Payroll Mate is Windows desktop payroll software from Real Business Solutions for small businesses, accounting firms, nonprofits, churches, schools, agricultural employers, and other organizations. For churches, its most relevant focus is clergy payroll: it supports taxable and nontaxable earnings, housing allowances, W-2 and 1099-MISC processing, tax calculations, direct-deposit file generation, checks, paystubs, and payroll reporting. The published plan supports up to 10 companies and up to 75 employees per company.
Its strongest fit is organizations that need more than basic wage calculations. Payroll Mate calculates federal, state, and local payroll taxes; prepares Forms 941, 943, 944, 940, W-2, and W-3; and supports after-the-fact payroll. Reports cover payroll, tax liability, deposit requirements, earnings, and state taxes. It can also import employee payroll information from spreadsheets and other systems, which may help churches moving existing records into the software.
The accounting ecosystem is practical for churches already working with supported desktop applications. Payroll data can be exported to QuickBooks, Quicken, Sage 50, Microsoft Accounting, and general ledger formats. The tradeoff is its Windows-only desktop delivery, which limits platform flexibility. The published notes also indicate that direct deposit, state forms, and 1099 processing require separately priced options, so buyers should review the available options against their filing and payment workflows. Churches that need detailed clergy compensation controls and desktop accounting exports should consider Payroll Mate; organizations seeking browser-based access or a broader platform range should look elsewhere.
