A course-completion certificate works best as both a printable PDF and a verifiable record. It should identify the learner, the achievement, the issuer, and when the credential was issued or earned; add a unique identifier and a live verification page or QR code when employers or other third parties may need to check it. A reliable process defines completion criteria, records the supporting evidence, generates the certificate, and preserves an issuer-side record.
What a course certificate PDF should contain
Make the achievement understandable without requiring the recipient to explain the course. Include the core facts prominently:
- Learner: the full name as it should appear on the credential.
- Achievement: the course or program title and, where useful, a concise description of what completion represents.
- Issuer: the organisation responsible for the course and certificate.
- Completion or issue context: the completion date, issue date, or both, clearly labelled.
- Certificate identifier: a unique serial number or other reference the issuer can look up.
- Verification route: a URL or QR code that leads to an issuer-controlled check, where authenticity matters.
Do not imply more than the course established. A certificate for completing online modules is not automatically a professional license, accredited qualification, or proof of mastery. Describe any assessment, attendance, or other requirement accurately, and make the wording match the evidence your organisation retains.
How to create and issue a PDF certificate
1. Define completion and keep evidence
Decide in advance what qualifies a learner: required modules, an assessment threshold, attendance, a project, or a combination. Record the criteria and retain auditable completion evidence. 2. Build a reusable, accessible template
Use a consistent layout with clear type hierarchy, restrained branding, and enough space for the learner and achievement names. Make the document legible in both digital viewing and print. Choose landscape or portrait intentionally, and test long names, special characters, and translated course titles rather than assuming every record will fit the sample text.
3. Populate and check the learner record
Map your source fields to the certificate: name, course, issuer, dates, identifier, and verification destination. Before batch issuance, check for missing names, date-format errors, duplicate identifiers, and mismatched course records. Keep the generation process tied to the completion evidence rather than relying on a manually maintained list alone.
4. Export and test the actual PDF
Export a high-quality PDF and inspect it on screen and in a print preview. Print a sample at the intended paper size to check margins, orientation, contrast, font rendering or embedding, and whether the QR code remains readable at its printed size. There is no universal print specification established here; validate the particular template, printer, and verification code you use.
5. Preserve a durable issuer record
Store enough information to confirm what was issued and to whom: the certificate identifier, recipient, achievement, issue date, completion evidence, and status. Restrict access to personal data and decide how corrections, revocations, expiry, or replacement certificates will be handled. A downloadable PDF can be copied or separated from the record, so it should not be the only evidence your organisation keeps.

6. Give recipients a way to share and verify
Provide the PDF for download and printing, and include a link or QR code that resolves to a page controlled by the issuer. That page should make the certificate check straightforward while exposing only the personal information needed for verification. Europass describes EDC as electronically sealed, EU standard-compliant digital records issued by a legally registered organisation to a person. It is a formal credential option rather than simply a decorative PDF. Read the Europass EDC issuing information and EDC overview before deciding whether it fits your organisation.

Use a PDF when the recipient needs a familiar artifact to download, email, archive, or print. Pair it with an issuer verification page or QR code when a third party may need to check authenticity. Use a standards-based credential when machine-readable data, interoperability, or cryptographic verification across systems is a real requirement—not merely because a PDF looks less technical.

These formats are not mutually exclusive. A digital credential may have a PDF representation, while a PDF can point to an online verification record. Decide based on the recipient’s use case, the trust checks expected, the systems your issuer can maintain, and the privacy implications of public verification.
Make printed certificates work
For a physical copy, recipients can print the downloaded PDF on ordinary suitable paper or choose printable certificate paper or premium cardstock for a more formal finish. Yale Online explicitly describes downloading credentials as PDF files and printing them. Before sending a large batch, print a sample and check that the text, borders, signature area, and QR code remain clear on the paper and printer recipients are likely to use.
Use a screenshot when documenting the certificate workflow
A screenshot can help document how a course platform displays a completion record or how a verification page appears to an employer. It is supporting documentation, not a substitute for the certificate PDF, retained issuance record, or machine-verifiable credential. If capturing a verification page, avoid including learner information that should not be shared.

Troubleshoot common certificate problems
The learner’s name or course details are wrong
Check the source learner record and the field mapping used by the template. Correct the underlying data, then issue a replacement with a new or appropriately managed identifier. Keep a record of the correction so an older copy can be recognized as superseded.
The QR code does not scan from a printout
Check the code’s target URL, size, contrast, and quiet space around it. Test the exported PDF and a physical print with more than one camera or scanner. If it still fails, provide a readable verification URL as an alternative.

Search using the exact identifier printed on the document and confirm the verification page is live. Check that issuance records were published or synchronized and that the credential has not been revoked, expired, or replaced. Do not ask verifiers to rely on an inaccessible internal system.

The PDF looks different when printed
Inspect the exported file at its intended paper size, check page orientation and margins, and confirm that fonts and contrast survive print. Adjust the template and repeat a physical test before issuing at scale.
The credential cannot be imported or verified in another system
Confirm the standard and version supported by both the issuer and receiving platform, then check conformance and recipient wallet compatibility. A branded PDF alone does not become a standards-based credential simply because it contains a QR code.

Can an online course certificate be printed?
Yes. A downloadable PDF can be printed; test the page layout and QR readability on the intended paper before distributing it broadly.
Does a PDF certificate prove a qualification is accredited?
No. The document format does not establish accreditation or professional recognition. State the actual issuer, course requirements, and status accurately, and direct verifiers to an authoritative issuer-controlled record.
Should every course certificate have an expiration date?
Only when the course or credential policy requires one. If credentials expire or require recertification, define those rules and retain the status record so verifiers can interpret the certificate correctly.
