Bid Responder is a web-based platform for vendors and procurement teams managing RFPs, proposals, and sourcing processes. Vendors can import content from PDFs, DOCX files, spreadsheets, URLs, or pasted text, then generate AI-assisted answers from company knowledge and past proposals. Procurement teams can publish RFPs, invite vendors, manage Q&A, receive sealed bids, apply weighted scoring, and evaluate submissions with AI. Team assignments, approvals, role-based access, activity tracking, analytics, and project-level collaboration support shared workflows.
Pricing is straightforward at the first two tiers. Starter costs $29 per month and includes a knowledge base and all export formats. Professional costs $99 per month and adds a full knowledge base and priority support while retaining all export formats. A 14-day Professional trial is available without a credit card. Enterprise has custom pricing and adds custom AI training, API access, dedicated support, SSO, and compliance. The platform also supports Excel, Word, PDF, and CSV exports, giving teams several ways to move completed responses into existing processes.
The standout strength is breadth within the RFP workflow: document ingestion, URL indexing, summaries, semantic search, a reusable version-controlled Q&A library, compliance checking, source citations, and approval controls are combined in one product. REST API access and real-time webhooks extend that workflow, while self-hosting gives teams an additional deployment option. Bid Responder is a strong fit for teams that want an affordable starting tier, structured collaboration, and procurement features in addition to answer drafting. Teams needing a free plan, broad third-party integrations, or non-RFP-focused sales automation should consider a different type of platform.
