If your printer shows as offline in Windows 10 or 11, first check its power and connection, then clear any stuck print jobs. Run Windows’ printer troubleshooter and restart the Print Spooler before removing and reinstalling the printer. These steps address the most common layers where Windows can lose contact with a printer.
1. Run the Windows printer troubleshooter
Microsoft recommends starting with the automated printer troubleshooter in the Get Help app. Open Get Help and run its printer troubleshooter; follow the prompts and apply any suggested fixes. If the printer still appears offline, move on to the manual checks below.

2. Check the printer’s power and connection
Power-cycle the printer
- Turn the printer off and unplug it.
- Wait 30 seconds, reconnect it, and turn it back on.
- Wait for it to finish starting up, then check whether Windows still shows it as offline.

For a Wi-Fi printer
Check the printer’s own network information or its manual to confirm which Wi-Fi network it is using. The PC and printer need to be on the same network. This is easy to miss when a home or office has multiple routers, access points, Wi-Fi extenders, or separate network names (SSIDs).
For a USB printer
Confirm that the USB cable is firmly connected at both ends and that the printer is powered on. If the cable is missing or visibly damaged, check the printer manual for connector compatibility before replacing it; a cable is not a general fix for a wireless printer.

3. Check the selected printer and clear its queue
Windows may be showing the status of a different printer, or a stuck job may be preventing new work from printing. Open the printer settings for your Windows version, select the affected device, and open its queue.

Windows 10’s queue controls are especially worth checking: if Use Printer Offline or Pause Printing is selected, the printer may remain offline or paused even when it is powered on and connected.

4. Restart the Print Spooler
The Print Spooler manages Windows’ print queue. Restarting it is a lower-impact step than resetting it or deleting spool files.
- Search Windows for Services and open the Services app.
- Find Print Spooler in the list.
- Right-click it and choose Restart.
- Try printing again.
If Restart is unavailable, check that the service is running; if it is stopped, choose Start. Microsoft’s Print Spooler troubleshooting guidance describes additional recovery steps.

5. Remove and add the printer again
If the printer remains offline after the connection, queue, and spooler checks, remove it from Windows and add it again while it is powered on and connected.
- Open Settings > Printers & scanners. In Windows 11, this is under Bluetooth & devices; in Windows 10, it is under Devices.
- Select the affected printer and choose the option to remove it.
- Choose Add device (or the equivalent add-printer option) and follow the prompts to install it again.
If Windows cannot install it or it still fails, get the latest driver from the printer manufacturer’s official support page. For an ARM-based PC, Microsoft notes that a manufacturer’s installer may not work; use Microsoft’s instructions to add or install a printer instead.

Reset the spooler only if simpler steps fail
A full spooler reset deletes pending print files. Use it only after restarting the service and clearing the queue have not worked, and only if you are willing to discard those queued jobs. Microsoft’s procedure is to stop Print Spooler, clear the files in %WINDIR%system32spoolPRINTERS, then start the service again. Follow Microsoft’s spooler instructions carefully; do not delete files from another folder.
6. Restart the PC and check for printer errors
Restart Windows after the earlier steps, then check the printer’s status and try a small test print. If the printer itself reports an error—not just Offline—check its display or indicators for paper, ink or toner, an open cover, or a paper jam. Use the printer manual for model-specific error messages and recovery instructions.
Windows 10 support context
Microsoft ended Windows 10 support on October 14, 2025. That date does not itself explain an offline-printer status, but it is relevant if you are deciding how to keep a Windows 10 PC secure and supported.
