QuickBooks Online is subscription-based accounting software that you use in a web browser or mobile app rather than install as a desktop accounting package. It can support everyday bookkeeping, invoicing, bill workflows, and reporting, but the available tools and user limits depend on the plan and country. The practical choice is the plan that fits your actual workflows—not simply the one with the lowest displayed price.
1. What does cloud accounting with QuickBooks Online mean?
Your accounting data is hosted online and can be accessed through a browser or mobile app on supported devices. Intuit describes synchronization across devices and access without downloading desktop software. You still need internet access to use the service, and device compatibility matters. Cloud access changes where you work with the books; it does not remove the need to set up accounts, check transactions, or confirm that reports reflect your business correctly.
2. Which QuickBooks Online plans are available?
Intuit’s U.S. pricing page currently presents Free, Simple Start, Essentials, Plus, and Advanced. These are U.S.-page options, not a guarantee that the same names, features, or prices are available in every country. Rather than treating the tiers as interchangeable, compare the included users and tools against your workflow. In particular, check how many people need access, which reporting and tracking options you need, and whether the plan supports your bank connections and invoicing or bill processes. The U.S. pricing page is the source for current plan details; confirm the billing period and any offer terms there.
3. What bookkeeping tasks can it handle?
Intuit describes QuickBooks Online features for connecting bank accounts, categorizing expenses, creating invoices and collecting payments, paying bills, and producing business reports. - Banking: Check whether your financial institution and the number or type of connections you need are supported.
- Sales: Confirm that the plan covers your invoice and payment-collection workflow.
- Expenses and bills: Verify the expense categorization and bill functions you expect to use.
- Reporting and tracking: Match reporting needs and any project, inventory, class, or location tracking to the plan’s listed features.
These are documented product workflows, not a promise that every task is fully automated or that every financial institution is supported.

4. How should you compare plans?
Start with the work your business actually does, then check the corresponding limits and features on the current regional pricing page. A higher tier is only useful if its added capabilities address a real need; a low-cost tier may not fit if it omits a workflow or access level you rely on.

5. Can you work with an accountant?
Yes. Intuit says an account owner can invite an accountant to collaborate and can remove that access. Administrators also manage additional-user access, subject to the subscription’s limits. Intuit’s FAQ describes accountant collaboration; the U.S. terms of service address account access and administration. Check the current plan for its user allowance.

Intuit describes guided setup assistance for eligible customers moving from Desktop to Online, subject to capacity and terms. That does not establish that every business, file, or Desktop workflow qualifies or will transfer without adjustment. - List what you rely on in Desktop. Identify the records, reports, integrations, and business processes the online setup must support.
- Check the target plan. Confirm that its users, reports, tracking, banking, invoicing, and bill features match those needs.
- Verify bank support. Confirm that your financial institutions and required connections work for your circumstances.
- Confirm migration eligibility and terms. Review Intuit’s current guidance before relying on guided assistance.
- Plan for access and review. Decide who needs account access, including your accountant, and check the converted records and workflows after setup.
What the published time-saving figures do—and do not—show
An Intuit QuickBooks PDF published approximately in 2024 reports that 81% of QuickBooks Online customers said the service saves them time through accounting or bookkeeping automation, and that 89% said they saved time connecting bank and credit-card accounts. The PDF passage does not establish the underlying survey year or methodology.
