A reliable file upload tells people what they can select before they open the picker, what is happening to each file, how to fix a problem, and whether the upload also submitted the larger task. Treat selection, transfer, and submission as distinct steps unless the product truly combines them.
Tell people what they can select before they open the file picker
A file input, file selection control, file picker, or media uploader should make the requested file and its rules visible beside the control. Do not make users discover an important restriction only after they have chosen a file.
- Use a descriptive label, such as “Upload your signed agreement,” rather than a generic “Choose file.”
- State accepted formats, the actual size limit, and whether the control accepts one file or multiple files in persistent helper text.
- Keep the requirements available after selection so users can refer to them while correcting a problem. Placeholder or button text alone is not a dependable place for instructions.
For example, a product could say “PDF or DOCX, up to 10 MB; one file.” Use a numerical limit like this only if it matches the product’s actual rules. The European Commission Component Library and Visa Product Design System both recommend clear, persistent restrictions and an explicit indication of whether multiple files are supported. Offer a visible, keyboard-operable file-selection button. Drag-and-drop can make selection faster on supported devices, but it should supplement the button, never replace it. People using keyboards, assistive technology, or devices without convenient drag-and-drop still need a clear way to open the native file chooser.

Use a meaningful accessible name for the selection control and for file-specific actions such as remove, replace, or retry. If an action is represented by an icon, its purpose must still be available to assistive technology. Show what happens after a file is chosen
After selection, make the file’s state visible near its name. A useful sequence distinguishes checking from transferring, then shows success or failure. Validate as early as the implementation allows, but client-side checks are not a substitute for server-side validation.

- Checking: Indicate that the file is being checked against the product’s requirements.
- Uploading: Show that the transfer is underway. If a determinate progress bar is available, expose it with progress-bar semantics.
- Uploaded: Confirm completion beside the relevant file and explain the next action.
- Failed: Identify the affected file and provide a specific correction or retry path.
For asynchronous updates, announce important changes through an accessible status mechanism. Avoid announcing every tiny progress increment: frequent updates can become noisy or overlap with other assistive-technology output. Keep progress and confirmation in the area where the user is working rather than relying only on a distant banner. Make errors specific, local, and recoverable
An error should say which file has a problem, what went wrong, and what the user can do next. Keep it beside that file or the upload area, not only in a page-level alert. Associate the message with the relevant control or file description so it is available to assistive technology.
- Type not accepted: Name the rejected file and state which formats are allowed.
- File too large: Name the file, state the product’s real size limit, and ask for a smaller file.
- Transfer interrupted: Explain that the upload did not finish and offer a retry when retrying is safe.
Provide a remove or replace action where it makes sense; during transfer, offer cancellation if supported. Do not make people start the whole form again to recover from one file’s error. Distinguish upload completion from final submission
Tell users whether selecting a file starts an immediate upload or merely attaches it to a form that uploads when the form is submitted. Once a transfer succeeds, say what completed and what remains: adding another file, continuing to the next step, or submitting the overall task. Do not imply that a form or request was sent if only the file transfer finished.
For multiple files, show per-file states and use a batch count when it helps people understand what remains. The DWP Design System gives “3 of 5 files uploaded” as illustrative interface copy, not as a measured result, and recommends pairing a plain confirmation with a next step. Its example wording is: “Short, plain confirmations such as ‘File uploaded successfully’ work best when paired with a clear next step, for example, ‘You can now add another file or continue.’” See DWP Design System: File upload feedback.

Choose a pattern that fits the task and implementation
Single-file and multi-file controls solve different needs. Select the simplest pattern that fits the job, and make its constraints and state changes understandable.

Do not assume a component library performs an asynchronous transfer just because it provides a file input. The U.S. Web Design System says its file-input component does not support asynchronous upload; implementation behavior varies, so verify the behavior of the component used. USWDS also recommends hint text for restrictions and notes that large-file workflows can burden people with limited connectivity or data plans: U.S. Web Design System: File input.

Check the complete journey before release
- Can users see the accepted formats, real size limit, and single- or multiple-file rule before opening the chooser?
- Can they select files without dragging and dropping?
- Can they tell whether each file is being checked, uploading, complete, or failed?
- Does each error identify the affected file and offer a sensible fix, remove, replace, or retry action?
- Are important asynchronous updates available to assistive technology without excessive announcements?
- Is it clear whether the file uploads immediately or with final form submission, and what the user should do after transfer?
- Is asking for a file necessary, and is the expected file size reasonable for people with limited connectivity?
Test these cases with the actual component and server behavior. A control’s appearance alone does not establish when a transfer starts, what validation runs, or whether recovery preserves the rest of the user’s work.
