TrackMyVendor is a web-based vendor compliance platform for general contractors, property managers, HOAs, and other organizations managing contractors. It collects certificates of insurance, W-9s, licenses, and related documents through magic-link uploads, extracts information from uploaded files, tracks expiration dates, and supports selected state-license verification. Property and project requirements, compliance alerts, audit trails, and PDF or Excel reports help teams organize vendor documentation without requiring vendors to use a shared account.

The plan structure gives smaller portfolios a low-cost entry point. The Free plan is $0 per month and includes AI COI and W-9 parsing, license tracking in all 50 states, magic-link uploads, expiration tracking, a weekly compliance digest, and a timestamped audit trail. Starter costs $39 per month with monthly billing and adds unlimited subcontractors, alerts at 90, 60, 30, and 7 days, a calendar feed, bulk import, and 2 users. Pro costs $59 per month and adds AI-parsed endorsements, projects and per-project requirements, unlimited users and team roles, API and webhooks, integrations with Zapier, Make, Slack, and Microsoft Teams, plus PDF and Excel compliance reports. A 30-day trial is also available.

For teams that need to connect compliance work to broader operations, the higher tier supports API access, webhooks, Zapier, Make, Slack, Teams, and calendar connections for Google Calendar, Outlook, and Apple Calendar. The product’s breadth covers document intake, license tracking, vendor messaging through self-service uploads, assignment workflows, reporting, and automated reminders. It is a strong fit for small portfolios that want inexpensive compliance tracking and a clear upgrade path. Larger or more complex teams should account for the Starter user limit and the fact that advanced integrations, unlimited users, and project-level controls are reserved for Pro.
