PDFShift is a hosted API for converting HTML or a URL into a PDF, and its FAQ explicitly lists customer invoices as a use case. It can render an invoice your SaaS has already assembled; the reviewed product materials do not establish that PDFShift calculates GST, decides tax treatment, or verifies statutory compliance. Keep three responsibilities separate: your app owns invoice data and tax logic, PDFShift renders the document, and your business handles any applicable GST e-invoice reporting.

What PDFShift does—and what it does not establish

PDFShift describes its service as a platform for converting HTML documents to PDF through an API. Its product page shows a v3 request to POST https://api.pdfshift.io/v3/convert/pdf, authenticated with an X-API-Key header and a source value. The service accepts HTML or a URL and returns a PDF.   • Rendering: turn a supplied HTML invoice or reachable page into a PDF.
  • Invoice construction: your application supplies correct customer, transaction, tax, and other invoice data.
  • GST treatment and e-invoice obligations: your business determines what applies and completes the relevant workflow; PDF conversion alone is not that workflow.

This distinction matters for SaaS billing: a polished PDF can still contain incorrect tax treatment or omit a required field. Treat the renderer as one component, not as a tax or compliance engine.

How to integrate PDFShift for invoice rendering

Prefer sending raw HTML when you control the invoice template

PDFShift recommends raw HTML because it avoids a separate network fetch for the source page, can reduce conversion time, and allows conversion of pages that are not publicly accessible. That makes it a natural option for an invoice template rendered inside your application rather than exposed at a public URL. The official guide demonstrates sending HTML in the request body; consult it for the current request shape and supported conversion options.

  1. Build the invoice in your application. Select the applicable invoice data and tax treatment before rendering. Escape or safely encode customer-supplied values so they cannot inject markup or script into the document.
  2. Render a complete HTML document. Include the styles, fonts, labels, and values required for the final invoice. Test long descriptions, multi-page invoices, and varying recipient details.
  3. Send the HTML to the v3 PDF endpoint. Authenticate using X-API-Key. Keep the key on your server, not in browser code or a mobile app distributed to customers.
  4. Check the response and deliver the PDF. Handle non-success responses, timeouts, and output-size variation. Store or deliver the result according to your retention and privacy configuration.
  5. Test representative documents before launch. Review page breaks, text wrapping, font availability, totals, and print output using invoices similar to real customer cases.

The supplied official Python guide confirms the raw-HTML approach. The current endpoint documentation should be treated as the authority for exact payload fields and response handling, since API details can change.

Authentication is a frequent integration failure

PDFShift’s help material says the API key belongs in the X-API-Key header. It also warns that a request missing authentication can be treated as unauthenticated and produce a watermark. The help page says the transition from Basic Auth occurred on 2025-05-06. Verify your integration uses the header and include a watermark check in setup testing: PDFShift authentication help.

What Indian SaaS teams must own for GST invoices

CBIC’s tax-invoice rules enumerate substantive particulars, with conditional requirements depending on the transaction and taxpayer. A renderer can place values into a template; it cannot decide from the reviewed evidence which requirements apply to a particular SaaS seller, invoice, or customer. Consult the current rules and qualified tax advice for the business’s facts. The CBIC reference is CGST Rules, 2017 (PDF).

Invoice fields to model and validate

The rules include, among other things, the supplier’s name, address and GSTIN; a consecutive number unique for a financial year; issue date; recipient particulars where applicable; HSN code for goods or accounting code for services; description; total and taxable value; tax rate and amount; and conditional place-of-supply, delivery, reverse-charge, and signature details. This list is a working checklist, not a determination that every field applies identically to every invoice.

  • Represent invoice data explicitly rather than embedding tax decisions in HTML templates.
  • Validate numbering, dates, values, and required customer or supplier identifiers before rendering.
  • Keep tax calculation and applicable-rule decisions in tested application logic with an auditable source of truth.
  • Have someone responsible for GST compliance review template changes as well as tax logic changes.

A PDF is not itself a GST e-invoice

GSTN-hosted IRIS IRP guidance describes e-invoicing for covered B2B invoices and related documents as electronic authentication through the designated portal. It says taxpayers continue generating invoice documents through their own accounting, billing, or ERP systems and may retain their own invoice format. The mandate timeline on that guidance lists aggregate annual turnover of ₹5 crore or above from 1 August 2023 as the latest phase shown there; do not infer from that date or threshold that every SaaS operator, invoice type, or customer is covered. Credits are tied to generated output size, so estimate cost using real PDFs rather than assuming one invoice always equals one credit. Measure ordinary and unusually large invoices, and include retries and peak periods in capacity planning. The FAQ’s default timeout and parallelism are published operating limits; they do not guarantee a particular workload’s throughput or success rate.

Privacy and handling customer invoice data

PDFShift’s terms make customers responsible for compliance with applicable privacy and data-protection laws, notices, and consents. The terms say customer data may be processed, transferred, or stored in the US and other countries outside the EU. Its FAQ says ordinary conversions are not stored, while also explaining that supplying a filename stores output on Amazon S3 and that customers can route output to their own S3. These are vendor statements and contractual terms, not an independent security audit. Review the actual configuration, current DPA, privacy policy, and contract before sending personal or invoice data. See PDFShift terms and the FAQ.

  • Confirm which fields the renderer receives and whether they contain personal or commercially sensitive data.
  • Check whether your chosen request options cause output storage, and who controls the destination and retention.
  • Align notices, consent, retention, and cross-border processing with your actual legal obligations.
  • Keep API credentials server-side and limit access to logs and generated PDFs.

How to evaluate PDFShift for your invoice workload

No independent conversion test or current head-to-head comparison is established here. Before choosing a renderer, test your own representative invoices rather than relying on a generic performance claim. PDFShift’s product page displays vendor claims including average conversion time and uptime, while its FAQ states a different uptime figure; the sources do not establish an independent measurement method, so those figures should not be treated as verified service guarantees.

  • Source access: determine whether raw HTML is preferable to fetching a URL, especially for private invoice content.
  • Security and retention: verify key handling, storage options, and the applicable contractual documents.

Is a PDF generated by PDFShift a GST e-invoice?

No. PDF rendering alone does not perform the portal reporting and authentication described for covered e-invoices.

Can I send a private invoice template to PDFShift?
