Use VBA when the task is to control Excel itself—for example, running workbook macros, responding to workbook events, or manipulating Excel objects. Use Python when the work is mainly analysis or reusable data processing, especially when it benefits from Python libraries. If you want Python formulas inside a worksheet, Microsoft’s Python in Excel is a separate cloud-based option, not a local Python script.

The best choice depends on what the code must do and where it must run. Python that controls a live Excel application is another route again: it needs an external integration such as xlwings, with its own setup and platform constraints.

Choose by the job, not by the language

Its documentation says workbooks can be distributed on Windows and Mac, but Python UDF support is Windows-only. Check the xlwings documentation against your deployment needs.

How VBA and Python differ in an Excel workflow

Where the code runs

VBA code runs as Excel macro code. Python in Excel runs Python formula cells in Microsoft’s cloud rather than in the local Python installation on the user’s computer. External Python runs in a separate Python environment; a library such as xlwings can connect that environment to an Excel application.

What the code can work with

VBA is the natural fit when the workbook itself is the automation target: its sheets, ranges, workbook actions, and event-driven behavior. Python in Excel is designed for analysis using data brought into the worksheet or through Power Query. A regular external Python environment can use its own libraries and file-handling tools, but its exact Excel capabilities depend on the chosen libraries and integration.

How data moves

In Python in Excel, use xl() to refer to worksheet objects or ranges. Results can return as Python objects or Excel values. It is not a general local file-ingestion environment: Microsoft says common calls such as pandas.read_csv and pandas.read_excel are unsupported in this feature. External Python is a separate option when files or systems outside the worksheet are central to the workflow.

How you deliver and maintain it

Before choosing, identify who will run and maintain the automation, what they will receive, and what their devices and organization allow. A macro-enabled workbook, a shared cloud workbook, and a standalone script have different handoff requirements. Confirm the users’ Excel platform, subscription, update channel, internet access, and ability to install or manage local Python and add-ins where relevant.

Which option fits common Excel tasks?

What Python in Excel requires

Python in Excel is a Microsoft 365 feature with availability tied to subscription, platform, update channel, and build. Microsoft’s availability and licensing page is the place to verify whether a specific account and Excel installation qualify; its eligibility details can change.

  • It requires internet access because calculations run in Microsoft’s cloud.
  • Microsoft lists availability for specified Windows, web, and Mac environments, with eligibility dependent on license and update channel.
  • Microsoft says Python cells are not supported for recalculation in Excel for iPad, iPhone, or Android. Workbooks may be viewed there, but recalculated Python cells show errors.
  • Qualifying Microsoft 365 subscriptions include standard compute and automatic recalculation. Premium compute and additional manual or partial calculation modes may require the Python in Excel add-on.
  • The availability page lists exclusions, including free consumer and perpetual consumer licenses and device-based or shared-computer-activation subscriptions. Check the current page rather than assuming a plan name guarantees access.

Is Python faster than VBA for Excel automation?

There is no universal speed winner established by the product documentation cited here. Performance depends on the task, data, code, Excel build, Python environment, and—for Python in Excel—the cloud execution and calculation setup. If speed matters, test the same workload with both approaches and record the data size, environment, setup, and timing method. Do not compare a local macro run with a cloud calculation as if the execution conditions were identical.

A practical way to decide

  1. Start with the deliverable. If users need to open a workbook and run Excel-native macros or event-driven actions, begin with VBA. If the deliverable is analysis, a repeatable pipeline, or processing beyond a workbook, evaluate Python.
  2. Choose the Python mode deliberately. Use Python in Excel for eligible worksheet-based analysis; use external Python for broader file and pipeline work; consider xlwings or another integration only when Python must interact with a live Excel application.
  3. Check deployment before writing code. Verify the audience’s Excel platform, account eligibility, update channel, connectivity, organizational policy, and local installation or add-in constraints.
  4. Account for the maintainer. Choose a route the team can support and the intended users can run. Keep the code in the format and environment that match the actual handoff.

For a workbook already built around macros and Excel actions, VBA is usually the direct route. Choose Python when its analysis libraries or cross-file workflow solve a real need, and select between Python in Excel and external Python based on where the data and code must run.
