Our verdict on iCARE

iCARE is Windows-based practice management software for optometry and optical practices, particularly those that want records and software installed on computers in the practice. It brings together electronic patient and exam records, prescriptions, visit notes, documents, appointment scheduling, recalls, patient messaging, billing, inventory and reporting. The system is aimed at small and mid-market practices, with tools for clinical and day-to-day optical workflows rather than a narrow appointment-only focus.

Its deployment and equipment connections are central to the product’s fit. The vendor says patient records remain on the practice’s local computers. iCARE connects with optometric diagnostic and exam equipment, barcode scanners, a DYMO labeler and a health card reader. Scheduling includes doctor availability, double-booking and reminders; optical inventory supports barcode generation and scanning. Health-card eligibility validation and insurance and OHIP claims billing add Canadian practice workflows. AI-assisted drafting can help produce differential diagnoses and management plans, while the practice retains the clinical role. This combination will suit practices seeking a broad Windows-based system with local control and equipment connectivity.

The published pricing describes a CAD 3,600 one-time Software License, including a lifetime license and unlimited office computers. A monthly support plan is also required. Essential includes full software support, all software updates, staff software training and health-card validation; Complete lists the same benefits with real-time health-card validation. The vendor also lists a 30-day refund period. iCARE is therefore a considered fit for Windows practices prepared for both an upfront purchase and ongoing support costs, particularly where local installation and optical workflows matter. Practices seeking a cloud-first or cross-platform system, or wishing to avoid a substantial one-time license, should compare alternatives.
