, and save a screenshot. The example below uses Playwright with Node.js. Install the browser automation package and browser in the worker environment, then run this script. Replace the URL with a page you are permitted to capture.

  1. Install Playwright: npm install playwright, then install its browser: npx playwright install chromium.
  2. Save the following as capture.mjs.
  3. Run it with node capture.mjs; it writes page.png in the current directory.

This basic script waits for the DOM content-loaded event, not for every image, font, API request, or lazy-loaded region to finish. Use a site-appropriate readiness condition if the data or visual elements you need arrive later; avoid unbounded waits for network idleness on pages with persistent requests. Bound navigation and job timeouts, close the browser in a finally block, and record failures in the same durable job system as crawl results. Browser workers consume more resources than a simple HTTP request, so scale them separately and keep per-host request limits in force.

Troubleshoot common scaling failures

  • Workers repeat the same URLs: The partition or deduplication policy is unclear. Define stable URL identity, persist assigned work, and make retries idempotent.
  • Adding workers increases errors instead of throughput: Aggregate per-host concurrency may have exceeded what the site can serve. Reduce pressure, inspect 429/503 responses and latency, and raise capacity only gradually.
  • A distributed crawl stalls after a machine fails: The framework is not coordinating ownership and recovery for you. Track partition state durably and decide how unfinished work is safely reassigned.
  • Robots.txt delay appears ineffective: Scrapy does not automatically apply Crawl-delay or Request-rate. Convert applicable rules into explicit delay and concurrency configuration.
  • Captured pages are blank or incomplete: The page may require JavaScript or a later readiness condition. Check the response and rendered state, wait for a specific selector where appropriate, and keep waits bounded.
  • 429 or 403 responses keep recurring: Pause after 429 and reduce request pressure. If 403 responses continue, consider stopping and verify authorization rather than retrying indefinitely.
  • Downstream processing blocks collection: Persist results to durable storage and let ingestion or transformation run independently, with a clear retry path for each stage.

Plan for performance, reliability, and cost

Estimate workload from the number of URLs, refresh cadence, per-host limits, expected page size, and rendering requirement—not from a desired worker count alone. A static page fetched over HTTP and a JavaScript-rendered page captured in a browser have different resource profiles. Where site policy permits, split work across hosts and schedule batches to avoid unnecessary bursts; do not interpret distribution as permission to exceed a host’s limits.

Reliability comes from durable queues and output, bounded retries, deduplication, observable job states, and recoverable partitions. Avoid retry loops that amplify an outage or access denial. Store raw inputs or artifacts when they are needed to reprocess data, and set retention and access controls based on the sensitivity and purpose of the collection.

Operating cost depends on the infrastructure and workload, including browser capacity, storage, orchestration, and downstream processing. Compare the cost and operational burden of maintaining your own crawler with a supported API, export, or managed connector. The AWS architecture is a reference implementation rather than a price estimate; the cited guidance does not establish a universal cost or throughput figure.
