ROPAi is a web-based GDPR compliance platform for SME compliance teams, in-house DPOs, privacy managers, and external DPO or consultancy teams. Its core focus is creating and maintaining Records of Processing Activities, then connecting those records to DPIAs, Legitimate Interests Assessments, international transfer assessments, processor information, AI governance workflows, review controls, and exports. AI helps structure interviews and draft assessment content, while outputs remain editable and reviewable.

Pricing is organized around three tiers. Record costs GBP 99 per month and includes an AI ROPA interview, DPIA screening, a processor register and library, Data Flow Atlas view, and CSV and PDF export. Govern costs GBP 249 per month and adds DPIA, LIA and FRIA workspaces, the ICO AI Audit framework, Chapter V transfer assessment, review and approval gates, and an evidence log. Orchestrate includes everything in Govern plus Pulse AI Feature Watch, DSAR workflow and request queue, custom reporting, and multi-stage approvals. The tier structure makes Record suitable for foundational documentation, while Govern is aimed at teams managing several regulatory assessment types.

ROPAi stands out when privacy work is centered on processing records and connected assessments rather than a wide enterprise platform. Its workflows cover GDPR records, privacy assessments, EU AI Act FRIAs, ICO AI Audits, international transfers, processor information, and DSAR intake. Slack is the listed integration, and deployment is through the web. The product is in early access, with some higher-tier coordination features still developing. Teams wanting a focused ROPA and regulatory assessment workspace should consider ROPAi; organisations needing broader integrations or a more mature, wide-ranging suite may prefer an alternative.

ROPAi pros and cons

  • Where it wins
    • AI-assisted ROPA capture and Article 30 register management
    • DPIA, LIA, FRIA and transfer assessment workflows
    • Review gates, evidence logs, exports and DSAR intake
  • Where it doesn't
    • Narrower integrations and ecosystem coverage than broader suites
    • Web-only deployment
    • Early-access status may limit workflow maturity
