InstaCheckin is cloud-based visitor management software for workplaces, schools, manufacturing sites, and other facilities. Visitors can check in through an iPad kiosk or supported web-based flows, while administrators manage records through a dashboard. Its feature set includes host notifications, visitor photos, branded badge printing, pre-registration, bulk Excel import, digital NDA and waiver signing, searchable logs, analytics, emergency evacuation rosters, blocklist management, and multi-location administration. It is available on web and iOS, with a free plan and paid per-location subscriptions.
The pricing structure gives smaller teams a straightforward entry point. The Free plan includes unlimited visitors, email notifications, and knowledgebase and forum support. Basic costs $49 per location per month with annual billing or $59 monthly, adding NDAs, visitor photos, badges, and pre-registration. Standard costs $99 annually or $119 monthly per location and adds SMS notifications plus central management of up to 3 locations. Premium costs $149 annually or $179 monthly per location, adding unlimited locations and email and phone support. A 14-day free trial requires no credit card. Hardware is not included, and the vendor states that it does not issue refunds.
InstaCheckin’s strongest fit is for organizations that need core visitor operations without committing to a paid plan immediately. Kiosk check-in, reception and mobile check-in modes, badge printing, emergency rosters, and searchable visitor records cover common workplace and facility workflows. Integrations include Slack, Microsoft Teams, Google Drive, Dropbox, OneDrive, Brother QL label printers, and AirPrint. However, teams requiring verified ID scanning or broader platform and integration coverage should consider an alternative. Choose InstaCheckin for a free-to-start system with scalable location management; avoid it when identity verification is central to the check-in process.
