Our verdict on CollectiveAccess

CollectiveAccess is open-source software for museums, archives, libraries, nonprofits and other organizations managing heterogeneous cultural collections. Its Providence application combines cataloguing, metadata management, importing, exporting, media handling, workflows and reporting in a web-based environment. It supports images, video, audio, PDFs, 3D scans and Microsoft file formats, making it suited to collections that extend beyond conventional image libraries. The optional Pawtucket2 application adds customizable public or restricted websites for publishing collection content.

Its preservation and interoperability capabilities are central to the product. Organizations can configure metadata fields and standards, export data in OAI-PMH, EAD and Dublin Core formats, and connect cataloguing practices with Library of Congress and Getty vocabularies. Media derivatives, watermarking and format migration support ongoing file management, while fixity checks and BagIt preservation integration address collection stewardship. Access restrictions can be applied by user, group, field or record type, and the GraphQL API supports search, browsing, introspection and editing.

The software itself is free and open-source, with self-hosted deployment available across web, API and self-hosted environments. Whirl-i-Gig also offers consulting and hosting services, with hosting arranged by contact. That model can suit institutions with technical capacity or specific preservation requirements, but it places more responsibility for deployment and operation on the organization than a fully managed DAM. Choose CollectiveAccess when configurable cataloguing, open standards, media breadth and preservation workflows matter most. Consider another DAM when guest sharing, polished general-purpose asset distribution or detailed version history are primary requirements.
